Self Service as the name suggests may remind you of food services provided by some big names in the market. So also, Self Service in iON is a portal where users can login and access various services provided by the organisation anytime, anywhere. For anything and everything, it can be a one stop shop. The Self Service solution in iON is designed to provide the users such as employees, students and the management with one point of contact for all their needs. It gives you an instant view of data from different solutions depending on user privileges. You can view the summarized account of all actions and requests, view all the organisation related activities, receive intimation about the forthcoming events and so on. Introduction – Self Service

Features A few of the many features available to the users are as below: – Solution Configuration for Users(Admin) – Apply for Leave/ Loan/Transport(Employees) – Update Attendance through Time Table in Self Service(Faculty) – View Academic Details(Students & Parents) – View Fee Details and Make Online Payments(Students & Parents)

Introduction - Self Service - Admin As you may be aware that every enterprise has an administrator who is responsible for its overall functioning. So also the Self Service solution provisioned by iON to its customers is based on this model. The admin has the right to restrict the limit for any and every user in the Self Service solution. Mr. Mansukhani, the Admin Head at Adhyayan University, is responsible for the Self Service solution which acts as a portal for users.

Access Website Access the iON website with your user credentials. We can have a slide show from slide 1 to 4. This can be slide 1

Webtop The Webtop will be displayed. Click on the W icon to proceed. *Click on Webtop to learn more about Webtop. GD note: Click here is a branching link to Webtop in User creation. Slide 2

Solution Panel The iON Solutions panel will appear. It will show the various solutions provisioned for your organisation. Click on the Self Service solution icon to proceed further. Slide 3

Admin Mr. Mansukhani, has been assigned the responsibility to ensure that the new batch of students of Adhyayan University are provided adequate access to the Self Service solution. This service is also available for the parents of the students. This responsibility is divided into three tasks that appear below. Create Student/Parent as User Map Users to User Group Configure Self Service GD note: The below three tasks can be provided as buttons to branch into the respective sections.

Click on the Show me button to view a demonstration. In order for students and parents to have access to the Self Service solution, they need to be given an identity in the system. In order to do this, Mr. Mansukhani, will have to create a user id for the students of the new batch at Adhyayan University and their parents. These user ids have to be created in the Campus Management solution. OST: Access the Campus Management Solution from the Quick Launch panel. GD Note: Can we give OST as VO as well.

1.OST: From the Settings module, click on Organisation and select User Creation. You can create the pattern for the student and parent users from here. 2.Note: The pattern definition is a one time activity and cannot be repeated. Hence it is advised that you contact the iON team for any clarification before making any changes to the settings. Once the pattern is created, it can be edited by the iON team with the help of a ticket. GD Note: Can we give VO as OST as well. The Note section needs to be a VO.

OST: The User Creation screen is displayed. From here, you can select the pattern for user id. For example, if you want first and last name to form the user id, then you can select that from the User Login Type drop-down list. After that you can enter the Domain Name. Then, you can select if the user would be a parent or student.

OST: After the User Creation settings have been configured, you can now create students and parents as users in the system. Note: Before the parents can be created as users, their details need to be entered in the system, in the Guardian Details section of the Student Module. From the Student module, select Bulk Auto User Creation. 3 2 1

OST: The Bulk Auto User Creation screen is displayed. You need to select the Site and the Batch for which user creation has to be done. Note: The student data must be available in the system for their user ids to be created.

OST: Once you select the site and batch details, the User Type drop-down list will be enabled. You need to select the user type- Parent or Student- from here. You can create users for both types individually. In this case, select Student and click on Search. Select the relevant site and batch from the Site and Batch name drop-down lists. 1 2

OST: The list of students in that batch will appear. You can generate user id’s for all the students of that batch in a single go. Select the check-box on the top left hand side of the student list and click on the Generate for All button. 1 2

OST: You can also generate user ids for a selected few students. Select the check- boxes against those few students and click on the Generate for selected button. 2 1

OST: In this way you can generate user ids for the parents of the students as well. All you have to do is, select the User Type as Parent and repeat the steps performed for student user id creation. A confirmation message Selected Students Login created Successfully will appear. 2 1

You have successfully completed training on Student/Parent User Creation. Try it. Let us see how these users are now mapped to their respective profiles.

Click on the Show me button to view a demonstration. Now the students and parents who have been created as new users in the system need to be tagged to their respective profiles in order to access the Self Service solution. Access the iON Admin Panel from the Webtop.

The iON Admin Panel is displayed. Click on the Application User Group solution icon solution icon.

From the Select Application drop-down list, select Self Service.

After that select Self Service from the Select User Group drop-down list.

The system will then display the Unassigned Users and the Assigned Users section. All the users created in CMS will appear in the Unassigned Users section.

Select all the users in the Unassigned Users section and click the add button.

The selected users now appear in the Assigned Users section. Click the Update User Groups button to complete the user mapping process. 2 1

A confirmation message User group mapping update successful appears. In the same way, you need to also map these student users to the Campus Management Solution. This is required as the student data has to flow from CMS. 1 2

1. Select Campus Management Solution from the Select Application drop-down list and Student from the Select User Group drop-down list. Then select the users from the Unassigned Users section and click the add button. The selected users will appear in the Assigned Users section. Now, click the Update User Groups button to complete the user mapping process. 2. Note: In the same way, you can map the parent users to the Self Service User group and the Parent user group of Campus Management Solution by repeating the steps for user mapping.

You have successfully completed training on mapping Student users to the Self Service and Campus Management Solution user groups. Try it. Let us now see how the Self Service solution is configured for users.

After the students are created as users and mapped to the respective user groups, they now need to be given access to the various widgets and quick links of the Self Service solution which acts as a One Stop Shop portal for the students. Mr. Mansukhani, will now configure the widgets and the quick links for the users in the Self Service solution. Let us see how it is done. From the iON Admin Panel, click on the Configure Self Service solution icon. Configuring the Self Service solution for users means to assign Widgets and Quick Links to user groups of different solutions to which these users are mapped. What is a Widget: A widget is a dashboard containing transactional data from the different iON solutions. What is a Quick Link: A quick link is the role based restricted access to a particular module or sub module of any iON solution. 1 2

From the Select Application drop-down list, select Campus Management Solution.

From the Select User Group drop-down list, select Student.

The system will then display the Unmapped Widgets and the Mapped Widgets section. All the widgets created for students will appear in the Unmapped Widgets section.

Select all the widgets in the Unmapped Widgets section and click the add button.

The selected widgets now appear in the Mapped Widgets section. Click the Update Widgets button to complete the widget mapping process. 2 1

From the Select Application drop-down list, select Campus Management Solution.

From the Select User Group drop-down list, select Student.

The system will then display the Unmapped Quick Links and the Mapped Quick Links section. All the Quick Links created for students will appear in the Unmapped Quick Links section.

Select all the quick links in the Unmapped Quick Links section and click the add button.

Note: In the same way, you can configure the Self Service portal for the parent users by repeating the steps that were performed for the student users. Similarly, you can map different users of various profiles to the iON solutions. A confirmation message Quick links mapping update successful appears. 1 2
