Good Asset Data... Can make all the difference The GCCC Major Sporting Facilities experience Stacey Lee Asset Management Coordinator Community Services

 7 Aquatic Centres  2 Indoor Stadiums (Carrara & Runaway Bay)  1 Athletics Track (Griffith University)  1 Baseball Facility (Palm Meadows)  1 Cycling Centre (Nerang Velodrome)  Soccer Fields (Carrara) $73.5m Major Sport portfolio including:

No corporate AM System Budget constrained environment So Asset Managers have made the best of the situation, with:  predominately reactive maintenance and renewals  minimal asset data collection & update processes Asset knowledge exists in the Asset Manager’s heads rather than documented into an AM System Background

The Situation Existing infrastructure is aging Current funding insufficient Asset failures are NOT desirable Long Term Sustainability questionable!!

Already Some Bad Press!! Olympic champion Sally Pearson has hit out at Gold Coast City Council for the letting a running track where she trains fall into disrepair. "I just want it to get redone because it's been there since 1998 and it's starting to fall apart" GOLD Coast public swimming pools were closed amid fears swimmers could receive electric shocks. Unexplained electrical currents were discovered during routine testing and the council immediately moved to close the seven pools.

Current Pressures on GCCC Implementing New ERP System Advancing Asset Management Planning Adopting New Corporate Data Standards Reabsorbing Water Business New Look Council after elections Organisation Restructures Host City Of 2018 Commonwealth Games

Means….. more “Squeeze on the Dollar”

To ensure Sustainability... Something had to change “If we keep doing what we’ve always done....we’ll keep getting what we’ve always gotten!” Or even worse....a reduced budget!

The key was: Being able to substantiate Asset Management funding requirements So what could we do differently? Had to get the knowledge out of the Asset Managers heads and Use it to substantiate funding requirements

Opportunity Knocks Recognised that some of the current corporate pressures could be used to justify a major data collection process: Focussed on benefits: Enable implementation of new data standard Being “ERP ready” Improving integrity of asset data Advancing Asset Management practices

What we did Full asset stock take Data collection in new data standard format Detailed condition assessments Allocated technical lives Planned Maintenance programs Renewals programs Photos

Our Approach Spent time to “home truth” the data Formulated AMP projections for next 20 years Highlighted the high risk assets BUT 2018 Commonwealth Games

Our Approach Ring fenced possible games sites  Focus on the high risk...”drop dead” issues NO Games Impact NO Games Impact Games Impact Games Impact 20 Years 2 Years

Clear communication Involved finance at all stages Substantiated with photos Prepared a presentation of the approach and key results Offered “Road Show” / Site Visits to highlight issues

Results Increased funding in the LTFP!!

Challenges Ahead Ensure delivery of the renewals program “Asked for it...now have to deliver it!!” Negotiate with service providers to deliver the planned maintenance Ensure data integrity does not decline over time
