Updates & Recommendations from Instructional Technology Committee Computers in College Labs IT Governance Executive Committee March 28, 2014 Meeting IT Governance - Instructional Technology Working Group

Recommendation #1 – Update and Recommendation on Computers in College Labs IT Governance - Instructional Technology Working Group

Review At the time of the January recommendation, college feedback on lab replacements was not available in time to be included in the official recommendation. Table below was presented, which itself was updated from the submitted Recommendation form. IT Governance - Instructional Technology Working Group

Review Prior to the work of the Instructional Technology Committee, a centralized and accurate accounting of all college labs and computers was not available for use by the committee. Staff continue to gather information on room utilization and computer configurations that will further illuminate the status of student computing resources on campus. A full accounting of all computer lab type facilities may not be available until Fall Quarter. Recommendations for Open Labs managed by I&IT have not changed. IT Governance - Instructional Technology Working Group

Process Update All of the rooms in the current recommendation to the Executive Committee have been confirmed with the associated college. Input has resulted in room changes as noted. Subsequent room changes have resulted in changes in the computer quantities required for replacement. Funding estimates have been adjusted based upon proposed computer configurations and adjusted room quantities. One additional lab in Science was added as replacement factors placed it higher than other rooms already approved. IT Governance - Instructional Technology Working Group

Fiscal Impact of Changes The cost of the prior six (6) recommended college labs has gone down $19,500 due to changes in the quantity and configuration pricing of computers in the various college facilities. Adding Science (3-2636) increases overall recommendation budget by $39,600. This recommendation makes no changes to the proposed Open Labs Funding at $60,000. Total funding change for the updated recommendation is $20,100 higher than January. IT Governance - Instructional Technology Working Group

RECOMMENDATION Instructional Technology Committee Recommends approval of the following rooms and increased funding allocation of $20,100. Recommendation #2 – Collaboration with Emerging Technologies Committees on Application Virtualization and Virtual Desktops IT Governance - Instructional Technology Working Group

Background Evaluating desktop and application virtualization may offer key benefits to both the student and faculty learning environment. Virtual Desktop technology could play a significant role in addressing the computer lab deficiencies, versioning and software availability. IT Governance Executive Committee previously charged the Emerging Technologies Committee with this task. Emerging Technologies Co-Chairs are traveling to CSU San Marcos campus later today to see their virtual lab environment. IT Governance - Instructional Technology Working Group

Recommendation Both committees have an overlap of responsibilities related to the use of this technology in computer labs. Amongst the committee there is commonality in committee membership. RECOMMENDATION Recommended that Instructional Technologies and Emerging Technologies committees be jointly charged to partner and perform the evaluation of virtual technologies. IT Governance - Instructional Technology Working Group
