WHY TO COMMUNICATE We communicate with people ; To give or seek information To influence people to appreciate our views and get jobs done To build up relations To express our feelings To avoid misunderstanding

GUIDELINES FOR EFFECTIVE VERBAL COMMUNICATION Be clear about the objective of communication: If we communicate without being clear about the objective, it will be like bowling without wickets. Therefore before we start communicating, we should spend a few minutes asking ourselves what we really want to accomplish by communicating. If we are clear about the goal of communication, we will be more effective and successful in our communication.

PLAN AND ORGANISE FACTS: Once we are clear about the purpose of communication, the next step is to organise the facts, figures and the sequence of communication. This needs careful planning. Clarity in goal, proper planningand organising the facts gives us the confidence to communicate effectively. THINK OF 5W’S AND 1 H: We should be clear of the following before communicating. Makes our communication Result-oriented, empathetic, clear, timely and at proper location. It also helps to adopt proper means to communicate.

VERBAL COMMUNICATION communication Objective Why ? Receiver Whom? Place Where? Means/Method How? Time When? Subject/Topic What?

CATCH THE ATTENTION OF LISTENER BEFORE COMMUNICATING Before commencing to communicate, we should ensure that the listener is physically, mentally and emontionally prepared to listen. There is no point in communicating when his attention is elsewhere.

BE ENTHUSIASTIC AND POSITIVE WHILE COMMUNICATING: Speaking enthusiastically with good facial expression creates interest in the listener. A dull face with a frown or sarcasm repels the listener and creates in him a negative opinion on the communicator.

BE CLEAR AND BRIEF Communication should be clear and to the point. Repetitions should be avoided. Unnecessary details and information should not be communicated.

ESTABLISH EYE CONTACT APPROXIMATELY 80% OF THE INPUT to the Brain of the listener is fed through the eyes. If we communicate without looking at listener, the communication will not be effective. As a general rule it is advisable to establish eye contact with the listener for 40% - 60% of the total time for which we communicate. While delivering a talk we should not read from a full text. We should keep looking at the audience as frequently as possible. We should also look at the entire audience. Otherwise those whom we do not look at feel that they are ignored.

USE SIMPLE LANGUAGE TO SUIT THE LISTENER Use words to express; not to impress. The language should be simple and should suit the listener.

ASK FOR FEEDBACK FROM THE LISTENER The best way to minimise the gap is to ask for feedback from the listener. COMMUNICATOR MESSAGE MEANS RECEIVER FEEDBACK

BE A GOOD LISTENER SEE GANESH JI’S EARS.
