Version 3.0

5S Benefits The benefits of 5S are primarily concerned with creating an effective and efficient working environment. For organisations implementing 5S as part of a Lean Organisation program, 5S gives two additional benefits: It makes implementing other techniques much easier. In fact many other techniques just will not work unless 5S is in place. It introduces the people in the organisation to the concept of continuous improvement, and allows the skills and disciplines they have learned as part of 5S to be used in new ways to benefit the organisation. Version 3.0

5S Philosophy The philosophy of 5S is to use it throughout the organisation. 5S is not just for a factory shopfloor. It’s for offices, meeting rooms and anywhere else where organisational activity occurs. The philosophy includes the need for everyone to get involved. That means Directors to the most junior member of staff. The philosophy can be stated as: Mastering your workplace Taking pride in what you do Inspiring others Version 3.0

5S SORT Definition “Separate the essential from the non- essential” Ensure essential items are safe and fully operational Remove non-essential items Ensure that items which should be present actually are present Set the initial cleanliness standard of the workplace Step1 - Sort Only have what you need to do the job. There will be items you don’t need for your process. (It may be that they are needed in another area.) Not sure ?…………………… then quarantine it !

5S SET Definition “A place for everything and everything in its place” Create safe locations for tools, materials etc Make it easy to identify abnormal conditions Make it easy to find things and return them Step2 - Set Once the essential items are identified they should be assigned to appropriate locations. Consider creating visual locations for essential items using: Shadow board techniques, or Marking around the object (footprint) Return essential items to the workplace individually considering: Safety Frequency of use Ergonomics

5S SHINE Definition “Maintaining the 5S standard for the workplace” To identify the current condition of the workplace Manually clean to check for abnormal conditions Maintain the standard condition - Check Sheets Step 3 – Shine Ensure that the cleanliness standard is recorded and documented. Health & safety; Make sure that Health and Safety is an intrinsic part of the business operation & processes. Is all H & S information clearly displayed in key areas? Is all safety equipment available & maintained? Staff trained in necessary H & S issues? Hazards reported & actione?

5S STANDARDISE Definition “Maintaining and improving the 5S condition” Ensure the 5S standard is maintained Improve the 5S standard Make it easier to maintain 5S condition Increase understanding of the workplace: Step 4 – Standardise Facilitate the maintenance of the first 4 steps by having processes and procedures. Roles and responsibilities are adopted and published.

5S SUSTAIN Definition “All personnel follow the rules, understand the benefits and contribute to improvements” Lead by Example Training in 5S Practical Activities Involve Everyone Management Support -Resource (time, materials, etc.) - Encouragement, - Involvement Visual Display for 5S Recognition of improvement Regular 5S Audits What still goes wrong? What needs more attention?

5S 5S Audits Never prepare for an Audit. You should be examining reality. Version 3.0
