What is Poole CPD Online Fully external website – accessible to anyone, anytime, anywhere Don’t need to check whether details in a hard copy catalogue are still correct Provides information on funding support for the local children’s workforce Contains all training events offered by –Poole Borough CYPS Strategy Quality and Improvement for school staff –Poole Borough for Early Years childcare workers –Poole & Bmth Local Safeguarding Children’s Board Launched in September 2007 for Poole school staff only Expanded in January 2008 to include training events offered by –Connexions and other voluntary sector groups –Schools and area colleges and universities –other Poole Borough departments – specifically Integrated Services and all Early Years training provision –Bournemouth LEA and national organisations –If you have an event you would like to advertise on the site please contact Lisa Tickhill on 01202 633884; l.tickhill@poole.gov.uk

Who is accessing this service All early years childcare settings (Poole) All school staff (Poole and Bournemouth); Poole school governors Staff from NHS and private medical organisations Dorset and Poole police and probation services Volunteer organisations We have over 5,500 user accounts on the system Booking requests are primarily from the Poole/Bournemouth area but are increasing from Dorset and Hampshire - as far away as Southampton Most multi-agency bookings are for Child Safeguarding or Common Assessment Framework events

What does the website offer the individual user Ability to have instant access to training on offer 24/7 Ability to take more control of own career development Provides an online training portfolio Provides an establishment with authorisation permissions to approve any requests made by staff before places are confirmed – ie costs and staff absence approval. The system does not need to replace any internal process for making training decisions within a setting. Performance management reports on attendance of staff accessing advertised events New developments will offer: –CV builder –Ability to add other training events to the online portfolio –Updated qualifications database –Increased links with Bournemouth’s CPD Online –Increased access for the area voluntary sector (working in partnership with Poole CVS)

A change process for Poole Early Years settings Accessing training online is a major process change for settings Currently online access is not 100% however capital spend by Integrated Services for settings will be providing laptops and internet access for all settings and childminders in the new year. Contact your childcare support team/officer in Integrated Services for more information Based on what emails/calls/feedback I’m receiving, settings are generally accessing and using the system – telephone and meeting support is always on offer from myself or Nicci Jobling on 01202 633884; l.tickhill@poole.gov.uk or n.jobling@poole.gov.uk Activation of all staff accounts at a setting can be done on request – email addresses and job titles are required for each staff member % of all group settings are set up and leader/manager have authorisation permissions to make bookings on behalf of their staff and to have overall approval of any requests made by staff without the leader/manager’s prior knowledge Hard copy listings of events are now replaced by a new electronic event catalogue listing specifically developed for Early Years settings

How to use Poole CPD Online

Do you already have an account Go to the website at www.pooleworkforcedevelopment.co.uk Have you attended a SASS or SQI early years conference or training event in the last 5 years? If you answered YES, then we already have a basic account allocated to you with a user name and password. Please use the “General enquiry” facility in the menu on the left to send us your email address, job title and confirmation of employer. Your logon details will be emailed to you. When received, make a note of your logon details. If you forget your password then click on the link below the log in area on the home page. If you answered NO, then click on “New User” at the bottom left corner to set up a new account.

The site is fully external and visible to the public. However, you need to log in to book places on events and access your account details. A leader/manager with authoriser permissions can request places on behalf of his/her colleagues. If you forget your password – there is a reminder link “Forgotten Password”. But be aware, it requires a unique email – if you and another colleague use the same email for your accounts the system won’t know which password to send you.

Once logged in – you can see you are logged in. You have full access to the news items – the latest added item is the user guide – and an event calendar. You also have access to a number of useful items on the left hand column. Most important are My Development, Advanced Search and Event Catalogue First, lets look at the My Development area.

My Development is where you can manage all your contact and user details: your username, password, email address, the establishment you are working for and set up email alerts. This is a very important area and means you can tell the system where to reach you and what newly published events you want to know about.

Change Username & Password or Change Contact Details Keep your email up to date so you don’t miss out on event confirmations, changes to event details (ie venue, time or date changes). Have you changed your name or your job? You have the ability to manage these details yourself.

Update your User Profile - Never miss a newly published event again! Turn on your email alerts and keep them up to date with subjects and audiences that match your interests and job role.

My Development is also where you can track all your training: events you’re due to attend, booking status of those events, when you need to cancel an event, your training portfolio (possibly as far back as 2004), and events you’ve saved to look at when you have more time.

Events due to attend – You can see what training is coming up, access a map, course details and view your booking status Events attended – This is your online training portfolio. you can link back to any uploaded documents and download any attached certificate. Saved events – If you found an event that was interesting but didn’t have time to view. All you need to do is click the Save Event button and you can come back to the event at a later time without having to search for it.

You have three ways to find events: The Event Catalogue, the Advanced Search or the Event Calendar.

Requesting a place on an event is very straight forward. The system knows its you, just list any special requirements, review and agree the T&C and click submit. Because the system holds your training portfolio, only an authoriser can request a place on behalf of another colleague. A general user will not see this link on their booking request page.

This link won’t work unless you have authoriser permissions Your authoriser will get an email to let them know you’ve requested a place on the event. If your authoriser approves your request you can then track the event in My Development – Events Due to Attend.

If you are an authoriser, you will have additional tools in My Development – one of which allows you to approve all outstanding training requests. You can approve one by one or in a batch.

If you are an authoriser, I recommend that rather than using the Approve link in an email notice to ok a booking request, that you use this as a flag to log in to the system and go to My Development – Unauthorised Booking Requests to review all outstanding events. Or click on the Event Information link. This will pull up the full details of the event and you can review any costs or multiple sessions which may require scheduling additional staff in the setting, before you make your decision.

My authoriser approved my request and I can now see this in My Development in Events Due to attend. Note that I can see whether my place has been confirmed or not. When your place is confirmed you will get an email like this to let you know. Your authoriser will also get a copy. So your email address needs to be up to date and one that is easy for you to access.

Authorisers also have other useful tools. You can view what bookings you’ve made for colleagues and manage them from this area. You can view what events colleagues are due to attend. You can look at colleagues’ attendance history. You can also view and print reports useful for performance management.

Events I have booked on behalf of colleagues – You can see what training you’ve requested for your staff, and make cancellations from here if needed. Events colleagues are due to attend – You can see what training staff are due to attend, and the bookings status. If the booking is unconfirmed it will be red. Events attended by colleagues – You can view all events attended by colleagues, but keep in mind that this section depends on the register having been marked by the event admin. If that hasn’t been done your colleagues’ attendance won’t show here.

Authoriser Reports – as far as I can tell, these two options are the same report, but are defaulted to different report options. Choose either Event Attendance (most detail) or Colleague Report (provides a tally by staff member) You can set the report to run for a particular period of time. I recommend you do set this. For Event Subject and Target Audience I recommend you leave them as is, and make no restrictions to the report output. Then select how you want to sort the report output. And click Submit.

I chose to run Event Attendance History between August and November 2008, sorting by participant name. Your search options will remain at the top of the page. Scroll down and you will see the records returned. You can download to excel. You can see who attended what training, whether the register is marked and link to details of each event.
