1 ABI Electronic Attendance for Elementary Schools Prepared by The SBCUSD Assessment & Accountability Department Revised: February 2013 1

2  Web-based application used to:  Take attendance online  Access basic student information  Run reports and mailing labels  Works with PC or Mac  Internet Explorer recommended for PC  Firefox recommended for Mac 2 What is ABI?

3  ABI gives access to confidential student info  User name and password should be kept confidential  Remember—giving someone else your ABI user name and password also gives access to your workstation and e-mail  Do not allow teacher aides to enter attendance or grades  When not using ABI:  Log out  Minimize the browser window  Lock your computer ABI Security

4  Attendance can be entered for current day only  All attendance should be submitted by a time designated by your principal.  Changes to attendance must be done by 2:00 PM (Lock Out)  Attendance clerk will monitor for missing attendance submissions  System logs you out automatically after 20 minutes of inactivity 4 Taking Attendance

5  In case the online attendance system goes down…  Print Class Rosters report from ABI at start of the week  Take attendance using rosters or other student list as back-up 5 Taking Attendance (cont.)

6  Attendance clerk will print Weekly Attendance Reports for teachers to verify and sign  Teachers can change attendance on Weekly Attendance Report  Mark corrected attendance code in any color other than black and circle the mark  A P T  Teachers can also submit BU-40 to office to correct attendance marks 6 Taking Attendance (cont.)

8  Special Circumstances  Subs  Site will print Weekly Attendance Report  Sub will record attendance, sign report, and return to attendance office  Attendance clerk will record attendance in Aeries  If principal emails aeries@sbcusd.com, long-term subs (longer than 10 days) can be authorized to take electronic attendanceaeries@sbcusd.com 8 Taking Attendance (cont.)

9  Special Circumstances (cont.)  New student appears on attendance screen but teacher is not able to record attendance  Call the office Taking Attendance 9

10  Special Circumstances (cont.)  Forget to post attendance prior to lock-out time  Print a Weekly Attendance Report  Record attendance manually and sign/date report  Submit report to office and attendance clerk will enter in Aeries  ABI system not available  Record attendance on roster or other student list  Once system is available, transfer attendance from roster or other student list to ABI 10 Taking Attendance (cont.)

13 13 Taking Attendance (cont.) Attendance Marks A = Absent P = Present T = Tardy Note All students are considered present unless you mark them absent (A) or tardy (T) P is used only to change a student’s attendance status to present after attendance has been submitted

14  Click the Submit Attendance button once all appropriate students have been marked absent or tardy  Click the Submit Attendance button even if no students are absent or tardy  Screen will refresh and note will appear indicating last update time  To update attendance after it has been submitted, simply change the attendance mark for the appropriate student and click the Submit Attendance button again 14 Taking Attendance (cont.)

17 17  Select the student from the roster  Click the desired tab for specific information  Can view Student Data, Attendance, Contacts, and Testing (CELDT and CST only)

18  Go to Attendance > Reports  Click on the desired report 18 Generating Attendance Reports

19  Click Weekly Attendance Report  Select desired week  Click Submit button 19 Weekly Attendance Report

21  Click Class Address Labels  Select desired options to include:  Parent Guardian Name  Student Name  Address  Will print to Avery 5160 (3 across by 10 down (1” x 2 5/8”)  Click Submit button 21 Class Address Labels

25  You do not have to click Submit Attendance button if all students are present.  True  False 25 Pop Quiz (cont.)
