1 STUDENT ADVISORY MEETING Prof. Dr. Ali YILDIRIM October 1, 2015 nlı, Güzelyurt

2 ADVISORY DUTIES Inform students about courses to take and assist them in course selection Approve student’s course registration assessing progress in relation to curriculum Guide students in academic and career development  departmental and non-departmental electives  extracurricular activities, seminars, etc.

3 ADVISORY DUTIES Semester course loads (min. 3) and extra courses –CGPA of 2.00-2.49, 1 extra –CGPA of 2.50 or above, 2 extra Course categories: must and elective courses Prerequisities and corequisites Graduation requirements Academic Rules and Regulations for Undergraduate Study

4 First Year Students Fragile and need support, special attention to ones with low performance and motivations Collaborate with instructors and program coordinators Collaborate with Student Counseling and Development Center (direct students, get advice, etc.)

5 INSTRUCTORS’ STUDENT FOLLOW UP AND SUPPORT Determine students with attendance, motivation and low performance problems Talk to them in relation to their status and offer help Inform program coordinator about these students to refer to advisors Advisors assess their situation and may refer to tutors or Guidance Center

6 Registration Process Students use APU to check courses, instructors, schedules Students prepare a timetable of courses to register and send it to advisor After discussion with advisor, students register courses through METU SIS (https://sis.metu.edu.tr)https://sis.metu.edu.tr Get approval from advisor through METU SIS. If change is to be done, ask advisor to cancel approval first. APU provides assistance (course lists, program charts, etc.) as well as forms to be filled out during registration (https://apu.ncc.metu.edu.tr) but official registration is done through SIShttps://apu.ncc.metu.edu.tr

7 COURSE REGISTRATION See registration conforms with course priority 1.Courses that must be repeated 2.Must courses not taken previous year 3.Must courses according to the order of years in curriculum 4.Courses to retake to improve GPA Watch for conflicts in registration! Do not approve conflicting registrations (exclusions: temporary placements!)

8 REGISTRATION PROBLEM FORMS Ask students to fill out problem forms if you or program/course coordinators cannot solve the problem Ask students to fill out a separate form for each problem Solve or Forward forms to RO  Forms are filled again when action is delayed  Filter repeat forms

9 REGISTRATION PROBLEM FORMS Do not forward forms that are not clear, against regulations Problems that can be solved through Academic Board decision (e.g., semester leave, amendments in student records, course transfers.). Petition to RO (forms can be found on the intranet).intranet Do not forward these forms!

10 ELECTIVE COURSES Make sure student has chosen the right category (dept., non-dept., etc.) Non-technical courses – criteria to be defined second day to allow program students register first Foreign language – minimum two courses before selecting another language, consider prior experiences and education with language

11 “NOT INCLUDED” Courses not in curriculum can only be taken with NI status. They count towards max. course load. Max. two NI courses in a semester Not included in GPA/CGPA calculations, but grades displayed on transcript

12 UNREGISTERED STUDENTS Register students with problems at least one course so they have registration status Students apply program coordinators with a valid reason until the last day of add-drop Respective Academic Board takes a decision on the petition RO registers students approved by Academic Board

13 COURSE WITHDRAWALS Within 10 weeks With advisor approval Only one course a semester, max. six in program life No withdrawal in the first 2 semesters \ from repeat courses \ from withdrawn courses \ from NI courses Students w/ minimum load - no withdrawal

14 CHECKLIST Announce available hours to advisees  Make Friday and Saturday afternoons available or inform RO in case of emergency Make sure students fill … before approval  Address form (in APU)  Declaration form for language electives (in APU) Approve students through METU-SIS (approve add-drop as well!) Determine graduating students and check registration for graduation requirements
