Employee Access and True Time Training “Change is not always fun but sometimes it IS necessary”

Introduction This training is to help us all become more comfortable with EMPLOYEE ACCESS and TRUE TIME. You will learn how to view information in Employee Access ( check stubs, time off balances, etc…) You will learn how to use the automated Time sheet (True Time) You will learn how to submit/request Time Off via Employee Access. EMPLOYEE ACCESS IS YOUR NEW BEST FRIEND.

How to view check stubs via Employee Access Each employee is assigned a personal Login and Password for Employee Access. The Login is in ALL CAPS. It is the first 5 letters of the employee’s last name and the first 3 letters of their first name followed by 3 zeros or 001 or 002 if there is more than one person with that last name. The Password is a combination of letters and numbers assigned automatically by the software but it can be changed by the employee. The password is in lower case. Please take the time to move around in Employee Access to become more familiar with all of it’s features. Since we now have a “paperless” payroll, Employee Access is the only place you can view your check stubs each pay period. You can also check your personal information for accuracy such as your address, W-4 information, salary, etc… The training material for this section walks you through the steps of how to view and print your check stubs.

Employee’s Guide to using True Time via Computer Employees can clock in and out 1 of 2 ways. Either using the time clocks OR via your computer. If you are a district employee that does have daily access to a PC it is preferred that you use it to clock in and out, using the time clock only when necessary (computer is turned off or internet access is down, etc…) The training material for this section will walk you through the steps of using True Time via your computer. The roll out of True Time and automated timesheets is a BIG change and with change comes mistakes. If you do happen to forget to clock in or out (and you will…) it can be corrected. The first thing to remember is to clock in as soon as you do remember that you have forgotten. That creates an entry so the secretary of your department can correct it. E-mail the secretary of your department with your correction and they will adjust your timesheet accordingly to correct it. The e-mail will serve as the paper trail for record keeping.

How to view Time Off via Employee Access Now that we are on a “paperless” payroll the only place to view your Time Off balances is via Employee Access. The training material for this section will walk you through the steps of how to view your balances. ** currently we do have an outstanding issue with Skyward involving a cascading problem which is causing confusion for employees when viewing their balances at first glance. Be sure to click on State Leave or Local leave to see your balance for that time off allocation.** If you are still confused or need clarification you may contact the payroll department and we can tell you what your balances are.

Employee’s Guide to requesting Time Off via Employee Access With the implementation of True Time you will no longer be using the call in system to request/report Time Off/absences. Time Off is now submitted/requested through Employee access. The training material for this section will give you step by step instructions for requesting Time Off. Some key things to remember: **Time off must be submitted AND approved BEFORE you submit your timesheet to your manager at the end of each week. **Certain time off codes can now be submitted in hours rather than whole or half days (Non-Contract, School Business, Jury Duty and Comp Time), be sure to take note of that when creating your request.

COMP TIME With the implementation of True Time and automated timesheets we can now track and allocate COMP TIME automatically. There are some rules to remember when submitting a timesheet that has COMP TIME earned on it, those rules are covered in the training material. The key factor to remember being at which factor should the COMP TIME be calculated at? 1 or 1.5?

Summary There will be a “learning phase” in all this. Mistakes can be corrected, no need to fret or worry. Contact your secretary/manager with any questions or concerns you may have and if they can’t assist please feel free to contact the payroll department.
