1 Transformation Round Up January 2016 Monthly Progress Update from the Corporate Transformation Programme Outpatient Experience Based Design (EBD) An exciting piece of work is underway to look at how we can transform Outpatient Services across Manchester Royal Eye Hospital using an “experience based design” approach. We have collected feedback from staff and patients regarding the current service, highlighted key themes and are in the process of developing an “experience film”, which shows a true picture of how it feels to work and be a patient in MREH Outpatients. A final co-design and feedback event will be held on Wednesday 10 th February to showcase the new experience film, launch the Outpatient Standards, and bring together patients and staff from MREH Outpatients to start co-designing a new and improved service together. Also in February, Divisions will attend a panel presentation session to provide feedback on their reassessment results, previous action plans and demonstrate which areas have shown improvement. 2 Outpatient Workstream Updates Patient Letters & Communication In December 2015 and early January, Divisional representatives and General Management Officers (GMO) met to plan an approach to improve Outpatient appointment letters. The group agreed to a ‘dual’ method to simultaneously ‘cleanse’ the current PAS system by removing inappropriate letter codes and commence design of a standardised letter template. Both Divisional representatives and GMO’s will work collaboratively to establish which letter codes are no longer required and full deletion from the system expected for completion by the end of March 2016. For further information, contact katie.moss@cmft.nhs.ukkatie.moss@cmft.nhs.uk Creating a Safe and Welcoming Environment Throughout November and December, the group has worked to develop a revised local induction document for new admin and clerical starters across CMFT. This will ensure new starters have the right information, at the right time so they can feel confident and supported in their roles for day one. This new induction pack is a shared document between the line manager and the new starter and will facilitate a robust and effective local induction. This document has since been shared with the Outpatients Working Group and will be piloted by Manchester Royal Eye Hospital throughout February 2016 and the impact evaluated. For any further information, please contact sarah.watson@cmft.nhs.uk sarah.watson@cmft.nhs.uk System Training and Standardised Processes The objective of this Workstream is to develop a collective approach to developing consistent system training and standardising all processes used for outpatient activities. The key focus areas behind this Workstream are as follows: standardised operating procedures (SOPs) for admin and clerical staff, introduction of efficient scheduling tool to monitor room utilisation and clinic activity, review of compulsory system training for new starters, case note availability and tracking campaigns with staff to promote the importance of accessible information. Staff who expressed an interest in this Workstream and the Leads have been invited to meeting on Monday 1 st February 2016. 3 Outpatient Workstream Updates continued… Hospital Access & Wayfinding Development of an Outpatient hospital access and wayfinding group has been temporarily postponed in order to better understand the traverse work currently being undertaken by the Corporate Accessibility group. An update from the Accessibility group will be provided to the Outpatient Working Group following their initial meeting in February 2016. Continuous Improvement & Accreditation In December 2015, both the Transformation and Improving Quality team worked in partnership to host a meeting with Divisional representatives to discuss plans for the development of an Outpatient Accreditation scheme. The aim of the group is to develop and introduce a robust but flexible assurance process to demonstrate compliance to the Outpatient standards. At the first meeting, the group agreed that the process should build upon elements of the current ward accreditation and adapted where appropriate. Members of the group are now undertaking a shadowing exercise to understand the method and feedback process. A ½ day workshop is expected to take place in February/March to design key fundamentals and governance of the scheme. Following the re-opening of Wards 3&4 and opening of Ward 7, the MRI is increasing their focus on treating the right patient in the right place at the right time. This additional capacity will support patient flow across the MRI and help to recalibrate the system before the next Perfect Week, which is planned from 16 th – 23 rd March 2016. The Perfect Week is an initiative across MRI and Trafford to make long-lasting and sustainable improvements to patient flow and experience. Planning is currently on-going Divisions and we need commitment from all members of staff to make this week a success. Of the 17 applications reviewed by the panel to-date, there have been 4 successful projects. The first to provide pulmonary rehab patients with pedometers to support recovery, the second to give critical care patients a voice using speaking valves and diaries, the third to develop an out of hours volunteer service in RMCH and the final to develop an experience based design approach to improve Outpatient Services in Manchester Royal Eye Hospital.
