6 HRSS – Purpose and How to Access  The Oracle Self Service Human Resources (SSHR) empowers employees and managers to access and update their own information online to facilitate paperless environment, reduce wait time, and streamline processes  There are two parts of HRSS: Employee Self Service (ESS) and Manager Self Service (MSS)  To access, on the Oracle Applications Home Page, in the left Main Menu panel are the UTRGV Employee Self Service and the UTRGV Manager Self Service (for supervisors only) responsibilities.  Click on the “+” sign to expand the menu options to submenus and specific functions

7 HRSS – Oracle Home Page Layout  Oracle Home Page has two main sections:  Main Menu – Where different responsibilities are displayed which allow employee different role based access to Oracle data  Worklist  Different notifications (FYI or action needed) are displayed  Delegation rules can be set to allow another to take actions during employee’s absence

11 ESS – How to Review Personal Information  The following employee information is available online for all employees. Employees should periodically review as updates are provided  W4  Pay Slip  Employee W2  Assignment History  Visa/Passport Details  Other Employee Information  Training Events/SEPAP Information.  Purchase Parking Permit  Reconciliation of W-2  Employee Benefits

12 ESS – How to Review Personal Information  The following functions allow faculty members to review their faculty specific information:  Faculty Tenure Information  Faculty Rank Information  Faculty Release Time Information

13 ESS – How to Review and Update Personal Information  Employees can use the “Update Functions” available to make changes to his/her records, as needed.  Changes allowed are:  Personal Information (such as Marital Status, Phone #s, Address, etc.)  W4  Nepotism (Annual Compliance)  Direct Deposit  Personal Information Release Election (As per the Texas Public Information Act)  Manage Dependents

14 ESS – How to Review and Update Personal Information  Use the Update button to make any changes to your records  Tips:  Please do not delete any entries  Enter information in the correct format; e.g. phone # 956-111-1111, numbers and hyphens only  Address in mixed cases  You have the option to “Save for Later” if you are not ready to reflect the change in your record.  System displays the before and after changes for your review  Upon “submission” of your changes, system will display confirmation that your changes have been applied.

15 ESS – How to Review and Update Personal Information  Employees are encouraged to use Direct Deposit for their monthly payroll payments. This can be accomplish via their Employee Self Service update function

16 ESS – How to Review and Update Personal Information  To get ready for your direct deposit entry in Employee Self Service, please get your personal check book or bank deposit slip ready.  Proceed to Add Deposit Payment

17 ESS – How to Review and Update Personal Information  From you check or deposit slip, you will find the Account Name, Account Number, Transit Code and Bank Name as show below in the samples provided.

18 ESS – How to Review and Update Personal Information  Here is a screenshot of information needed for the direct deposit record  All fields that have an * are required fields

19 ESS – How to Review and Update Personal Information The following information is needed:  Amount Type: Select Monetary or Percentage  Amount:  If Amount Type is Monetary, enter dollar amount you would like to deposit to your account;  If Amount Type is Percentage, enter percentage of your total paycheck to be deposit to your account. If one account then 100%. If multiple, the last account has to have the 100% as total of remaining will be deposited to the last account.  Account Name: See sample check and deposit slip in previous slide  Account Type: Select checking or savings  Account Number : See sample check and deposit slip in previous slide  Transit code : See sample check and deposit slip in previous slide  Bank Name : See sample check and deposit slip in previous slide  Bank Branch: City where your bank is located

20 ESS – How to Review and Update Personal Information  In cases where the International ACH Transaction is selected, i.e. your payment will be deposited to a non-US bank, additional information will be required.
