1 FACULTY PROMOTION REVIEW Faculty hired in former Kentucky Tech System or Prior to 2004 in a Technical College grandfathered under 2003-2004 Format

2 Introduction This presentation is designed to assist you in preparing a successful portfolio for promotion. You should have copies of the promotion guidelines. You can access the guidelines on http://www.kctcs.edu/academicaffairs/ http://www.kctcs.edu/academicaffairs/

3 It is highly recommended that each candidate have a resource person who has successfully gone through the promotion process. During your promotion sequences from Instructor to Professor it is recommended that you begin saving documentation to support your portfolio content.

4 Instructions Use this format to assemble your promotion review portfolio. Use a three-ring binder with tabs identifying each section required. Provide clear, legible copies of documents. Information should be from the last three academic years (July 1 to June 30), which includes the current academic year.

5 Information may be supplemented with significant activities and achievements from prior years. All listings should be in reverse chronological order. Clarity, organization and consistency in your portfolio will assist teams in making a positive outcome. Verification must be included where indicated.

6 All required components of the portfolio must be included or addressed. Eligibility for the year of promotion will include the current academic year. (You can count the year in which you apply.)

8 I. COVER SHEET Your Name Name of the College Promotional Rank for which you are being considered

9 II. LETTER OF APPLICATION Prepare a letter addressing why you feel you should be considered for promotion. Include a statement regarding percentage of time spent with direct student contact to validate your eligibility. Examples of items that may be included: Number of years in rank Institutional effectiveness (contributions made) Student evaluations results Teaching leadership Method(s) used to stay current in field Vision of teaching

10 III.LETTERS FROM IMMEDIATE SUPERVISOR/FACULTY The president/ceo now has the responsibility for ensuring that each promotion file is complete and contains the advice of the appropriate division chairperson and six or more faculty letters, including at least all Associate and Professor division members located on the same campus. Faculty letters should be addressed and sent to the college president/ceo.

11 IV. VITA/RESUME Include a copy of your vita/resume. Personal Information Education Work Experience Teaching Experience Awards, Recognitions, Achievements Professional Certificates, Registries, Licensures

12 VITA/RESUME Supporting documentation for the resume must be included in your portfolio behind the appropriate tab or referenced where it may be found in your portfolio.

13 A. Personal Information This should include your personal information such as: Full name Current Rank Rank Dates to include: Initial appointment to faculty Appointment to Assistant Professor Appointment to Associate Professor

14 B. Education 1. List colleges, universities attended, locations and dates; degrees awarded, dates awarded, major(s). 2. Provide the number of credit hours in teaching or related subject areas above your degree.

15 3. List all professional development during the required three years (past 2 and current academic years), including continuing education (total of 25 hours required for each of those years), college courses, workshops, or certifications in specific areas. Must be verified and include certificates of completion for each activity

16 4. Provide copies of transcripts from postsecondary institution(s), college/university attended. Where applicable, provide high school transcript or GED.

17 C. Work Experience Work experience listed here must be field-related. Provide place of employment, address, position held, dates of employment.

18 D. Teaching Experience Provide proof of required number of years of teaching experience. KCTCS teaching experience includes teaching in the technical (KY TECH) or community college system prior to the establishment of KCTCS.

19 E. Awards, Recognitions, Achievements List and include documentation for all awards, recognitions, publications, or presentations (achievements received during the three required years).

20 F. P rofessional Certifications, Registration, Licensures Provide organization, dates, identification numbers for all held. Provide documentation (copies of certificates, licenses, or registration).

22 A. Philosophy Include a narrative describing your personal teaching philosophy. Include a description of your teaching style, use of different technologies, and methods of instruction in various courses taught. (visual, audio, tactile, kinesthetic)

23 Philosophy continued When writing your teaching philosophy you might want to include the following: What is the key to a successful instructor? What is a good learning environment? Who are psychologists, theorists, or educators who have contributed to your philosophy? How does your philosophy mesh with the overall mission and goals of KCTCS?

24 B. Promotion Requirements Provide documentation for each of the following and verification where indicated:

25 Instructor to Assistant Professor 1. Successful completion of mentorship, KCTCS New Teachers Institute or have previous successful teaching experience Verification required

Student Course Evaluations Verification required If this is an area that is not applicable to you please make a statement as to why and have it verified by the person who evaluates your performance. 3. Personal (annual) evaluations 4. Course syllabi (for required 3 years)—provide a table of contents listing class schedules for each of the required semesters

27 5. Classroom observations Verification required 6. Advising Overview of your advising responsibilities 7. Community Service and Institutional Service Should have letters to support activities

28 Institutional Service KCTCS Administrative Policies and Procedures (2.5) defines institutional service as: evidence of effective participation in college activities appropriate to the growth and viability of the institution and education programs therein Activities may include, but are not limited to: Committee involvement, workshop facilitation, continuing education, development of new program proposals, program accreditation, recruitment and marketing, grant proposal preparation, and mentoring of new faculty.

29 Community Service KCTCS Administrative Policies and Procedures (2.5) states that community service might include such activities as: Serving on community boards, foundations, committees, commissions Workshop facilitation Continuing education or customized industry courses Forums and community meetings Delivering lectures or seminars Arranging fine arts, cultural and recreational events Professional assistance Working with K-12 schools

36 Educational Leadership KCTCS Administrative Policies and Procedures (2.5) states: The demonstration and evaluation of the educational leadership and service of a faculty member shall be based upon evidence of: Effective participation in activities appropriate to the formation of education policy and faculty organization Effective performance of administrative duties where applicable Recognition of educational leadership

37 VII. MINIMUM TIME IN PREVIOUS RANK Required Time in Rank: 3 Years – At Rank of Instructor 3 Years - At Rank of Assistant Professor 6 Years – At Rank of Associate Professor

39 Key Dates January 5 - February 3, 2015 Annual performance evaluations for promotion candidates February 4 – February 27, 2015 College Advisory Committee on Promotion review March 16, 2015 Recommendations due from college president/ceo, either affirmative or negative regarding promotions in rank for Associate Professor/Librarian II and Professor/Librarian I. Second Week of April KCTCS Senate Advisory Committee on Promotion meets. May 1, 2015 Individuals being promoted locally to rank of Assistant Professor/Librarian III and term contract faculty (all ranks) notified and copy of letter sent to Chancellor’s Office by this date.
