when you choose the organizational plan for the entire report body and text section, you should consider the reader, purpose, and subject matter. Plans for Organizing Report Body: Two ways to organizing a report body: deductive and inductive arrangement. Deductive Arrangement “ direct” is common way in organizing business reports. The three sections may be arranged in one of these two ways: Terminal section Introduction Introduction or Terminal section Text (discussion & explanation) Text (discussion & explanation)

1.Inductive Arrangement “indirect”. The three sections are arranged as the following: Introduction Text (discussion & explanation) Terminal section

 Purpose or aim (always)  Authorization  Sources  Background  Brief mention of results  List of topics to be discussed  If a report comprises of one or two short paragraphs, the title introduction can be omitted INTRODUCTION

1.Presenting all the relevant facts accurately and impartially 2.Organize the report by inductive or deductive plan. 3.Emphasize important ideas by showing details: by placing them in prominent position with highest degrees of headings that are appropriate and use stylistic means such as i. capitalization ii. Underscoring iii. Bold face iv. Italics v. More space vi. Repetition BODY (DISCUSSION TEXT)

4. Include visual aids graphs, tables & pictures 5. Use headings to guide the reader through the report, but the paragraphs and sentences should be written in such a way that they stand alone even if the headings did not exist. Do not use two or more degrees of headings 6.Use topic sentences for most of the paragraphs 7.Apply seven C’s principles BODY (CONTINUED)

i. Summary condenses the text ii.conclusion, evaluate and infer from the text iii.Recommendations offer specific courses of action iv.Don’t include any new material in the terminal section V.List summary points in the same order as topic are discussed in the text TERMINAL SECTION (SUMMARY, CONCLUSION, RECOMMENDATIONS)

1. Complete sentence heading (subject and verb) examples: “Preparation is Essential when Outlining” “Writer Should Take Time when Preparing for Outlining” 2. Imperative sentence heading (begins with the verb; in the form of request or order) Examples: “Take Time to Outline” “Prepare Ideas before Writing” “Do Your Best” “Play the Game” “Colour the Wall” TYPES OF HEADINGS:

 3.Variant Heading: (Could begin with a participle)  Taking time to outline  Preparing before Outlining  4.Topic Headings(Use nouns or short phrases)  History  Background  History of the problem  Background issues
