10 Monitoring Link will always be active for school users regardless of the approval level of the plan.

12 The new monitoring page will work the same way as the create comment functionality. Schools will be able to add as many monitoring items as needed. Principals and data entry users can create and save entries. Any user in the Address Book at the school level can view the Monitoring link. Monitoring comments can be added regardless of workflow status.

13 eCIP Evaluation

14 Upon completion of the monitoring entries, the team should evaluate the results of the plan. Monitoring findings should be combined in an evaluation that indicates the impact of the plan. There is not a required template. The evaluation can be in narrative or chart format.

16 Workflow Steps Summary Not Started- The specific plan has not been started. The only role who can move the plan into Draft Started is a School Data Entry user. Draft Started- A draft plan is in progress. Once all sections are complete, it can be moved to Draft Completed by a Data Entry user. Draft Completed- A draft of the plan is complete. The principal of the school is notified that they can now approve or not approve the plan. Principal Not Approved- Principal did not approve the plan and it now goes back to Data Entry stage, where the plan is edited as needed and marked complete for principal approval. Principal Approved-Principal has approved the plan. The Federal Programs Coordinator or the Specialist for the district is now notified that the school’s principal has approved it and they can now either approve or not approve it.

Specialist Not Approved- The Specialist has not approved the plan and it now goes back to the Data Entry Stage where the plan is edited as needed and marked completed for the approval process to proceed. **Role not required, but can be added to the approval process if the LEA chooses. Specialist Approved- The Specialist has approved the plan and it now moves on for Federal Programs Coordinator approval. **Role not required, but can be added to the approval process if the LEA chooses. Federal Programs Coordinator Not Approved- The Federal Programs Coordinator has not approved the plan and it now goes back to Data Entry User edited as needed and marked complete for approval according to the roles put in place by the LEA. Federal Programs Coordinator Approved-The Federal Programs Coordinator has approved the plan. The Superintendent for the district is now notified that they can now either approve or not approve it. Superintendent Not Approved-The Superintendent has not approved the plan and it now goes back to a Data Entry Stage where the plan is edited as needed and marked complete to start the approval process over. Superintendent Approved-The Superintendent has approved the plan. The plan is now considered public and is available for any person (logged in or not) to view on the website. The form will remain public until a Data Entry User moves the plan to Revision Started. Revision Started- A revision has been started on the plan. Once the revision is complete it can be moved to Draft Completed to start a new approval process beginning, again, with the Principal. The ONLY role that can move to Revision Started is School Data Entry.

21 When outside of this time frame, the only plan that can be edited or moved is the plan that is assigned to the school based on the service type through eGAP. The other plans will be available, but are read- only. Example: Message shown when in open plans date range

23 Open Plan Dates 2012-2013 August 3- October 5 Allows schools changing service type to work in new plan When open plan dates end, schools cannot work in the new plan type until eGap is approved. IMPORTANT for ALL data users of eCIP to be notified of their service type Data entered in the wrong plan type will not be saved when service type rolls over with eGap approval
