Duke Educational/Speaker Events Regions host at least one educational/speaker event annually Allows alumni to engage their intellectual curiosity Allows alumni to reconnect with Duke’s academic mission Educational events can take many forms

General Suggestions Begin planning your event at least eight weeks in advance Ideal Speaker has Duke or local connection/interest Local Speaker Speaker from campus Duke Faculty Fellows If a volunteer has a relationship, feel free to reach out directly Be willing to cold call alums For Duke speakers, attendance is crucial 40-50 attendees minimum (non-alums welcome) No empty rooms; make it worth the speaker’s time Less likely to speak again if disappointed

Inviting a Speaker from Campus Begin the process as early as possible Be flexible with your dates, but have a rough timeframe Be willing to work around the speaker’s schedule and needs If a relationship exists, contact directly; keep DAA in loop If there is no relationship, DAA can help you reachout Duke Speaker

No Specific Speaker or Topic in Mind? Contact DAA for help narrowing the topics Check “Duke News & Communications Office” website List of faculty by topic for ideas http://newsoffice.duke.edu/resources-media/faculty-experts DAA Staff will forward list of faculty that match your topic Rank faculty; DAA will make asks in order until a speaker is found Other Speaker Ideas

Funding DAA Support Travel expenses for at least one speaker from campus per year Airfare, hotel, meals, rental car, parking, etc. DAA’s fiscal year (July - June) DAA does not pay honoraria/speaking fees Most local speakers do not have expenses Regional Board Responsibility The event itself (room rental, catering, etc.) Event should be planned as break even Charge admission or subsidize from local funds

Once the speaker and date are confirmed, begin looking for a venue Consider who the speaker is and size of crowd expected Helpful Resources When Looking for a Venue Regional volunteers (free space at company offices or conference rooms) Homes of local volunteers Local libraries Local YMCA Religious organizations Need help finding space? Contact DAA Venue

Publicity Work with DAA staff to compose enticing event description Obtain approved short bio and photo for speaker(s) Provide detailed venue location, directions, and parking information

Timeline 8 Weeks out - Arrange dates with potential speakers; make travel reservations asap 6-8 Weeks out - confirm venue 3-4 Weeks out - Open registration and DAA e-blast 2 Weeks out - Request supplies from DAA, personal outreach from local volunteers to promote attendance 1 Week out - Promote event on social media 1 Day out - Reminder to attendees and venue confirming details Day Of - Arrive early with sign-up sheets and name tags 1-2 Days After - Send attendance list to DAA; follow-up e-mail to attendees
