2 New Spreadsheet CELL

3 Excel Toolbar Notice the toolbar is similar to all Office Toolbars

4 Cell Data Step 1 - Cell data - Things that can be entered into a cell: –numbers –words –equations, formulas or functions –fill color –images (although they are actually on top of a cell, not in it)

5 Entering Data Step 2 - Entering data - Move to the cell where you want to enter data and enter words or numbers. If data is already in the cell it will be replaced without you having to cut or delete the previous data.

6 Entering Data Every cell has a name…what cell are we in now?

7 Moving from Cell to Cell How can we move from one cell to another? Gently move your cursor over the cell…what happens?

8 Excel Cursors Click and drag to highlight multiple cells with this cursor, or click in a cell to select the single cell Click and drag with this cursor to fill cell contents into cells below or to the right.

9 Formatting Data Step 3 - Format data - Once information has been entered into a cell, you might want to change something about the way the information is displayed. To do that, make sure the cell you want to format is selected and go to the Format menu. Select Cells.

10 Formatting Data You can do this by right-clicking on an active cell

11 Formatting Cells Different formats will do different things…let’s try some…

12 Text in Excel When working with text, you can use the Formula Bar to make changes. Let’s try this…

13 Using Merge and Center What cell is my cursor in?

14 Using Merge and Center NOW what cell is my cursor in? What data have I written in the cell my cursor is in? NONE!

15 Using Merge and Center Select BOTH cells On the toolbar, click the merge and center button

16 Using Merge and Center Let’s try merging and centering cells..

17 Auto Fill Place the cursor on the bottom right of cell B1 and a black plus sign appears. Click and drag to the right to cell E1. Excel detects the pattern and fills in the other groups Let’s try it!...How about we use days, or months? What happens then?

18 Auto Sum Let’s try this…

19 Sorting Data Enter this data in these cells Organize your data alphabetically… how can we do this?

20 Sort Warning! Expand your selection so the data will stay “lined up”!

21 Sorted This sort was alphabetical… can we do other sorts? Yes!

22 Sorting by Number From highest grade to lowest grade

23 Using Functions Insert a function in this cell… how do we do this? Enter data

24 Using Functions From the Insert menu select function A window will open prompting you to select a function

25 Using Functions Once you have selected your function, in this case SUM, this window will appear

26 The SUM Function Notice the range of cells for this function…

27 Average Function Let’s determine a class average… Where do we begin?

28 Remember Auto Text? Type the word “Average” in cell A13

29 Inserting a Function Click INSERT on the tool bar and select FUNCTION How do we determine where the function will go?

30 Inserting a Function Select AVERAGE from The drop down menu Notice the = sign…

31 Inserting a Function EXCEL Will ask you for permission before proceeding Note the range of cells indicated by :

32 Inserting a Function Do you calculate grades with such precision?

33 Formatting a Cell Select CELLS from the FORMAT menu…

34 Formatting a Cell Select NUMBER from the FORMAT CELLS menu Choose the number of decimal places you want

35 Formatting a Cell Now we have two decimal places

36 The Chart Wizard Type in this data and select it all

37 The Chart Wizard The Chart Wizard Window will appear

38 The Chart Wizard Do you prefer columns for this data?

39 The Chart Wizard Or do you prefer rows for this data?

40 The Chart Wizard Select the SERIES tab and name the series… (I chose “Grades”).

41 The Chart Wizard Label your axes!

42 The Chart Wizard Where do you want your chart to appear?

43 The Chart Wizard Notice the bottom toolbar…

44 The Bottom Toolbar Right click on “Sheet1” and you can rename you sheet!

45 The Bottom Toolbar You can add new sheets here!

46 Assignment Make the following Chart…remember the steps: –Enter data –Select the data –Use the Chart Wizard –Your chart should be about your day
