3 The management processes for the OSTP are delivered by the PearsonAccess technology that provides comprehensive assessment solutions. The new system combines most functions previously performed through SchoolHouse and eMeasurement Services into one easy-to-use site.

4 OSTP Testing Contractor - Pearson Pearson is pleased to serve as the testing contractor for 2010-2011 for the OSTP which includes the OCCT for Grades 3-8 and EOI and the OMAAP for Grades 3-8 and EOI. Pearson will be introducing a new online assessment management system for the OSTP which will be replacing SchoolHouse (online data management) and eMeasurement (online testing).

6 How do I access the Oklahoma School Testing Program Web site?

7 OKASSESSMENTS.COM OKASSESSMENTS.COM is a web destination that provides an access point to the OSTP.

8 District Test Coordinators are uploaded into the system by Pearson based on the DTC Database provided by the state department. If your information has been uploaded into PearsonAccess, you will receive an email with a hyperlink to set up your account in the system. If your information has not been uploaded or you are a new District Test Coordinator, contact Pearson. Getting Access to the OSTP Web Site

12 What are the benefits of the new Oklahoma School Testing Program Web site?

13  Management of administrative tasks for both online and paper testing are incorporated into one site.  An authorized user is given a single login to access the various assessment management tools. User roles can be selected to match the test administration roles, such as district testing coordinators and online test administrators. Benefits

14 The process for uploading precode files has been streamlined, and new tools for managing the precode process have been added. Functionality to set up test sessions, to add students to test sessions, and to maintain class rosters for online testing has been improved. Benefits Cont.

15 Online participation/enrollment will be designated through the participation and registration process in the assessment management system, rather than through a separate registration form. Districts will have the ability to create and designate groups through the Request Registration File feature –extract current registration information –make modifications in the file –use the Send Student Data feature to update information in the assessment management system Benefits Cont.

20 The Training Center for the Oklahoma School Testing Program, delivered through PearsonAccess, allows you to practice without affecting “live” data for paper and online testing activities. –For instance, after creating sample students, you will be able to practice registering students and assign them to classes, tests, and sessions. Username and password for the Training Center are different from the operational site. This keeps students and testing data secure. Student Data files cannot be uploaded into the Training Center. 21 Training Center – Logging In To log in to the Practice Center 1.Enter www.okassessments.com into your browser. 2.Navigate to the Training Center tab. 3.Click the SIGN IN button. 4.Enter your user name and password, and then click Login to go to the homepage for the Training Center. To log in to the system for the first time, use the link in the New User Account e-mail from okhelp@support.pearson.com.

23 How do I navigate the OSTP Web site?

24 Navigation There are several navigation and data elements that you will see on every screen. Using these elements will make you more efficient and help you quickly find the test administration, organization, task, and data that you are looking for.

25 Navigation: Global Navigation Global navigation links appear on the top of every screen.

26 Navigation: Tabs Tabs and sub tabs allow you to navigate quickly to specific screens.

27 Navigation: “Breadcrumbs” “Breadcrumbs” show the navigation path to the screen.

28 Navigation: Test Administration To change the test administration, click on the Change link. The administration change will apply to all screens.

29 Test Administrations The following test administrations will be available: 2010-2011 Winter/Trimester End-of-Instruction (EOI) 2011 Spring End-of-Instruction (EOI) 2011 Spring Grades 3-8 You can change test administration at any point while working in PearsonAccess (for example, when using Test Setup or Test Management functionality).

30 Navigation: Organization Click on the change organization link to view a different organization’s data within the same administration. Examples of organizations are districts and school. The organization change will apply to all screens.

31 Navigation: Help Help offers context-sensitive support. Click to close the Help window.

32 Navigation: Buttons/Functions To accomplish tasks on the screens, look for the functionality buttons in the header. These buttons allow you access to some key functionality in PearsonAccess, like ordering additional materials, adding new students, or requesting reports.

33 Navigation: Search When locating student or testing data, use the Search function to make your search more targeted. Click Hide Search to close it. Filtering the data makes your navigation through the system more efficient.

34 Navigation: Filtering Use the Filter functionality to locate specific student or testing data. You can use a keyword to locate all records that match it.

35 Part 2: Pre-administration

36 Security functions help control access to the Web site and maintain security of data. Some of the function include adding and deleting user accounts, assigning roles and assigning organizations. Administrative Management

37 A user in the OSTP Web site is an educator, test administrator, teacher, or any other person who has been given an assessment management system user account. “User” in the OSTP Web Site

38 Each user is assigned a role in the OSTP Web site. Roles define the level of access. stock Roles-based Access

40 How users are created Roles and permission matrix define user roles and permission levels.

41 How do I get access? District Test Coordinators are set up by Pearson, based on a file the State Department of Education provides. All other accounts (BTC, TA, and technologists) are set up by the district using the User Account File process or by manual set up. Users will receive an e-mail after set up. How do I establish my password? When your user account is initially created, an e-mail is sent to you that contains a link to the system and instructions for establishing a password. Once you have established a password, log in to the OSTP site. You will then be prompted to read and accept the Confidentiality Agreement. What information does my user account contain? Demographic and contact information Assigned role(s) Assigned organization(s) User Account in the OSTP Web Site

42 There are two ways of creating a user account: Uploading a User Account File (“mass upload”) Manually entering individual accounts Adding User Accounts

43 Proper password management prevents unauthorized access to testing data. Your password will expire every 90 days and will need to be reset; however, if you have the need to change your password before the 90 days, you can do so from the Your Account link. NOTE: Passwords must be 8-32 characters in length and must not include the following special characters: ^&*(><"'`+= | View User Accounts - Changing Your Password

44 If you forget your password or your password expires, you can click on the Reset your password link located on the login screen to reset your password. View User Accounts - Resetting Your Password

45 Some roles give users permission to view and manage other user accounts. These roles can: Reset other users’ passwords Lock and unlock accounts Delete accounts Update account information Export user data View User Accounts - Managing User Accounts

46 A “locked” status indicates that a user does not have access to log in to the account. The “locked” status can be caused by: five unsuccessful login attempts or an administrator manually locking the account. A locked account must be unlocked by the administrator who created the user account. View User Accounts - Locked Account

47 View User Accounts - Deleted Account A “deleted” status means that the user cannot log in to PearsonAccess under any circumstances. For example, if a user left the district, that account should be deleted.

48 Organizations An organization is an entity in the organizational hierarchy, such as a state, district, or school. For instance, SDE, District 1, and School 1 are all organizations.

49 Are classes part of the organizational hierarchy?

50 Classes are Not Organizations Classes are a way to organize students into groups to be assigned to online testing sessions. Classes are “reporting groups” within individual organizations. If no class is specified, the report will say Subject – No Class Provided.

51 A file of accredited districts and schools is provided to Pearson to establish the organizational hierarchy in PearsonAccess. This file contains such information as the list of contacts, test administrations, administration details, classes, tests, responsibilities, and class details. Organizations

52 Participation/Enrollment Counts Participation/Enrollment Counts will be collected via SchoolHouse for Winter/Trimester administration only. Participation Counts allow managing paper and online test numbers from the same location. Participation Counts must be entered by the time specified. Participation Counts are used to determine the quantity of manuals, guides, and test materials to be shipped to the district.

54 Registration/Precode will be entered via SchoolHouse for Winter/Trimester administration only. Registration/Precode is required only for End-of- Instruction (EOI) and will be submitted by administration. NOTE: Grades 3-8 registration will be done through the WAVE system. The file specifies for each test a student is being registered within a given test administration. Registration/Precode

55 Before you submit a file, make sure that your file meets the student data file specifications. There are three resources available to you: Student Data Upload Layout that defines the requirements for all fields, Student Data Upload Instructions and Student Data Upload Template. 56 The Manage Student Data screen allows you to view and modify students whose data have been submitted for upload and to add new students. Manage Student Data

57 Test Setup The primary test setup activities are entering administration details, entering/verifying participation counts (formerly enrollments), ordering additional materials, and tracking orders.

58 You use Order Additional Materials and Tracking to order additional paper materials if you need more materials than originally provided. You can also check on the status of existing orders and track order shipments. Order Additional Materials and Tracking
