2  In order to use the time clock there are four major steps that need to be setup in conjunction with your employee profile. › Must be part of an Organization Chart. › Must be in a Timekeeping Rule. › Must have Employee Access. › Must have a True Time Access Code.

3  The quality of your initial enrollment will determine the acceptance of each punch thereafter.  Enroll a clean finger (no lotion or wet fingers) and remember the placement of your finger – too far forward, too far backward, too soft, too hard, etc.  Verification levels may be lowered for those with difficult fingerprints.

4  You no longer need to enter your digits. The clock only wants your fingerprint once you are enrolled.  Place your finger on the reader and wait for the green verification light to accept your print.  Once accepted, the clock will load your personal information and show the following screen:

5  Your name will appear at the top of the screen with your Current Status. The options below are the options you may change your status to.

6  When Clocking In, your only option should be “In”. Press the button on the left side of the option to select that status.

7  If you have more than one pay code attached to your profile, you will see a second screen with those job codes.

8  If you have more than one pay code, the options listed on the screen should include your bid job and any other jobs that you may sub in. (This was set up to match the jobs that were available to you in Kronos.)  Use your bid job title only for your bid job hours. If you are subbing for another position in your bid job classification or doing additional time under your bid job, use the OTHER option.

9  Each pay code is attached your individual rate of pay so it is very important that you are using the proper code.  Once you have selected the proper job, you will see a screen that says “Your status was successfully changed”. Be sure to wait until the screen gives you this message or it may not accept your punch.

10  When Clocking Out you will see a few options.

11  Out to Lunch is used when taking your scheduled Lunch break.  Temporarily Out of Office is used when leaving the building for an unscheduled break in your day for something such as a doctor appointment – or if you just have a break in your day between jobs.  Gone for the Day means you are leaving and not returning today.  Gone for the Day Submit Timesheet is for the last punch of your shift on the last day of the week.

12  When clocking out of one job and transferring to another, Press F2 (F2=Change Job).

13  As Kronos users, we were used to submitting our sick leave or time off through the time clocks.  All time off entries will be made in the Employee Access area online in the module labeled “Time Off”.  Once entered and approved, your time off will populate your time sheet.

14  True Time will create a time sheet for you every week.  You must either log in to Employee Access OR review your time sheet from the clock and submit them to payroll EACH WEEK.  You are responsible for making sure your time is accounted for and accurate.  If you do not review your time sheet or submit it and you have missed punches or unaccounted time, we will be forced to process payroll and you will be short time/money.

15  Log in to Employee Access  Select True Time, My Time Sheets, My Unsubmitted Time Sheets:

16  You will see a list of your Unsubmitted Time Sheets.  Select the week you wish to view and “View Time Sheet”.

17  Period Summary is the area that will summarize your weekly hours according to pay code.  Daily Totals is the area that will summarize your daily punches and hours.  Adjustments is the area that will show any adjustment activity for the week (such as manual entries for missed punches, corrections, etc.)

18  To begin the school year, your payroll secretary will be assisting you with any adjustments or corrections to your time sheet.  Notify the payroll secretary immediately when a change is required to your time sheet.  You will know the minute you clock in/out and do not have the correct options available to change your status to.

19  Our goal, this school year, is to give each of you access to make edits to your own time sheets.  Due to timelines and work loads, we are unable to support the training of this feature at this time.  Let’s get ourselves familiar with the system and see where we are at later this year.

20  Once you have reviewed your time sheet for the week, you have two options: › You can submit your timesheet from Employee Access after the last punch of your day on Friday OR › You can select the last Clock Out option on the Time Clock labeled “Gone for the Day Submit Time Sheet”

21  Go to Employee Access, True Time, My Time Sheets and My Unsubmitted Time Sheets:

22  Select the week you wish to submit and select “Submit Time Sheet” on the far right side of the screen.

23  The Summary of your week will appear. This will look the same as the “View Time Sheet” option except this time you have the option to “Submit Time Sheet”.  Once you submit your time sheet, your payroll secretary will receive a notification that your time sheet is waiting approval. The payroll process begins.

24  You have the option to review your time sheet from the time clock.  Scan your finger from the time clock.  The clock will load your information. Instead of clocking in/out, select F1 (F1=My History).

25  You will see the detail transactions for the time sheet.  Select F1 to submit the time sheet.  After submitting, a message displays indicating the time sheet has been successfully submitted.

26  You may notice warning messages as you are beginning to Clock In/Out. These messages are connected to your schedule in True Time.  We mass populated schedules to give everyone the ability to begin Clocking In/Out.  These schedules will need to be updated to reflect your actual schedule.  Until the schedules may be updated, disregard the warning messages and just be sure you receive the message about your status being successfully changed.

27  We have created a few step-by-step tutorials for your assistance while we get this school year started.  We will email these tutorials to your district email account. Our suggestion is to keep these emails for future reference.  Help a friend.
