Today's Topics What is Google Drive? o Access o Storage Similarities and differences Getting Started Is Google Docs going away? Extras Links

Hit The Gas! Image source

Drive Is Staying Connected Store and access your files, folders, and Google Docs from anywhere Automatic syncing when editing from your computer, the Web, or mobile device Share exactly what you want with who you want without email attachments Read, edit, share, and collaborate on your files from wherever you are Sound the same? Yeah... pretty much.

Drive is cloud-based storage Image source

Drive is cloud-based storage Free 5 GB storage with upgrade offerings Store 30+ file types from your computer in Drive Preview over 16 different file types in Drive o Microsoft Word (.DOC and.DOCX) o Microsoft PowerPoint (.PPT and.PPTX) o Adobe Portable Document Format (.PDF) o Adobe Photoshop (.PSD) o Text files (.TXT) Still sound the same? Now it's getting better!

So... Then... It's the same... right? Well......

You have options. Keep things the way they are (yes, it's optional... for now) Use the online version only (we will explore the differences) Download Drive for the desktop (for syncing files and, eventually, offline editing)

What is the "Drive" Common folder for desktop and cloud into which you put files you would like to be synced between cloud and desktop You do NOT have to use it. You can continue creating files and saving them to the cloud as always Think of it as the shared folder between you and your desktop computer

What does Drive Desktop do? Drive will sync whatever Google Documents, Spreadsheets, Presentations, and Drawings you choose for desktop access Create files with other applications and save them in your Drive folder. Offline, you can view all Drive-synced Google Documents and Spreadsheets (Chrome) Offline, you can view and edit non-Google documents - they'll sync to your Drive when you have an Internet connection

First, for Google Apps Administrators New Name Drive Options http://goo.gl/uGlg7 For more info on Drive Apps, go here:

Getting started Why two pieces? Web tool Semantic changes Aligns with desktop structure Adjustments to sharing Better viewing and more file types Desktop tool Folder to store local files Folder to store Google files Auto syncs when online

Welcome to Drive

The process

Pick specific cloud folders to sync Enable offline viewing Change local folder location Launch at startup

drive.google.com/start

STOP!!! OPTIONAL Puts drive on computer you are at! Needs to be on every computer you want to use Can have multiples per computer (lab machines)

Web Changes No more Documents. It's now called "Drive" "My Drive" appears in your dashboard

Desktop Changes New Drive folder appears Synced files have a checkmark

How can I maximize my storage? Drive docs (Google documents, spreadsheets, etc.) don't count towards your 5 GB storage limit Shared files don't count towards your storage limit File types that can be converted... o Document -.doc,.docx,.html,.txt,.rtf o Spreadsheets -.xls,.xlsx,.ods,.csv,.tsv,.txt,.tab o Presentations -.ppt,.pps,.pptx o Drawings -.wmf o Images -.jpg,.gif,.png,.pdf

Is Google Docs Going Away?

NO

Is Google Docs Going Away? Google "DOCS" has always been the name of one TOOL, but it was becoming associated with the whole suite. Kind of like Kleenex or Xerox. The name change is semantics. It simply aligns the name to the tool. Allows Google to brand DRIVE as the place to find things (more like your computer) Makes the transition to a desktop "drive" more familiar.

FOLDERS! O.o Documents the user owns or has uploaded Folders the user owns and the items contained within (regardless of ownership) Nothing else, until the user drags items into My Drive When a user first switches to Drive, a view called My Drive contains:

Navigation is different My Drive Shared with me Recent Activity

Search Type, Ownership, Visibility, or Activity USE THIS! Search for a document by keyword (searches title AND BODY!) Search by type Search by sharing settings Much easier that starring or manual, click and scroll searches Can use multiple parameters (i.e. search for text docs, shared with me, containing the word "chocolate"

View My Drive or folders in list or grid mode

Select files in the List view to Preview

Share files or folders directly from My Drive

Shared Folders o Shared Collections (now Folders) need to be dragged to My Drive if you want easy access o Shared with me filter doesn't include files set to "Anyone with a link" or "Public" unless it was shared directly to your email address Organizing a Doc in multiple folders o Hold Ctrl(PC) or Cmd(Mac) and select each Google Drive app for iPad or iPhone Offline editing (YES!!) reported to be coming with next upgrade of Google Chrome (4-6 weeks) Known issues YES!!

Have you seen Docs lately?

Access through Tools menu or Ctrl- click on a word or text selection Search for images and filter results by permission levels Insert links or cite sources from within the document Citations appear in a footnote Research Tool
