2 SharePoint and Active Directory: March 18, 2010 What is SharePoint? Microsoft SharePoint is a content management system that consists of browser-based collaboration and a document-management platform. It is intended to be a collaborative workspace and a tool to allow offices to move to a paperless environment and utilize workflow processes. SharePoint is tightly integrated with desktop tools, and is a less expensive solution (site license) for document management than DocuShare, our old content management system.

3 What is Active Directory? Active Directory (AD) is a database of users and network resources that IT managers can use to manage security and other functions in a networked computing environment. AD has similar functionality as UofL’s existing Novell eDirectory, but AD is more tightly integrated with desktop tools such as Microsoft Office and SharePoint. 4 Current Status of the DocuShare Migration DocuShare DocuShare has been retired although two units have not yet completely migrated to SharePoint. No new accounts or directories are being created. SharePoint SharePoint provides document management, sharing solutions, and workflow to automate processes with extensive collaboration abilities. KnowledgeLake is integrated with SharePoint providing capture and indexing of paper and electronic documents directly into SharePoint. SharePoint and Active Directory: March 18, 2010

7 Why use Active Directory? SharePoint authenticates against Active Directory. Microsoft designed SharePoint to integrate tightly with both Active Directory and Microsoft Office. When the workstation is placed into the Active Directory domain, if the user is logged into the workstation, the workstation will pass the user’s credentials to SharePoint. The user will not have to log into SharePoint. The whole university will eventually move to Active Directory SharePoint and Active Directory: March 18, 2010

9 You do not have to be using SharePoint to use Active Directory You may have some employees who are using SharePoint; they would like to have their workstations placed into the Active Directory domain to eliminate multiple log-ins You do not have to place all workstations in your unit into the Active Directory domain before you can begin using Active Directory We recommend that you begin placing new workstations into Active Directory as you receive them Reduces your workload when you have to move to Active Directory Allows you to deploy software Additional Information SharePoint and Active Directory: March 18, 2010
