Local Policies

Athlete Discipline Hold players to a high standard of work, sportsmanship and conduct. When necessary to discipline, make the player and parent aware of the reason. There can be no discipline without learning. Make the administration aware of the disciplinary action. Set-up a meeting with the administration and parents if necessary.

Awards Guidelines End-of-season Varsity gives three awards JV gives two awards Teams can give individual awards if they win a championship. All-Academic will consist of those athletes who maintain a 3.5 cumulative GPA for the year. Coaches need to establish lettering requirements and submit those, along with team rules, to me by August 19.

Parent Communication Never miss a chance to communicate with a parent. Pick the appropriate time. Have boundaries. Set a meeting when necessary.

Parents’ Meetings Each team is required to have a Parents’ Meeting before the first contest of each season. Review rules and expectations. Collect fees. Determine team parent and make sure Booster’s Concessions will be covered. Make phone list for communication purposes. Explain athletic web site usage.

Emergencies Make sure all people are safe. Contact medical personnel/law enforcement (where appropriate) immediately. Contact the parent to make them aware of the situation. Contact the Athletic Director or other administration immediately.

Emergency Follow-up Fill-out an incident report on any incident that involved medical treatment. Contact parents to follow-up on the progress of the student. If a non-medical situation, type a written account in an as documentation and send it to the Athletic Director. The same procedures are in place for non-emergency situations of a sensitive or volatile nature.

Scheduling The Athletic Director is responsible for all contest schedules and gym use schedules. Each coach is responsible for his/her practice schedule and communicating that with the AD and other coaches. Changes in game schedule must be approved by the AD.

Cancellations Practice cancellations should be communicated to players in advance. When necessary, last-minute practice cancellation announcements should be sent to the main office as soon as a decision is made and no later than 3:00. Weather or emergency-related cancellations will be made after 12:30. Please advise parents of this.

Eligibility All VHSL eligibility rules are in effect. Athletes must maintain at least a 2.0 in all classes to participate. Those with less than a 2.0 in any class must attend mandatory remediation until the grade is brought-up. Attendance—Athletes must be in school all day in order to participate. Discipline—Athletes may not participate on a given day if they are suspended or in ISS for that day.

Transportation All CCPS rules and regulations apply. Riding a bus is a privilege and can be revoked. If a student is suspended off of a bus, he/she may not ride a bus for athletics during that period. Buses should be left clean and free of trash at the end of all trips.

Equipment Start of Season Inventory all items on the R-H inventory form. Hand-out equipment and keep a record of who received what. During Season Maintain all equipment as if it were your own. Make sure all equipment is secured.

Post Season Equipment Collect all equipment and inspect if for damage. Collect all equipment from players. Inventory all equipment on the same inventory form. Include the following: A list of items not returned by a player along with the player’s name (they will be held accountable on their next season and will be held-out until items are returned) A list of materials needed or wanted for the following year (prioritize the needs first and include damaged items). Submit inventory no later than two weeks after the end of the season.

Media Coaches are responsible for promoting their sport! Coaches are responsible for submitting weekly articles to the newspapers re: their team’s performance. Coaches are responsible for maintaining their portion of the athletic web page. Coaches are responsible for submitting timely announcements of team performance prior to 8:10 the day after contests.

Sportsmanship Coaches are responsible for modeling and maintaining the highest level of player discipline and sportsmanship at all time. Appearance—Teams that travel to away games before dressing must dress-up. Behavior—Players who act in an unsportsmanlike manner or a manner not in keeping with the high standards of Randolph-Henry High School will receive disciplinary action. This may include, but is not limited to, suspension and/or removal from the team.

Financial Policies All purchases out of the athletic account must be cleared through the Athletic Director. If the cost of consumables (items players keep) is being advanced from the athletic account, all money should be collected and reimbursed before the first game where applicable. Notify the AD when this has been done. All fund raising requests should be made to the Fund Raising Committee before initiation and all funds should be deposited with the bookkeeper or administration on a routine basis.

Security and Supervision Coaches are responsible for the supervision of athletes at all times. “No student left behind!” Maintain who is there. Only approved persons should be with or around the team. It is the coach’s responsibility to make safety decisions in the absence of the administration. When in doubt, err on the side of caution!

Leave Procedures A player may only leave an away contest with a parent or guardian unless confirmed permission is given by the parent or guardian for the student to ride home with another approved adult. Students are not to leave games with a teenager or boyfriend/girlfriend under any circumstances.
