2 ADVISORY DUTIES Inform students about courses they are required to take and assist them in course selection, Approve student’s course registration assessing his or her progress in relation to curriculum Guide students in academic development and career planning  departmental and non-departmental electives  extracurricular activities, seminars, etc.

3 METU Student Information System (SIS) Approve students through METU – SIS (https://sis.metu.edu.tr)https://sis.metu.edu.tr (The website is maintained by the Computer Center at the Ankara Campus)

4 Academic Planning Unit (APU) APU website contains useful information for advising (course lists, program charts, etc.) as well as forms to be filled out during registration, and a troubleshooting applet. (https://apu.ncc.metu.edu.tr)https://apu.ncc.metu.edu.tr This website is maintained locally by the Northern Cyprus Campus Registrar’s Office.

5 COURSE REGISTRATION See registration conforms with course priority 1.Courses that must be repeated 2.Must courses not taken previous year 3.Must courses according to the order of years in curriculum 4.Courses to retake to improve GPA Watch for conflicts in registration! Do not approve conflicting registrations (exclusions: temporary placements!)

6 REGISTRATION PROBLEM FORMS Direct students to APU for registration problems Ask students to fill out a separate form for each problem Reject (Solve) or Approve (Forward to RO )  Forms are filled again when action is delayed  Filter repeat forms Do not forward forms that are not clear

7 REGISTRATION PROBLEMS vs. PETITIONS Problems that can be solved during registration (e.g., section change, capacity increase): Registration problem form to be filled. Problems that can be solved through Academic Board decision (e.g., course adjustment, previously undefined equivalent courses, semester leave, amendments in student records.). Petition to RO (forms can be found on the intranet).intranet Do not forward forms that require petition to RO

8 DUMMY COURSE For English courses (last section for 101, 102, 211 and 212)  to have flexibility for transferring students between sections  to resolve students’ registration problems after registration period  to decrease the load on Academic Board related to registration problems

9 ELECTIVE COURSES Make sure student has chosen the right category (dept., non-dept., etc.) Foreign language – minimum two courses before selecting another language Check and warn for foreign language course selection (existing proficiency level!)

10 REGULATIONS Adaptation to NCC Campus Latest in Turkish, to be translated to English New Announcement on RO Page: Exception for probation students who started the program before 2012-13 - will be able to take new courses for one more semester

11 CHECKLIST Announce available hours to advisees  Make Friday afternoon available or inform RO Make sure students fill … before approval  Address form  Declaration form for language electives Approve students through METU-SIS (approve add-drop as well!) Determine graduating students and check registration for graduation requirements

12 Dear Student, BEFORE visiting me for your registration advisor approvals, MAKE SURE you completed APU ADDRESS FORM APU LANGUAGE DECLARATION FORM (if necessary) YOUR COMPLETE COURSE TIMETABLE sent to me via APU THEN you can visit me to finalise your approvals. 13 UNREGISTERED STUDENTS Students apply program coordinators with a valid reason until the last day of add-drop Respective Academic Board takes a decision on the petition RO registers students approved by Academic Board

15 COURSE WITHDRAWALS Within 10 weeks With course instructor and advisor approval Only one course a semester, max. six in program life No withdrawal in the first 2 semesters \ from repeat courses \ from withdrawn courses \ from NI courses Students w/ minimum load - no withdrawal
