Online Reporting for Minnesota There are three components: On-Demand Reports – preliminary results available during the testing window. Published Reports – PDF versions of final paper reports delivered to districts. Longitudinal Reports – Results loaded to the system for districts to analyze trends and patterns over time. – Within the Longitudinal are Comparison of Achievement Reports. These reports provide a high- level summary comparison at a strand level and at an achievement level

Accessing Online Reports All online reports for Minnesota can be accessed through the PearsonAccess website (http://www.pearsonaccess.com/mn). Online reports are located under the Test Results tab on the homepage.http://www.pearsonaccess.com/mn

Role-Based Access for District, School, and Teacher Users Role-based access for districts, schools, and teachers keeps student information secure. District users will have access to all students in their district. School users will have access to all students in their school(s). Teachers will have access to only their students (via rostered groups). ** Access to student data will be restricted to the lowest level reporting role assigned. (i.e., if a District user also selects a Teacher level role, their access is now restricted to the Teacher Report access.) ** If Report Access roles are changed in Longitudinal reporting, the new Report Access may take up to 24 hours to update. On-Demand reports role changes will update immediately.

Reports Available to Teachers Teachers can be granted access to On-Demand Reports and Longitudinal Reports in PearsonAccess. Teachers should be assigned the Teacher Report Access user role in PearsonAccess. It is important not to combine the Teacher Report Access role with a District Assessment Coordinator, District Administrator, School Assessment Coordinator, or School Administrator because access will be restricted to the lowest level reporting role assigned. Teachers will only have access to the Student Data and Test Results tabs in PearsonAccess.

Why Do I Need to Roster Students? Rostered groups provide teachers with access to student results for their students only. Rostered groups need to be created and assigned to teachers prior to teachers accessing results for their students. This does not need to be done prior to testing. Notes about rostered groups: Students can be assigned to multiple rostered groups. Multiple teachers can be assigned to a single rostered group. Teachers can be assigned to multiple rostered groups.

Create a Rostered Group Two ways to create a rostered group: Create a rostered group manually, OR Create a rostered group through a file upload PearsonAccess Uploading Student Rosters for Reporting: Instructions and Template is posted to the User Guides & Technology tab on the Resource page.

Manually Create a Rostered Group 1.Log in to PearsonAccess. 2.Select Student Enrollment Data on the homepage. 3.Use the Search fields to find students, or select the Show All Students checkbox. 4.Use the checkboxes to select students for a group. 5.Select Assign to a Rostered Group. 6.Select a school from the drop-down menu. 7.Select either Move to An Existing Rostered Group or Move to a new Rostered Group radio button. 8.Select Assign Students in the upper right corner. 9.Select Yes – Continue with Action.

Viewing and Editing Rostered Groups 1.Log in to PearsonAccess.PearsonAccess 2.Select Student Enrollment Data on the homepage. 3.Select the View By Rostered Groups radio button. 4.Select the rostered group that you want to view or edit. 5.View students currently in the rostered group. 6.Add students using the Add Student button. 7.Remove students by selecting the checkbox next to the student’s name and selecting Remove.

Create a Rostered Group through a File Upload Create your student rostered group file Instructions and template can be found on the User Guide & Technology tab on the Resources page. Remove heading row and save as a CSV prior to uploading. Log in to PearsonAccess. Select Student Data on the homepage. Select Student Roster File Submission under Student Data Overview. Select Browse. Find and select your csv file on your computer. Select Open to load your file. Select Send.

Creating Teacher Report Access User Accounts and Linking to Rostered Groups Teacher Report Access User accounts can be created and linked to rostered groups at the same time. Two ways to create teacher accounts in PearsonAccess Create Teacher Report Access users manually, OR Create Teacher Report Access users through a file upload

Manually Create a Teacher Report Access User Steps to manually create a Teacher Report Access user role: 1.Log in and select Administrative Management on the Home page. 2.Select View User Accounts under Security, then select New User in the gold bar. 3.Complete the Demographic Information fields. 4.Under Roles, Select the checkbox next to Teacher Report Access. 5.Under Organizations and Groups: Select the district or school where the rostered group was created. Select the rostered group the teacher should have access to. Multiple Teachers may be assigned to the same group. 6.Select Save.

Creating Teacher Report Access Users via File Upload 1.Create your user account file. (use ‘PearsonAccess Uploading User Accounts’ template) Instructions and template can be found on the User Guide & Technology tab on the Resources page. For assigning rostered groups to Teachers, field H, Authorized Classes, needs to be populated with the rostered group name. (Be sure to follow the data format indicated in the template) 2.Select Administrative Management at the top. 3.Select Send User Account File under Security. 4.Select Browse. Find and select your csv file on your computer. Select Open to load your file. Select Send.

Accessing Reports for Teachers Once Rosters are set up and linked to the Teacher Report Access Role, the teacher can view reports by selecting the Test Results tab and view under Rostered Classes. Teachers will not have access to anything under the Tested Group tab.

What are On-Demand Reports? On-Demand Reports allow access to preliminary online rosters and Student Detail Reports.

For preliminary student-level results, users can drill down from the Tested Group to an individual student.

Users have the flexibility to sort and search. User can reverse sort the data by clicking on a column header. Search for specific data by selecting the arrow to the left of the column header and enter the desired search criteria. Next select ‘GO’.

By selecting a specific Tested Group users can view a List Report by Group. This page provides a list of student details and how they performed on the test.

In the List Report by Group a user can sort or filter the columns with the drop down option. The strand column definitions can be located by hovering over each strand.

The ‘Reports’ tab gives the user the option to generate a PDF of the Group List or Student Detail Reports. The Group List Report will generate a list with all students in the tested group with test results (see data on previous slide). The Student Detail Reports generates a batch of a one page individual student report with test results for the tested group. This reports is helpful for sharing results with parents (see example on next slide).

An example of the Student Detail Report is shown below A user can also generate this report by selecting a specific student in the group list.

Selecting the ‘Export to Excel’ tab gives users the option to print an excel file with a list of students and their data.

When Are On-Demand Reports Available? Once On-Demand Reports are turned on for the current testing window, student results are available within one hour of a student submitting a test. For each administration On-Demand results will remain in PearsonAccess until the published reports are posted. OLPA On-Demand will be removed at the end of the MCA window.

What is the Longitudinal Reporting System? Longitudinal Reports provide analysis of results from a specific administration, multiple administrations within a year, or assessment results from year to year. Drill-down, filtering, and sorting capabilities Aggregate and disaggregate data to individual student-level results District, school, and teacher access to student results

What Longitudinal Reports are Available? MCA, MCA-MOD and MTAS test results are available for administrations from 2011 to 2014. OLPA test results are available for the 2014-15 administration. MCA and MTAS test results from the 2015 administration will not be loaded until late July 2015.

The Data Matrix chart will define which data is available within each report link.

Longitudinal Data is available for MCA, OLPA, MTAS & MCA Modified. All functionality described in the following slides operates the same within each report.

How to navigate within Longitudinal Reports Each time a user opens a Longitudinal Report link, they will open the At-A-Glance tab with results for the most current school year. To Choose a Report Double-click on the button title of the report you wish to select.

Navigating Longitudinal Reports (cont.) To Make Search Selections To make a selection click on the data value you want to know more about. The selected data value turns green. Values associated with the selection are white and unavailable data are gray. To select more than one item in the same selection box, hold the CTRL key down (or the Command key for a Mac) while selecting additional values. Selected Data (Green) Available Data (White) Unavailable Data (Gray) Note that all data values selected are listed in the Current Selections box.

Navigating Longitudinal Reports (cont.) Clear Selections To clear selections from one data value at a time, select the white eraser at the top right of the data value. To clear selections within the Current Selections box, select the white eraser next to the data value. To clear all selections, right click on a clear space above the report and select the ‘Clear All Selections’ option for the drop down.

Navigating Longitudinal Reports (cont.) Back and Forward buttons To move back or forward through reports, right click on a clear space above the report and select the ‘Back’ or ‘Forward’ option from the drop down. Searching Click on the black down arrow of the multi-select box and then select the value desired.

Navigating Longitudinal Reports (cont.) Cycle and Drill buttons Click on the cycle button to display the next value in the list or right-click the cycle button to choose from the list of data values. Click on the drill button to drill up or down a level between Subject/Test and District/School.

Navigating Longitudinal Reports (cont.) Exporting and Printing Click on the title bar of the report you wish to print or export. Select the printer or export icon to meet your need. Fast Change Click on the double arrow icon to change a graph report to a table to data. Click the double arrow icon a second time to return back to a graph.

At-A-Glance Report – The At-A-Glance tab is the default tab when you select Longitudinal Assessment Reports that provide a quick view of your district’s or school’s progress

Performance by Subject Report - returns mean scale score data broken down by above average, average and below average, along with number of students and percentage of students within each range, and mean scaled score.

Strand Report - returns subject level data along with number of students, percentage of students in each strand and mean scaled score. Strands are unique to each grade.

Test Results Report - provides subject and grade level test data by Student Groups. Number of students, does not meet, partially meets, meets and exceeds is shown.

School Year Report - returns a bar graph that compares pass rates from year to year. Data can be further filtered from the menu selections on the far left.

Organization Report - returns a bar graph with pass rate comparisons. Choose the yellow arrow at the bottom right to cycle between district and school level results.

Student Roster Report - returns a list of students based on drill down selections made under the Score Analysis or Performance Analysis tabs. Achievement level data, percentile rank, and scaled score are shown for each test the students have taken.

Student Roster by Strand Report - returns a list of students based on previous drill down selections in Score Analysis and/or Performance Analysis. Each student’s data is broken down by test name and strand.

Search By Student - returns a student’s longitudinal testing history for each district they have tested in. 1. Click the arrow to the right of ‘Select MARSS/SSID.’ 2. Begin typing the student’s MARSS/SSID and your selection list will reduce to that student. 3. Click on the student’s ID and the report will populate. Note: Historical test data is only visible after a student is enrolled in your district or school.

Comparison of Achievement Reports are available for MCA, OLPA, MTAS, and MCA Modified. These are located in the Longitudinal Reporting tab.

What are Comparison of Achievement Reports? These reports provide a high-level summary comparison at a strand level and at an achievement level. For each test administration, users can view reports comparing any two schools with in the same district.

Comparison of Achievement for MCA MCA provides additional comparison options: School to District to State School(s) to District District(s) to State A Teacher will be able to compare their rosters, to their School, to State

Navigating Comparison of Achievement Reports In the report you will need to choose the schools you want to compare under the ‘Organization’ section by selecting the drop down. This will provide a list of schools you have access to.
