15 eDocs Practical guidance PSC eDOCS & SERVICES  All eDocs must be properly identified and must have associated context information (metadata).  The model definition of metadata is a key to good eDocs management.  Each authority should have a metadata schema for managing eDocs. Document contextualization

16 PSC BACKOFFICE eDOCS & SERVICES eDocs Practical guidance There are many initiatives for metadata schemes standardization such as:  UNE-ISO 23081 (2008) metadata for eDocs management.  METS metadata encoding and transmission standard.  DUBLIN CORE(UNE-ISO 15836) used to describe web pages Initiatives

17 PSC BACKOFFICE eDOCS & SERVICES Best practices can significantly help a good eDocs management. The existence of established structures are useful for eDocs classification. Main objectives of eDocs classification are:  Establishing links to eDocs  Search eDocs related to specific activities  Defining security and user access levels  Defining conservation measures One of the most useful established structures are “classification boards” which show organization roles and activities eDocs Practical guidance Best Practices

There are several Metadata Types: Document metadata Document management metadata Workflow metadata Agents metadata Legal metadata Implementation examples: eDocs are linked to a database where metadata is stored eDocs are associated to a procedure and a file which contain predefined metadata Metadata Taxonomy eDocs Practical guidance

Some of these data will be in the final document.
