Reach for the Stars  Hints on how to run your RFTS program.  Formulas, formulas, formulas…..  How to write it up on Order Pro.  How to close RFTS and rebook the event successfully ! Session Two

Running RFTS RFTS is so flexible you can really make any type of adjustments you need to do while running it. Currently, all my programs are in Elementary Schools – therefore all my programs are run very similar. BUT, you can be as creative as you want ! When I do RFTS I do a lot of the work ! To run the entire program for me now – it takes approximately a total of 25 hours ! This includes EVERYTHING !

The Program ! Allow 4 – 6 weeks for the ENTIRE program !  Kick off Assembly Individual Classrooms, Grade Level, Entire School  Morning Announcements, Teacher Reminders, Collection Process for forms  Raffle for parent permission slip  Check in visits Visiting school for student contact is KEY !  Collect and count money – bookkeeping  Book Order Time Doing a “shopping spree” vs. “Order Forms”  Delivery Date Assembly, Drop off, Distribution

What you need to expect up front ! Supplies  Student Packets  Home and School Flyers/Catalogs  Bags for Sorting Orders Volunteers  Book Ordering  Counting Money  Sorting Books  Delivering Books  Loose Ends

How To Write Up The Order  Book Fair Ordering System  Formula – This is really very easy to do !  $ or MORE in books use.67  $ or LESS in books use.80  In between $ and $ use.80 Trust me on this …. All my RFTS have been over $1000 and yours will probably be also ! Don’t worry about numbers yet !

Closing Reach for the Stars !  Personally follow up that all students received all books they ordered !  Make sure all PRIZES reached the correct students !  In bags for students, send home letter stating how much school library received in books because of RFTS !  Thank you letter to principal, Reading Coordinator, Librarian and other key personnel !  A month later send a follow up letter. In this letter, state that you are beginning to book all next years RFTS and would they like to keep their same time as the previous year. Include a sample calendar that matches YOUR needs !  Contract for next year signed !

End of Year Awards Ceremony Most schools have an “End of the Year” Awards Ceremony. This is an excellent time to congratulate the high minute readers, most pledges, Challenge or all participants ! Certificates Ribbons Trophies Simply Mentioning Student’s Name !
