The Poster Printing Service is part of Design Department in Learning & Media Services. We are located at the back of the Cruciform Building on Huntley Street. Reception (4) 6669 - Web - Hours am– 17.00pm Monday to Friday (closed pm for lunch) My name is Stuart Nightingale and I Head the Illustration Unit that is a part of Media Resources within UCL. Our location is in the back of the Cruciform Building, which is opposite the main entrance to UCL but round the back in Huntley Street with our own dedicated entrance. Calls to reception on or internally will be forwarded to illustrators if necessary. The to use is where you may request information or send work requests and attachments. Information can be accessed through our website at ucl.ac.uk/illustration then route through to posters. We are available between 9 and 5 Monday to Friday.

Files may be sent to us in a number of ways:
Files no greater than 5MB can be sent as attachment to with the following information: *Name *Department *Size to be printed *If lamination is required *Method of payment *Required by date *Program and version (ie PowerPoint 2003/2007) file was made in and platform used (mac/pc) Even if you speak to someone prior please put these details in, the is picked up by all of us. You can also bring the file in on a memory device or use the UCL dropbox. We can accept files in anumber of ways: If it is no greater than 5Mbyte then it can be sent as an attachment to our address but you must include all relevant information. It also helps to tell us whether you are using a mac or pc, we will output on the relevant machine. Even if you have spoken to someone about your file please do put all information on the as it goes to a common cpu which is picked up by all staff. Best methods of submissions are CD, zip disk or memory stick.

Proofs It is always advisable to bring an A4 proof copy or send a high quality PDF file so that we have something to check print against. Please note that if the finished poster is incorrect due mistakes on file then reprints will cost the same as the first. If there is a technical error on our part we will correct it free of charge. If no proof is supplied and there is an error that could not be foreseen you would be charged for any reprint. Please bring either an A4 proof, black and white is ok or send a pdf file so we have something to check against if we notice anything odd or even a font not on our systems having been used. Any errors on the poster due to an incorrect file are the originators responsibility. We will reprint but the cost will be passed on. If there is a technical error on our part we would reprint at no cost, assuming our submission times have been observed. If a proof copy has not been supplied generally the responsibility lies with the originator.

Design Programs The main application used is PowerPoint We can also support InDesign and Illustrator. It is best for those using other applications to check whether files can be saved in an acceptable format. In general if the file can be saved as a high resolution PDF i.e. publication or print, eps or ps then it will be ok. Enough of the Corporate Identity we’ll move on to Posters in general. The main application used at UCL is Powerpoint although we can handle others like Quark, InDesign and Illustrator. Powerpoint is mainly used because it is readily available and cheap, can’t get cheaper than free to UCL staff. If other applications are used it is best to check how we want it presented. In general any file that can be saved as a high resolution pdf, eps or ps will be fine.

Size Size is important! Conference information will include maximum dimension board allocated. Work on a page set up as close as you can get to the size you want, if it is bigger then set a size proportionate to your requirement and we will scale. Applications will have a maximum page set-up size. These do vary but Powerpoint is about 1340mm square. It is always best to work on a size close to that required for the finished article. If this is not possible work to the biggest page set-up you can, proportionate to the end size and then work everyhting to the same percentage relationship. We will scale Bear in mind the scaling is proportionate in both directions, we do not distort originals. If allocated a large area it is not necessary to fill it all particularly if it is portrait. The cost of your poster will depend on its size and it is normally best to laminate larger ones simply for handling.

We require an acceptable method of payment before releasing any work.
Turnaround Time It is always best to have your work early when any mistakes can be remedied on either side. We ask for 2 clear working days for an unlaminated poster and 4 for laminated. You may be lucky and it may be finished in a day but we cannot guarantee that it will be possible. We require an acceptable method of payment before releasing any work. Plan early, we get very busy printing many posters each year. I would rather have your work early than be struggling to print a file left far too late. If there is a problem for any reason it gives a chance to remedy the situation. Once you have had your poster accepted and have the details plan ahead. For printing we need 2 clear working days for an unlaminated poster and 4 if lamination is wanted. Because of peaks and troughs of demand it may be that we print almost immediately but it depends on many variables. Just because we have printed very quickly one time does not mean it will be possible another. Ensure you have funds in place before bringing the file. We will not release any poster without an acceptable method of payment.

Payment Best method is Inter Departmental Transfer (IDT) which should be available through your administrator. This is the only method that does not attract VAT. Work can also be paid for by debit/credit card. VAT is added to card transactions If an IDT can be produced but not in time then we will accept a credit card impression and set an agreed date after which it will be processed. Payment method needs to be addressed. Best method is through the College Inter Departmental Transfer (IDT) system. Your Departmental Administrators are familiar with these. This is the only method of payment that does not attract VAT. External bodies must either produce external official orders or pay by cash, credit/debit card or cheque. This includes the Hospital where a purchase order must be arranged in advance. Sometimes these cannot be produced in time and in these circumstances credit card details will be taken and an agreed date set by which the IDT must be submitted.

IDTs: Paper IDTs should be filled out with the appropriate GL or grant code and signed by an authorised signatory. Electronic IDTs should be sent to Learning & Media Services FAO Laura Tovey or Helen Petterson with your surname in the description. Please contact us before collecting you work to confirm we have received your eIDt for the correct amount. Current prices are on slide 7 & our website: We do have people saying they will pay and then claim the money back, UCL does not like this method because of the VAT implications. If an IDT is used all Departmental and analysis codes must be entered with an authorised signature. UCL Corporate Identity
Before going any further, this year I have to spend a little time talking about the new Corporate Identity which went live on August 1st this year.

What the Corporate Identity Guidelines say:
The Guidelines are available from the Development Office website What the Corporate Identity Guidelines say: It must be used for all posters produced by UCL Staff for external presentation. Proportions must be retained with no distortion. Prescribed fonts must be used. UCL colours must be used. The initiative for this was led by our provost, Malcolm Grant and supported by his Senior Management Team. It was also supported by the Development Office who were responsible for its implementation. The commission for this was placed with The Partners who are prominent in London. The result became the official UCL Identity. Media Resources remit, along with others in their specialist fields was simply to make it work in practical terms . It is not my brief here to talk about the principles behind the change but to give you an idea of the poster production facilities at UCL and how to get it printed in accordance with College guidelines. The major change from last year is that the Portico logo is no longer valid and should not be used, the new identity must. There is a 58 page guideline on the Corporate identity website if you want to while away a couple of hours. This is to be updated in the next couple of months.

Text may only be centred when it is required to add a Poster number The UCL identity banner should be used at the top of your poster. The College Fonts are Arial and Garamond but obviously it will be necessary to use Maths or Symbol. In most circumstances text in this bar must be aligned left but can have colour as appropriate. A picture may be put in the background but not a collage.
Colours may be used as a background but should be a percentage tint of one of the original UCL Colours on slide 14. A picture may be put in the background but not a collage. Colours may be used as a background but it is required that they are a percentage tint of the UCL colours. The values for percentages are in a download pdf available on the identity website as are instructions as to how to put them into Powerpoint. It has now been accepted that a faded picture can be used in the background but not a collage. If this is wanted it should not be put in via the background menu but simply inserted as a picture from a jpg file and sent to the back or into the master. All files can be downloaded from the identity website. They are zipped so need expanding. Only use the files from the Conference Poster section those in Powerpoint are too low resolution. The files to use on posters are the Windows Meta Files (wmf) that will give a crisp image. They look a bit fuzzy on screen but do work.

No other logo should be used in the top banner bar
Where there are co-funders, collaborators their logos should be set at the bottom No other logos are permitted in the top banner. This does of course cause problems because of co-authors, collaborators and funding bodies but that is the basic rule. The instruction is that all other logos must be put at the bottom, an example is shown in the graphic.

Whether you have centred or left aligned an exclusion zone must be left around the UCL cut-out. Text must not impinge in this area. The rule of thumb is the size of the building icon spacing in all directions.

There is a standalone logo which does offer an alternative to the banner logo. This can also be used in the UCL colours shown on slide 14. The standalone logos offer an alternative though it should not be of primary use. Again its available in the same folder as the described previously. It too comes in all the UCL colours The official line is that this may be used at the bottom with other logos. We have tended to follow a more flexible approach until told otherwise that it can be placed at the top right with no other logos next to it. Other logos would be put on the left hand side. Where there are collaborators this may be used at the bottom with the other appropriate logos.

Quick Do’s and Don’ts Checklist
Do leave plenty of time to have your poster printed. Do try and collect your work yourself to check it is correct. Do use high value dpi images. Do check your poster conforms to UCL Corporate Identity & conference specifications. Do supply us with an A4 proof or create a high quality PDF to send with your original file . Do save your work as version of the software it was created in. Eg. If poster was created on PowerPoint 2007 save as a pptx file. DON’T Don’t use transparencies in PowerPoint. Don’t use high contrasting gradients in PowerPoint.
