1 WSU DELTA UPSILON- VICE PRESIDENT OF ADMINISTRATION OFFICER MANUAL

2 RESPONSIBILITIES Every Delta Upsilon Chapter needs an officer to record the weekly events and reports from each additional officer and the chapter itself. As the Vice President of Administration, it will be your responsibility to: Maintain the chapter minutes each week Take chapter attendance for each chapter meeting Put together a calendar outlining the chapter’s events and philanthropies Sort the mail Properly document

3 HISTORIAN Included in the responsibilities of the VP of Administration is the job of the Historian. This includes properly documenting chapter events through descriptions and photos. This is an important tool that assists the VP of Public Relations in their efforts to portray a positive image of the chapter. In addition to benefitting the chapter currently, the photos that you take will assist the future brothers of your chapter in knowing what went on in the chapter’s past.

4 CEP CEP, or Chapter Excellence Program, should be one of the most important things that you can do. The Chapter Excellence Program is compiled of a point system. Each Delta Upsilon chapter competes against each other by completing certain activities and recording events that occurred in the chapter. It is the responsibility of each executive officer to submit evidence of completion of these activities in order to become a top ranked chapter. Currently, CEP is based out of 925 points and consists of activities such as submitting a plan for the associate member process to having etiquette training.

5 CHAPTER MINUTES It is your responsibility to record what occurs at each week’s chapter meetings. The current outline can be found from the previous VP of Administration and should be used accordingly recording each Officer’s report, new business, old business, announcements, and a riddle of the week for fun. Once that chapter minutes have been recorded for each chapter meeting they should be uploaded to an online forum where each member and associate member can find them easily. In addition they should be printed and posted around the house for easy accessability.

6 BUDGET AS VP OF ADMINISTRATION As the VP of Administration you will be responsible for maintaining some of the houses necessities I’ve included a tentative budget for purchases throughout the semester: Printer Toner- $300 @ $75/cartridge Labels for mail boxes- $15 Photo Development- $30/semester Other Supplies- ~$100

7 GOALS AS VP OF ADMINISTRATION As the VP of administration you should be weary as to make sure you get everything done on time. In your position, it is imperative that you get the chapter minutes up the same day as some people may have missed the chapter meeting due to work or class. Without the chapter minutes people may forget about important activities. The job of historian is important as well because unless you are physically there to take the photos, the opportunity to take those photos may be lost. In addition, the sorting of people’s mail must be done timely and accurately. Your brothers may be waiting on and important piece of mail and if they have to search for it, they may become frustrated. Completing the duties of the VP of Administration must be done on time.
