Sande Nissen August 2015

Goals PaperCut offers 4 mobile solutions I recommend… Implementation choices Targeting which printers? Pilot project scope

Offer flexible printing for: iOS tablets & phones Android tablets & phones As many other devices as possible (why not Windows tablets? no need, or WindowsRT)WindowsRT PaperCut compatible to maintain metering and charging choices Minimal client device configuration Minimal extra steps during printing (Anything I missed?)

(in order of their introduction) Web Print iOS Printing Google Cloud Print Email to Print These are not mutually exclusive: can implement any or all + advantages - disadvantages ~ mixed factors My notation:

+ in place and working pretty well, using 123 printers + if printer is restricted (“Filtered”), not visible on list ~ document formats limited to PDF, XPS, Office (3), and now Picture files + any client with compatible Web browser + no client software, no printer driver ~ uses a Windows VM as intermediary - printing options: only copies, plus Windows defaults (no duplex, color/grayscale, paper size, trays, …) but can add extra queue (e.g., CMC104-Gray-CC5051 ) + PaperCut options: as with popup, choice of account

- only iOS devices + all apps supporting iOS printing + all printing options offered by iOS printing + PaperCut options (choice of account) via app - uses a Mac as intermediary, secondary print server - based on “chatty” Bonjour (mDNS) protocol… - … which is not routable, so requires workaround ~ 3 rd party Collobos Presto does “wide area Bonjour”, and eliminates need for Mac (< $400) - limited to <100 printers per namespace

- only Chromebooks, Android phones, and Google applications on other platforms + all apps and applications supporting GCPapplications + printing options offered by GCP ~ 10 min for PaperCut options via the “Mobile Client”Mobile Client ~ requires Google account for each user - print jobs pass through Google servers in cloud - Google administrator must “share” each printer with Google group(s)

+ any device that can send Email attachments* from a @carleton.edu Email address + to avoid spoofing, can require Email verification + no client software, no intermediary ~ only the WebPrint document formats: PDF, XPS, Office (3), and now Picture files - no printing options (no defaults), but could add queues ~ PaperCut options via the “Mobile Client” Mobile Client

(only…) Email to Print serves most devices, including next next gen builds on WebPrint, which is being improved

Our current printing: user identifies printer as BLDGRoom, then prepares and sends print job, then pickup (with optional release) Alternative “Find Me” / “Follow Me” printing: user prepares and sends print job, then mandatory release identifies printer, for pickup Alternative St. Olaf example on Toshiba MFDs: only mfc-color and mfc-black print queues, then release with St. Olaf oneCard (HID proximity reader) Troy considering IPL use: only labs-color and labs- gray, then release with Carleton oneCard

1. oneCard magstripe swipe at T60 print release station next to printer 2. smartphone mobile release by scanning QR code attached to printer 3. release from PaperCut User Web page (warning: unreliable if printer is not in sight)

Let p@carleton.edu represent the IMAP/POP mailbox receiving messagesp@carleton.edu (If length were not an issue, I’d favor printAttached@carleton.edu)printAttached@carleton.edu Before You Start: Aliases When processing Email to Print jobs, PaperCut will connect to a single mailbox on a mail server. The mailbox will receive the emails of all printers, where each printer has its own email alias. This is achieved in one of three possible ways: Dynamic aliases - Many email servers support the dynamic alias "+ syntax" e.g. printing+library@example.com gets delivered to the printing mailbox. This is the simplest option to set up and maintain. However, removing or renaming a dynamic alias doesn't stop emails for the now defunct printer name. Also, the email addresses are arguably not as nice to look at! Server-side aliases - The email address for each printer is an email alias of the mailbox e.g. library@example.org is an alias of printing@example.org. This is the recommended approach when using Google Apps (gmail) and Outlook.com. Email forwarding - If options 1 and 2 are not possible with your email server, another option is to configure one mailbox per printer. Each mailbox could then forward all mail to the "main" mailbox e.g. library@example.org is a mailbox that forwards to printing@example.org. To: examples p+cmc104-cc5051@carleton.edu cmc104-cc5051@carleton.edu (alias of p@carleton.edu)p@carleton.edu cmc104-cc5051@carleton.edu (forwarded to p@carleton.edu)

Sender verification: Enabled (can customize message, with links) Anonymous/Guest Submission: disabled Error Messages, customizable: Nothing to print Other problem

I’ll have to maintain the Email aliases manually So: enabled for WebPrint = enabled for Email to Print 123 (of ~240) printers, selected for: All IPL printers, and most DPL printers Significantly used with WebPrint Canon MFDs preferred At least 1 for each building and floor (except for houses) I have enabled a few more on request, or will replace As Paula requested, I’ll create a Carlpedia article documenting the mobile print solutions, along with a list of the mobile printing printers (which I’ll maintain)

Printers (with and w/o release): CMC020, CMC121H, CMC104 (2) (all Canons) LIBR-Public-X5550, LIBR400-CC5051 Troy changing IPL printers driver? more? some HP? non-IPL Xerox? Users: (Hint: who requested this? who outside ITS uses iPads?) ITS staff (of course), using their smartphones & iPads ITS student workers Some other staff (some using popup): who? Some other faculty (popup?): who? When? For how long?
