Today’s Workshop This workshop will outline the various ways that the National Office can assist you at the corps and/or the branch level. This will include : Chain of communications Our National PR Committee Insurance Certificate requirements Volunteer screening processes Policy Manual Updates Prizes and Awards Donations to the league and corps via the national Office

Today’s Workshop Procedures for the request of customized recruiting posters for the corps, News page On-Target Vimy Commemoration Events resources Fundraising opportunities with the Vimy Foundation Positive Youth Outreach Learning Tool Part of this workshop will be dedicated to discuss your needs at the corps and the branch levels and answer all questions related to our procedures or any other matter. The national Office of the ACLC is dedicated to support you, we want you to know what we can do for you, but also find out what you may need from us. If there is anything we can improve we will do our best to do so.

Our Mission Statement The Army Cadet League of Canada, a civilian non-profit organization, commits to support the Army Cadets by working in partnership with local communities and the Canadian Forces in the development of policies and methods for achieving the aims and objectives of the Canadian Cadet Movement in general, and the Royal Canadian Army Cadets in particular.

Our Team There are 3 staff members at the National Office Mr. Terry Whitty – Executive Director Jennifer Saint-Dennis – Executive Assistant Maxime Corneau – Communications Officer The services that we provide, that are listed in this presentation are offered equally across the country. We are a small team but we are efficient and work closely together to meet all the requirements.

Chain of communications While involved at the corps level, there are various issues that may come forward. Your first point of contact for resolution outside the corps should be: a)your provincial Branch. If the matter at hand requires to be brought further, Marian, as ED of the Ontario Branch Office would present the matter to our ED at National. If a matter requires to be brought forward to DCdts, it would be the National Office’s role to do so. It is not appropriate to communicate with DCdts without following this channel of communications.

Chain of communications Note: It is important to the success of the Cadet Program that the Chairpersons of Corps Sponsoring Committees keep an open line of communication with the Branch/Territorial President. And, equally important, the Corps Sponsoring Committees should ensure that important announcements emanating from the National Office or the Branch/Territorial Office are made known to Cadet Corps officers and through them to the cadets. Our National PR Committee The National PR Committee was established in 2009 since then, we have grown to have a representative in almost all provinces. The committee is chaired by Cathy Bach from BC and co-chaired by Maxime Corneau Your National PR Committee representative in Ontario is Marilyn Walkom. Our main goal is to communicate our messages as far down the chain as possible in hopes that most messages get down to the cadets. Each corps should have one key contact person to receive our messages

Our National PR Committee What we communicate: – National Website News page and other updates – Opportunities for cadet or member recognition – Important announcements – On-Target article call out and release dates – And much more The growth of the On-Target magazine has been one key success of the efforts of the National PR Committee. We are now publishing a 36 page publication in each language. We hope that it continues to grow. If you are on the contact list, please ensure that these messages are shared as far down the chain as possible. Cadets and all individuals involved at the cadet corps level can benefit from these messages.

Insurance Certificate requirements The National Office is responsible for the Insurance coverage for cadets & volunteers. When planning a cadet activity, you will often be asked to provide proof of insurance. We have set up a simple online form to submit your requests. This can be found here: http://www.armycadetleague.ca/resources/insurance- certificate/http://www.armycadetleague.ca/resources/insurance- certificate/ Further information about our insurance coverage can be found here: http://www.armycadetleague.ca/resources/insurance/ http://www.armycadetleague.ca/resources/insurance/ Also refer to section 4 of the National Policy Manual You can easily expect your certificate within a 24 to 48hrs timeframe in case of emergencies.

Insurance Certificate requirements Important points to consider when filling this form: – The date your certificate is required for – this date should not correspond to the activity date. We always encourage to provide as much time as possible for the Insurance company to get these ready. The Insurance company will prioritize these requests according to these dates – * (starred items) the are fields that are required. These correspond to the necessary information the Insurance company requires. – The certificates will be sent by e-mail to all the parties listed on the request form – Please avoid using a cadets.gc.ca or forces.gc.ca e-mail addresses when possible. The DND's strict rules and firewalls, may block the correspondence from unknown senders and strip the attachments. – Annual occurrence of the activity – such as the use of training locations. The insurance company will send you a new certificate yearly. – The renewal of our insurance policy is July 31 st. When possible it is best to avoid sending a request on or around that date. Although the insurance company will hold on to these requests, there may be a longer delay to receive them – An additional insured is an entity/company's legal name, that is added to the insurance certificate. This then provides coverage under that policy during the course of the event and or rental of premises. Although not all companies you deal with will require this, it is important to be clear on if they wish and need to be added. The question should be asked at all times. If "yes" you need to ensure and obtain the proper and full legal name of the company along with the complete mailing address to include it in this section. – Comments section: Include any additional information you feel may be pertinent to your request or additional information that was not included within this form

Volunteer screening processes Refer to section 10 of the National Policy Manual The National Office produces the cards you receive permitting you to work directly with cadets. Jennifer Saint-Denis is responsible for issuing these cards. All volunteer screening should be sent to your Branch Office. It is then sent to National for final approval. Once ready, the cards are sent back to the Branch office for further distribution to the corps. You should allow 2 to 3 weeks time (at times longer) from when your application was sent to your Branch Office.

Volunteer screening processes ACCEPTABLE NOT ACCEPTABLE **Photos: There is no need to provide a passport photo or incur any additional expense for these photos. A digital format is preferred and these can be taken with a digital camera or your phone.

Prizes and Awards The national Office sponsors various awards. Refer to section 13 of the National Policy Manual. These announcements are often provide by the National PR Committee communication chain. All other award opportunities from third party organizations such as The Beaverbrook Award offered by the Vimy Foundation for cadets or corps would be sent to you via communication from the PR Committee or posted on the National Website Awards page http://www.armycadetleague.ca/news-events/awards/

Donations A secure online form is available on our Website: http://www.armycadetleague.ca/the-league/donate/ http://www.armycadetleague.ca/the-league/donate/ The National Office processes donations for the League, the Branches when it is required or for the corps. Tax receipts are provided for these donations Although we can assist you with the processing of donations for your corps, it is always recommended to speak with Jennifer Saint-Denis to coordinate this.

On-Target Our National newsletter is published twice a year – Spring/Summer – Fall/Winter We welcome all articles no limit on length or number of articles from the corps written by cadets, League Members, Corps Officers. Tell us about your special achievements, special activities etc. Our intent is to share what the corps are doing across the country Provides a medium for idea sharing such as fundraising activities PLEASE SHARE THE LINK OR COPIES WITH ALL MEMBERS OF YOUR CORPS Everybody can benefit from reading our newsletter
