Introduction IT professionals involved in developing a strategy for managing mobile devices (primarily smartphones and tablets). Info-Tech Research Group3 Executive Summary Workers now expect to be able to use their personal devices to conduct business functions. Most organizations support workers using mobile devices to access email, calendars, and other corporate tools; however, where BYOD becomes a challenge is when IT tries to support printing from mobile devices. Current solutions for mobile printing are incomplete. They often involve complex workarounds with a combination of hardware and software, and they do not give users the same customizability of document output as traditional printing methods. Existing solutions fall into two main categories: 1.Manufacturer-specific hardware and apps: This category includes mobile-enabled printers from vendors such as HP and Ricoh, Apple’s AirPrint, and vendor-provided apps. These solutions are often vendor or product-specific, and appropriate only when purchasing new equipment. 2.Middleware/cloud: This category includes vendor-agnostic third party offerings such as EFI’s PrintMe, virtual desktop solutions such as Citrix’s Receiver, print management solutions such as Canon’s uniFLOW, and Google’s beta project, Google Cloud Print. These solutions are more appropriate for organizations wishing to update the existing fleet. Only 36% of organizations have either implemented a mobile print solution or are searching for a solution. The remaining organizations do not yet need one. Your organization may be among the majority. If workers require mobile printing as an essential part of their business workflow, then IT should attempt to provide them with a solution; if workers will only be using mobile printing for convenience or on an ad hoc basis, then IT does not need to make it a priority. Ensure that your mobile solution is incorporating into your existing print strategy. Extend your current security protocols to include mobile print, enable print roaming and pull printing where possible, and implement user accounting and other controls. Info-Tech Research Group5 Untether users from physical print queues, and implement pull printing solutions Traditional spooling is push driven where the client machine queues the print job on an output device like a Multi-Function Printer (MFP) that is defined on the user's workstation or login script. Print roaming is where the client machine queues jobs to a networked service that holds the output until the user authenticates at any networked device, and pulls the output down. This allows the output to be printed securely from any networked computer, and allows users to move freely throughout a building or campus. Print roaming is a particularly effective solution for mobile workers, and has seen high adoption in higher education institutions, and professional services organizations. Increased adoption of wireless computing will drive increased demand on IT managers to untether users from physical print queues and implement pull printing solutions. Print roaming is a different approach to the spooling process, and is particularly useful in open-concept, wireless LAN environments. Require user-queued print jobs to be authenticated at a printer. This prevents errant print jobs which are lost, or not picked up. The average cost of a wasted page is about six cents, and the average employee wastes about 1,400 pages a year (around $85 /user) Also creates additional security, and privacy, by requiring user authorizing. Info-Tech Research Group8 Don’t expect mobile print solutions to function the same as traditional print solutions; mobile printing is still young Mobile print solutions are not as mature as traditional print solutions. Users may have to sacrifice customization and ease of use, while IT may have to implement more workarounds and spend more time upfront training employees. It is easy to create silos between traditional and mobile print strategies. Resist the urge. Mobile print solutions still require the same controls, and regulations as your existing fleet. Not every organization requires a mobile print solution today. Survey end users to determine their needs, and only provide a solution if a genuine need exists Mobile might not be necessary yet. Keep mobile in mind whenever upgrading your enterprise’s fleet. Even organizations that do not currently require mobile print capabilities may require them in the future. The mobile print industry is still in its infancy, and any available solution comes with limitations and challenges. Current mobile print solutions are great for small businesses or at home.
