1 POSTING CALENDAR EVENTS

2 1) Misc. helpful information If you are given a hard copy of a press release, before you start typing it into Word, you will usually, almost always find the exact information on the organization’s website. The way to find out if it is available, is to take a unique phrase from the press release, put a quote mark (“) in front of the phrase i.e. Martin Jones will be hosting the Rock Ridge gala event Thursday October 5th with many celebrities attending etc. would be placed in Google as something like “Martin Jones will be hosting the Rock (quotes in Google make all the words to the right of the quote mark read as one word) Once you find the press release on line, you can cut and paste it to save yourself lots of time. In order to access the media section, enter “OCPAC” as the password.  Always include a clearly written “who, what, when, where” section with ALL available info.  Delete any unnecessary info and press contacts  Highlight all the text (control + A) and make everything Times New Roman 12 pt. font.  Make sure everything is aligned left  Have a paper or online calendar available for multiple day events.  If the title is in all caps, go to “Format” menu, select “change case,” and change  Title to “Title Case” Also keep in mind that you need to have the entire title on one  Line so if it is on two or more just go to the end of the line and hit delete.

3 2) Open or make sure MS Word and the LA Splash Magazine Calendar posting site are all open.  Check to make sure that the event you are planning on posting is not already posted.  Check all the dates if there are multiple dates to make sure events are not posted more than once!  Usually the event will be in an email. 5 7) Click on the "plus" on the top right-hand side of any date. A popup will come up.

6 8) Enter event.  Paste in “event description” box all the information about the event.  Add start time, but not end time – it takes up too much space, and people can follow web link to find out  Add date of event  Add type of event from pull down menu  Put website or email address in appropriate boxes if available  Enter event title – it should be in title case (not all caps)  If the event is a multi-day event, hit repeat circle  If the event is consecutive (ex: Thurs, Fri, and Sat) enter the number of additional times the event will repeat not if the event last 3 days – hit “repeat” and then enter the number 2 since it will repeat 2 additional days)

7 Saturday and Sunday hopefully they are all at the same starting time but if not make sure to change the times as necessary. Sometimes events will have a matinee performance as well as an evening performance and you need to copy the event and re enter it on the same days that you already posted it but with a new time. The way to copy an event is to go to the event already posted and click on it, then go to the bottom of the page and you will see a blue link called Copy Event, click on that and a copy of the original will appear.  Now change whatever data is necessary to change and click add  Repeat as necessary  9) Double check info!  10) Hit add event Tip: Another tip is that at the top of the calendar page is a really small calendar to the right of the last month and to the left of the next month, if you click on this link it will bring up a calendar which will make it easier to keep track of your event posting. After the event has been entered please tell the appropriate party that event has been posted. If the email for the PR contact is not evident in the press release or website from which we gathered information to post the event, follow up with Larry to see who the original (event-info) email came from, or look up the company in the “Contact Info Chart” in the PR folder in the LA Splash Magazine folder. Make sure to blind CC Larry on all emails that we send out. - There is a stock email available for this purpose for our current media contacts (just make sure to change event title and date posted). If wanted request two press passes and digital photos so we can cover the event. Please make the return email address (events@lasplash.com)

8 - If we are not on their media contact list please send them a request to be added to their media list with our magazine stats with the posted email 1. Go to Network Places. Go to D on Glass. 2. Open the LA Splash magazine folder. Open the letters folder. 3. Find the latest template and be sure to update all the numbers. 4. Insert an email and send. Once tix have been confirmed add event into the Yahoo calendar. Larry will have first choice to go to the event and if he chooses not to go we will be able to distribute tix. Sponsoring Events:  Occasionally a PR company will inquire as to whether we would be willing to sponsor one of their events. We sponsor in the capacity of coverage in our magazine, both preand post-event, with a front page feature, even the main feature. We also offer the possibility of gift certificates to the Splash Spa “The Relaxation Spa,” yet we never offer direct funding.
