Background Checks This year, FCPS has added a requirement for background checks for certain volunteers Does not apply to: Parents or guardians who have children currently enrolled in FCPS Current FCPS employees or students who serve as volunteers School Age Child Care (SACC) employees Current law enforcement officers Volunteers who help with occasional or one-time-only events (i.e., field days, graduation parties) as long as there is direct supervision by regular school staff Does apply to: Extended family members who are not parents or guardians of a current FCPS student (i.e., aunts, uncles, cousins, grandparents) Former FCPS employees or students Non-parent/guardian volunteers who have “regular and frequent” contact with children Non-parent/guardian volunteers who chaperone overnight field trips Any volunteer whom the principal/program manager requests – regardless of status or affiliation with FCPS Please check with the Office if you have any concerns about how this policy applies to you

Confidentiality  As a volunteer, you may have knowledge of personal information of students, staff or fellow volunteers. However…  As a trusted volunteer, it is important to remember that this information must never be shared or discussed in the community.  To help you, we have prepared some confidentiality strategies!

Scenario One  A parent who realizes you worked with their child today during mathematics asks you how they did. How do you respond to this question?

…and the answer is… “As a volunteer at Fox Mill, it would be inappropriate and against the school’s confidentiality policy to discuss any child's performance--even your own child's. That is information that you will need to ask the teacher.”

Scenario Two  While volunteering today you witnessed an incident regarding student discipline. After school, another parent contacts you to find out what happened. How do you respond to this inquiry?

…and the answer is… “As a volunteer at Fox Mill, it would be inappropriate and against the school’s confidentiality policy to discuss. If you wish to know this information, please speak with either Mrs. Sheehy or Mr. Moose.”

Scenario Three  You decide to have lunch with your child after volunteering in the classroom. Are you required to visit the office prior to joining your child for lunch?

…and the answer is…  If there is a time lapse between volunteering and lunch, please wait in the lobby. Be sure to sign out in the office before you leave the building.

Scenario Four  You are concerned about a procedure/action you see a staff member performing. How do you handle an inquiry regarding the situation?

…and the answer is…  Contact Mrs. Sheehy or Mr. Moose by phone or email.

Scenario Five  While volunteering, you over hear a student conversation that concerns you. How do you handle this situation?

…and the answer is…  Inform the classroom teacher. If not convenient for the teacher to speak to you while you are volunteering, after you get home, email or phone the teacher and leave a message

We are glad you are here!  If you have questions, please feel free to contact us.  Have a great year!

Thank YOU!
