HOW WE USED TO DO IT  ALL UTILITY BILLS RECEIVED BY ACCOUNTING DEPARTMENT  CONSUMPTION AND COST MANUALLY ENTERED INTO DATABASE  BILL PROCESSED FOR PAYMENT  ONCE A MONTH DATABASE UPLOADED AS “READ ONLY” ISSUES  Consumption data could be two months old  Manual process took a lot of time; occasional errors in data entry  If copies of bills are needed, bill is retrieved, scanned and e:mailed  To conduct spreadsheet analysis had to re-enter data manually

HOW WE DO IT NOW  All utility bills sent to contractor  Contractor scans bills and creates virtual (summary) bill  Contractor analyses bill in relation to previous bills  Notifies County if a bill seems inconsistent BENEFITS  Bills available for viewing within a couple of days of receipt  Provides some analytical tools to  Review trends and building–to–building comparisons  All data available to download into Excel  Uploads data into County Financial Management system
