3 3 Introduction Developed for use on VDOT inspection projects Provides comprehensive project management tools Can be adapted for use on non-VDOT field projects May be adapted for use in analytical projects

4 4 Field Application MBProject has been used to create daily diaries for two non-VDOT projects in the Fairfax Branch MBProject is currently being modified for use by the MBP team on the new contract with the Tennessee Department of Transportation

5 5 Analytical Application MBProject has been used to collect daily CPM activity information on one or two projects in the Fairfax Branch Data collected was used to create day-for- day as-built schedules More features of the program could be utilized in analytical assignments

6 6 Analytical Application As a database, MBProject allows information entered to be inter-related Effective analysis relies on relating issues with work activities and correspondence By entering this information into the database, everything can be linked together Issue logs can be generated showing all related activities, correspondence

7 7 Goals for the Future Through input from teammembers - –Correct any errors in the program –Improve the current functions of MBProject –Apply MBProject in new ways to improve the quality of MBP’s services Discussion

8 8 Creating As-built Schedules When possible, MBP prefers to create day-for-day as-built schedules of projects Daily activity information is collected from diaries and other project records Information is entered into an Excel spreadsheet or Access database Information is then transferred to P3 to generate schedule graphics

9 9 As-built Schedules P3 was not designed to show activities on a day by day basis P3 activities have a start and a finish date and assume continuous work between The actual work performed on a project often does not occur consecutively from start to finish Traditional “as-built” schedules do not show gaps in the work on activities

10 10 As-built Schedules Activity codes must be established prior to collecting data In many cases, it may be best to start with the project’s planned schedule activities For this presentation, we will look at data collected through MBProject A query is used to generate the CPM data that will be transferred to P3

13 13 As-built Schedules Data in an Access database must be converted to an Excel spreadsheet The data may be in a table or may need to be collected through a query To export the data, use the “File / Export” command Define the location where the file is to be saved and then indicate the file type, ie - Excel

16 16 As-built Schedules The Excel spreadsheet can then be opened to prepare for transfer to P3 Meanwhile, a P3 file must also be established to receive the new data

18 18 As-built Schedules In P3 –Setup a new schedule with at least one dummy activity –Be sure that the Data Date is set earlier than the first activity date –Use the “Tools / Utilities / Export” command to create a file to receive the as-built data from Excel

21 21 As-built Schedules P3 allows for several different types of data formats For this example, the Lotus format will be used From the Export window, the fields of data are established

24 24 As-built Schedules P3 creates a file called “P3.wk1” in the P3OUT subdirectory of the P3WIN directory This file, “P3.wk1” can now be opened in Excel The file will contain the necessary fields to paste data over from the Excel file previously created

26 26 As-built Schedules It is important to have a dummy activity in P3 to establish the column formatting in “P3.wk1” This formatting should be preserved until the data is copied and pasted The formatting should then be applied to the new data using the “Edit / Paste Special / Formats” command in Excel

29 29 As-built Schedules Once the data has been pasted into “P3.wk1” and formatted, it can be imported back into P3 From Excel, the file should be saved back to the P3OUT subdirectory to the same filename and file type It is important not to save the data in an Excel format

33 33 Asbuilt Schedules Once in P3, the activities can be organized and summarized by activity codes as desired The activity code descriptions cannot be imported by this method and thus must be entered by hand into P3 if desired P3 can then be used to print the schedule For clarity, the graphic endpoints should be turned off

35 35 As-planned vs. As-built Planned and as-built data can be plotted simultaneously Copy the planned schedule Establish a new activity code to indicate planned or as-built Import the as-built activities from the spreadsheet after coding the activities Activities can be organized by type
