3 3 Materials Received Materials that will be received based on participation counts: Non-secure  Header sheets (used for organizing answer documents)  Paper bands (used for securing scorable answer documents)  Answer Documents  Manuals (Test Implementation and Examiner’s)  Return Labels  Formula Sheets (Quantity delivered for on-line tests as the paper tests include the formula sheet.)

7 7 Materials Received Pre-ID Labels  Pre-ID labels are generated by:  Submitting a Student Data Upload (SDU) file through PEM Solutions  Manually entering the Pre-ID information into PEM Solutions  The following field updates will generate a new Pre-ID label (either via an SDU or manual update):  When the student changes to Term Grad  When the student is marked as a re-tester  When another test is assigned to the student

8 8 Materials Received Pre-ID Labels  The SDU and manually entered student data is uploaded by Pearson early Monday mornings during the Pre-ID delivery window  The data is processed, labels created and delivered to the division by Friday of each week.  Pre-ID labels will be packaged in a single envelope or box by school  When submitting the SDU file a new file submission does not REPLACE a previous submission

9 9 Materials Received Automatic Material Overages:  Initial shipment will include overages intended for use by the division and school.  Divisions receive 10% of the overall participation counts per subject of their main form (including answer documents, writing prompts, etc) and 10% of their alternate form used for retesting.  Each school will receive enough testing materials (including answer documents, writing prompts, formula sheets, etc) to cover their entire participation count plus an additional 5%.  Note – there is no overage applied to special kits (Large print, Braille and Audio)

10 10 Documentation Received Computer generated reports that will be in the materials shipments:  Pallet Detail Report  Division Overage Packing List  School Packing List  Receipt Verification Form

11 11 Pallet Detail Report Pallet Detail Report provides a summary of school boxes by location in the shipment pallet  Conveniently lists each school by box range to aid in sorting and to ensure all boxes were received.  The Pallet Detail Report can be located in box number 1 of the box range.  Note: Divisions who do not receive boxes by pallet will still receive this report.

12 12 Division Overage Packing List Division Overage Packing List Report provides an overview of all overage materials sent to the division.  This report can be found in box number 1 of overage materials.  Note: Overage Packing List Enclosed will be stamped on the appropriate box.

13 13 School Packing List School Packing List provides a summary of all materials for a particular school in a shipment  Each school’s packing list can be found in the first box that corresponds to the school in the shipment.  Example: The materials for Wing MS are located on the pallet in boxes 3-5. The School Packing List for Wing MS would be located in box number 3 of the shipment.

14 14 Receipt Verification Form Receipt Verification Form is a checklist for divisions to ensure that all materials are received and to aid in the return of materials.  This form lists materials by school in the order received  Includes pertinent security numbers.  Form includes a column for divisions to fill in quantities received and to note any discrepancies when returning the materials.  Found in the division overage box #1 along with the Division Overage Packing list.

15 15 Shipment Confirmation Click the Shipment Confirmation tab to view confirmation information  Click Edit to enter shipment receipt data and to indicate whether there was a problem with the shipment
