3 Certify Enter data into SMS in a timely manor Address issues daily –Example - # days > 3 Audit 1 st Tuesday of month

4 New Bullying Sub-Codes from Office of Civil Rights New codes (63, 63D, 63E, 63G) –General OR race, color, national origin OR sex, OR disability –The label used to describe an incident (e.g., bullying, hazing, teasing) does not determine how a school is obligated to respond. Rather, the nature of the conduct itself must be assessed for civil rights implications –Examples

5 Bulling Reporting Form Complete on all allegations (student or staff reporting) Fields at bottom of form indicate if it was a confirmed incident and thus an SMS discipline record Will report all allegations from the form quarterly (confirmed incident numbers will be pulled from SMS)

6 Attendance Match to Discipline Records Post all attendance removals at the time of discipline action entry State focus on part day removals

7 Short Term Removals TEA focus Include reason for using short term if multiple days in the notes Verify attendance supports the number of hours you report

8 Actual Length & End Date Use the Daily Discipline Action Report to find students who should/should not be on the list and thus need the removal record adjusted Based on SAC / Suspension attendance, make any necessary adjustments to the removal record AND attendance 425 Student Disciplinary Action Data ACTUAL-LENGTH-OF-DISCIPLINARY- ASSIGNMENT –Include only the actual number of instructional school days that the student was in attendance when calculating this number. Do not include days absent. –2013-2014 Data Standards

9 Drug & Alcohol Actions (reason codes 04 & 05) Removals will now be Placements –Hearings occur on campus

10 COMPASS / Highpoint / JJAEP Withdraw & Enrollment Process Student will not be withdrawn from home school until enrolled at DAEP Student must be marked absent (and handled like any other absent student) until he/she is withdrawn –Attendance and drop-out reports to home school Withdraw grades will be pulled from the teacher grade book by COMPASS when student enrolls –Teacher grade book must be current

11 Discipline Hearing Results Database NEW Templates for letters Automated completion of some data such as student name based on ID Date / Time stamped Access limited to Principal, AP, and Duty Management role of Discipline Support Staff

14 E-mail / Fax Hearing Results Letters Only documents required to be sent to Student Services and COMPASS are the hearing result letters and contracts –Highpoint will need all grade and schedule information Directions for using Xerox for sending documents though E-mail

16 Incident Notes Essence of write-up Student ID only if multiple students involved Gun, knife, justification of code

17 Referred By Action Taken By Always use the name from the drop- down when possible (start the name and pause to bring up the drop-down) If it is a Bus incident –In the Referred By field, record the route number in the format R### (if a standard route) or RX### (if it is an extra-curricular route) where ### = the three digit route number. (Example – R008 would stand for route 8) –You may include other information such as driver’s name in the notes section –TEA focus on location = Bus Verify all bus incidents have the correct location code

18 Special Ed ARD Overrides Only required if there is a mandatory action that is not taken due to the ARD Record the mandatory action as determined by the original hearing Zero out the Actual Length if time will not be served in that placement Enter the ARD override code Enter the action resulting from the ARD that will be taken in the place of the mandatory action Enter incident when it occurs –Do not enter ARD override until MDR is completed

19 Superintendent Override Code Contact Mr. Knippel’s office to verify override is approved Contact Student Services to assist with the documentation –Include date and person worked with in notes

20 Access to COMPASS & Highpoint data Duty Management = Discipline Coordinator –Contact Student Services if updated (not automated) Identified counselor

24 What is the maximum length for an out-of- school suspension placement? –In accordance with TEC §37.005, under no circumstance may an OSS exceed (3) three days. If a student receives out-of-school suspension for a partial school day (even if for one class period), that partial day is considered one of the three total allowable out-of-school suspension days.
