3 Stray files  Files of conflicting versions scattered across multiple data sources.  The same file may be in 10 people’s email inboxes, the Z: drive, the documents database, on individual local computers. Collaboration Challenges  No real version control.  No checkout for doc DB, so the editing happens locally.  File shares permissions sometimes make collaboration challenging. Notification  No way to be notified when your shared file changes File Access  Have to access files from a number of different sources. Meetings  Meetings are managed through a different server than where the files are stored. Support  Doc DB was written by a grad student. There are no supports or updates!

4 The weaknesses mentioned in the previous slide are addressed with two different file database management systems. The lab is moving in the direction of implementing these two systems.  Teamcenter – Siemens  Think ENGINEERING DATA  Teamcenter replaces Ideas Team Data Manager (TDM).  NX replaces Ideas.  Sharepoint – Microsoft  Think INFORMATION – meeting minutes, PowerPoint slides, documentation to support project.  Sharepoint is slated to replace documents database and shared drives.

7 Viewer lets you look at the current Engineering Drawings. This is like JT2Go but for the actual live files. You can select and deselect portions of the drawing, zoom in, zoom out, rotate, etc…

8 Teamcenter provides product lifestyle management (PLM) for Engineering objects. It provides consistent information at every stage of the product lifecycle including planning, development, execution and support.  My Teamcenter provides a workspace for managing product information such as parts, documents, specifications and requirements.  Check-in/out documents, search, version control, etc…  Structure Manager creates, views and modifies product structures and manages CAD structures created by NX.  Visualization tools enable non-technical users to examine the data.  Workflow viewer provides an interface to show the progress of a workflow process for an object. Teamcenter is meant for Engineering design drawings. Teamcenter is not meant for basic file sharing, which can be handled through Microsoft Sharepoint.

9 Sharepoint is a server-based database that is web accessible and used to manage work in a collaborative environment.  Websites:  Sharepoint data is accessed via web sites.  No programming and no website design tools are needed to setup the sites.  Users contribute content to the websites.  Collaboration:  Allows multiple users to work on the same data.  Shared documents, calendars, discussion boards, Wiki’s, etc...  Notification when changes are made.  Checkout and version control.  Editing of Office documents in a web browser.  Content:  All files located on the sharepoint server  Permission levels are setup by a sharepoint admin.  Search:  Search for content in your documents or documents of your group.

10 There are two Fermilab SharePoint implementations to choose from:  Computing Division  Site-wide sharepoint - https://sharepoint.fnal.gov/Pages/Default.aspx.https://sharepoint.fnal.gov/Pages/Default.aspx  AD/Networking  The Cryo Department has already implemented a SharePoint site for their engineers to share all of there documents - http://www- cryo.fnal.gov/SitePages/Welcome.aspx.http://www- cryo.fnal.gov/SitePages/Welcome.aspx  We now have a Muon Department SharePoint site - http://muondept.fnal.gov/SitePages/Home.aspx. http://muondept.fnal.gov/SitePages/Home.aspx

11 A Muon Department SharePoint site has been setup, with sub- sites for Mu2e, g-2 and the Delivery Ring AIP.  Web access: http://muondept.fnal.govhttp://muondept.fnal.gov  File Server Access Login using your Fermi Domain Account. Access is on-site only, or offsite with a VPN connection. Works BEST using Internet Explorer, but also works on many browsers including Chrome, Firefox and Safari. Works on Macintoshes.

16 Navigate through the shared documents from your web browser just like you would a file share.

17 The browser “Back Arrow” allows you to retrace your navigation steps. The “Navigate Up” button allows you to quickly navigate back to the home site.

18 “Select” a document by clicking the check box to the left. Click the “down arrow” to the right of the document name see the various document options.

19 You can view or edit a Microsoft Office document from inside the web browser!

20 Open the file directly to Microsoft Office application!

21 Checking out a file prevents other users from editing the document while you are working on it. New edits do not show until you check the file back in.

22 A version history can be maintained with both major and minor version numbers. Comments can be included with each major revision.

23 The user can request email alerts for when documents are changed.

24 For even more options, open the library tools.

25 The Library tab in Library Tools has an option to open file explorer for multiple file or folder manipulations (IE only).

26 You can search the documents in any site

27 You can manage meetings from the SharePoint Calendar

28 Teamcenter will provide an Ideas TDM replacement that will be used to manage Engineering Objects. SharePoint will provide a collaborative information sharing system that MAY replace all of the Document Databases, share drives, Indico Servers, etc…, putting all of our information in one easy to access location.  Migrating our Department Beamssrv1 “Projects” folder seems to be a logical step.  If we implement SharePoint, for it to be a success, we have to go “all in” and remove the migrated files from Beamssrv1.  It may be a while before the Document Databases are retired.
