Matching Criteria When answer documents are processed and loaded into the Assessment Management System, they are matched to students in the Student Directory. If the PEIMS-ID matches a student in the directory, then the matching criteria of 2 out of 3 of LAST-NAME, FIRST-NAME, and DATE-OF-BIRTH is applied. Test Attempt A Test Attempt is a completed test taken either on paper or online, such as STAAR end-of-course (EOC) English I reading. A test attempt is recorded in the Assessment Management System once the online test or paper answer document is processed.

What Produces a Suspect Student A Suspect Student is created in the Student Directory when the processed answer document cannot be matched to a student in the directory because of mismatched or invalid data. For example: A PEIMS-ID matches to a student in the directory, but 2 out of 3 of FIRST-NAME, LAST-NAME, and DATE-OF-BIRTH do not match. A PEIMS-ID is invalid (not 9 digits or S followed by 8 digits). Required data to create a student is not valid (FIRST-NAME, LAST- NAME, DATE-OF-BIRTH, and SEX-CODE are blank, double-gridded, or invalid/future date).

If Suspect students are created, they can also be located in the directory at Student Data >Manage Student Directory. To search for Suspect Students in the directory, select “Include” from the Suspect option set.

Suspect Students Enter specific search criteria, or select the “Show All Students” checkbox, and click the Search button. In the search results a Suspect Student will have the gridded PEIMS-ID from the answer document listed in the Suspect column.

What Produces Student Test Warnings A hand-gridded student answer document that partially matches or does not match to a student in the directory. This will create a Suspect Student. A student answer document that has invalid data. (invalid data includes blank or double-gridded data, invalid date [February 30], and future date). Depending on the type of invalid data this could also create a Suspect Student. A student answer document that is precoded is “pre-matched” to a student in the directory and should not produce a Student Test Warning, but any changes made to the directory after precoding could result in a Student Test Warning when the answer document is processed and the test attempt is recorded. All online test attempts are “pre-matched” to students in the directory and will not produce Student Test Warnings.

Student Test Warnings There are three types of Student Test Warnings: Student Information Mismatch: student information from the answer document does not match a student in the Directory with this PEIMS-ID – this will create a Suspect Student Missing Grade: grade information on the answer document not provided or invalid – this will not create a Suspect Student. This warning applies to EOC only. Invalid Data: PEIMS-ID, FIRST-NAME, LAST-NAME, DATE-OF- BIRTH, GRADE, and/or SEX-CODE from the answer document contain invalid data (invalid data includes blank or double- gridded data, invalid date [February 30], and future date) – based on the type of invalid data, this could create a Suspect Student

Resolving Student Test Warnings The different types of warnings will navigate to different areas of the Assessment Management System to resolve the warning. Student Information Mismatch warning applies to a Suspect Student and will access the Student Details tab for this student in Student Data > Manage Student Directory. Missing Grade warning applies to the student registration and will access the Registered Students Record tab for this student in Test Management > Register Students. This warning applies to EOC only. Invalid Data warning applies to the test attempt and will access the Assigned Tests tab for this student in Test Management > Register Students.

Resolving Student Information Mismatch Click the linked student name to resolve a Student Information Mismatch warning. The Student Master Record in the Student Details tab in Student Data>Manage Student Directory will be opened.

Student Information Mismatch If the PEIMS-ID matches to a student in the directory, a Potential Match will be shown in a white box. Fields from the answer document that do not match are indicated with red text. Determine which is correct – the potential match from the directory or the information from the answer document. Click the Edit button.

Student Information Mismatch In this 1 st example, the DATE-OF-BIRTH is correct on the answer document, but since the FIRST-NAME was left blank, the student did not match. Correct the FIRST- NAME field and click the Save button. Note: A blank FIRST-NAME on the answer document is converted to “NO NAME” when processed.

Resolving Student Information Mismatch When the corrections to the Suspect Student are saved, the system will try to resolve the Suspect to the student with the same PEIMS-ID in the directory. With the FIRST-NAME correction, the PEIMS-ID and 2 out of 3 fields now match, so the DATE-OF-BIRTH is also updated in the directory based on the answer document.

Student Information Mismatch For this 2 nd example, the FIRST-NAME, DATE-OF-BIRTH and SEX-CODE are correct on the answer document. Therefore the directory needs to be corrected. Click the linked name in the Potential Match box to access the student with the same PEIMS-ID in the directory to correct. Select the Edit button.

Student Information Mismatch With the FIRST-NAME correction, the PEIMS-ID and 2 out of 3 fields now match, so the incorrect DATE-OF-BIRTH and SEX-CODE are also updated in the directory based on the answer document. Correct the FIRST- NAME field and click the Save button. When the corrections to the student are saved, the system will try to resolve the Suspect Student with the PEIMS-ID in the directory.

In this example, the grade was not provided or multiple grades were gridded on the answer document. The field with invalid data is indicated with red text. To correct this field, click the Edit button

Select the correct date from the calendar tool or type the correct date in a MM/DD/YYYY format. Click the Save button.
