Key Stage Collection Returns 2013

Important Dates Deadlines for return to the LA EYFSP Friday 21st June (Moderation: 27 th June, DfE: 31/7/2013) KS1 Friday 28th June (LA to make return to DfE 31/7/2013 ) Yr 1 and YR2 Phonics Friday 2nd July (LA to make return to DfE 31/7/2013) Key Stage 2 Teacher Assessments must be submitted directly to the DfE via the NCA Tools website at https://ncatools.education.gov.uk/ by Friday 28th June 2013 – Please note: this is two weeks earlier than in previous years and before the return of KS2 papers! All returns LA should be emailed securely to Ed.Datatransfer@reading.gov.uk

Who should report the achievement of new pupils/leavers in the Summer Term? If a child starts at a new school before the summer half-term holiday (or sixth term), the new school must report the child’s results to the local authority. If a child starts at a new school during the second half of the summer term (or sixth term), the previous school or setting must report the child’s results to the local authority.

Sims Assessment Module Ways of recording teacher assessments in the classroom will differ from school to school according to which pupil progress tracking methods have been chosen. Teacher assessments need to be recorded in SIMS to ensure that when a pupil leaves your school the statutory requirements for the transfer of records between schools are fulfilled, including the completion of the common transfer file as noted in the Education (Pupil Information) (England) Regulations 2005, SI 2005/1437.

End of Key Stage Procedure The sequence of End of Key Stage procedures is as follows. Consider the groups to include in the process, download AMPARK and import the Key Stage Wizard(s) relevant to those groups. Open Wizard Manager and select the Key Stage Wizard(s). Select the Pupil/Student Group - the wizard displays the Key Stage marksheets. Open each marksheet in order to add/edit results. Calculate the subject level and validate marksheet entries. Correct any incorrect entries then save and exit the marksheet. Generate, preview and print Individual Reports. Export Key Stage Data (CTF and Results file) Generate class lists for relevant Key Stages Email FSP, Phonics, KS1 to Ed.datatransfer@reading.gov.ukEd.datatransfer@reading.gov.uk KS2 Teacher Assessments upload directly to STA website https://ncatools.education.gov.uk/

Importing Key Stage Wizards An updated AMPARK, which includes the End of Key Stage marksheets is included with the Spring Release each year, but not deployed automatically, so there is a procedure to be followed in SIMS to import the Key Stage Wizards, after which you can attach the groups of pupils to the various worksheets for the TA results that need to be returned. Log into SIMS.net and select Routines| Data in| Assessment| Import to display the first page of the import wizard.

When the Import dialog comes up, click on the yellow folder Navigate to C:\Program Files\SIMS\SIMS.net\AMPA\England Primary (and Middle Deemed Primary)\Assessment Manager Highlight the name of the first Wizard you want to import then click Open

Choosing a relevant wizard each time, repeat the above steps to import the remaining wizards. You only need to import the Wizards that are relevant to the pupils in your school: Infant schools need EYFS Profile Wizard 2013, Key Stage 1 Wizard England 2013, Year 1 Phonics Screening Wizard 2013 and Year 2 Phonics Screening Wizard 2013. Junior schools need Key Stage 2 Wizard England 2013, but also Key Stage 1 Wizard England 2013 (to pick up the Key Stage 1 TA results from the CTFs of the pupils coming into Year 3 next academic year), and Key Stage 1 Y2 Phonics Screening Wizard 2013 (this picks up pupil’s results from when pupils were in Year 1 and Year 2) 4 – 11 Primary schools will need them all

Marksheets to be completed and possible marks Early Years Foundation Stage (EYFS) In 2013 there is just one marksheet to fill in for the EYFSP.

When you have filled in all the columns click Save The Data Check column is used to ensure there is an entry in every column for each pupil. Rows with missing entries turn red.

Y1 Phonics Screening Wizard Additional mark options are: A – Absent, D - Disapplied, L - Left A mark of 0 (zero) would be understood as the pupil having failed to achieve any marks.

If the pupil has SEN and a Teacher Assessment of W you should enter a P Scale If a pupil is EAL and has a Teacher Assessment of W you should enter NOTSEN (this has changed from an entry of EAL in previous years) If a pupil has EAL and SEN, then the SEN ‘trumps’ the EAL and a P scale should be entered. If the teacher has given the pupil a P-Scale of P1i-P3ii for English or Maths then only this overall level is required (entered into the column entitled P Scales English Key Stage Validated Result or P Scale Maths Key stage 1 Validate Result), it is not necessary to record a P-scale in the individual component columns for Speaking, Listening etc. If the teacher has given the pupil a P-scale for English or Maths that is higher than P3ii (P4 – P8) then don’t fill in the overall level, but put marks in each of the component levels.

Three other marksheets are available to use if the school wishes: KS1 C. Test Outcomes 2013 If the school administers optional tests in Year 2. KS1 D. Broadsheet (Review) 2013 This sheet is automatically populated with the results from marksheets A and B. Results cannot be entered here. KS1 E. Average Point Score Calculator This enables the average point score to be calculated for tracking purposes without having to do so elsewhere in Assessment.

KS2 A. all subjects TAs 2013 From 2013 schools are required to record the component parts of each subject not just the overall subject level, therefore Marksheet KS2.A MUST be fully completed.

Five other marksheets are available for the school’s own use and for the SATs results when they are available: KS2 B. minimum subject TAs 2013 Enables entry of scores for the English attainment targets and the overall levels for maths and science, creates validated results and ensures no pupils are missed. KS2 D. test summary data entry 2013 This marksheet is for SATs test results when they come back in July, so that a complete set of the pupil’s results will go on their CTF to high school. KS2 E. En test results data entry 2013 For detailed English SATs results. KS2 F. Ma test results data entry 2013 For detailed Maths SATs results. KS2 G. broadsheet review 2013 This sheet is automatically populated with the results from the other marksheets as they are completed. Results cannot be entered here.

Getting Results into the Marksheets These will vary from school to school Key Stage assessments can be entered by: ◦Typing individual results directly into a marksheet ◦Importing from an Excel spreadsheet ◦Importing a CTF created in other pupil progress tracking software Whichever option you choose you will need Wizard Manager.

If you prefer to work on a marksheet one Reg Group at a time, click on the magnifying glass next to group filter to change it.

Using Excel to Import Results This process only works if the teacher has completed the end of key stage results in an Excel spreadsheet generated and exported from the Key Stage Wizard Marksheet. The completed spreadsheet can then be imported back into SIMS To Export Marksheet open Wizard and then click on Export button An Excel spreadsheet will then be generated. Select File | Save As to save the spreadsheet to a location where the teacher can access it, for example a shared area on your schools IT network or an encrypted flash data key.

Importing the marksheet When the teacher has finished updating the spreadsheet and saved the data the marks can then be imported back into SIMS via Routines| Data In| Assessment| Import from Spreadsheet

The process is not finished until you have opened the marksheet via Tools| Performance| Assessment| Wizard Manager checked for any missing data and clicked the Calculate button.

Importing results from pupil tracking software into SIMS.net Any commercially produced software will have the ability to produce a CTF which can be imported In SIMS.net, follow the route Routines|Data in| CTF| Import CTF.

Submitting your Assessment Data using Wizard Manager When all the EYFSP scores, Y1 Phonics, KS1 and KS2 Teacher Assessments have been entered via the Assessment Wizard you will need to create CTFs to return your results to the LA or DFE. We require schools to send 2 files, the CTF as below and the results file that is produced by the assessment wizard The data for Reception, Y1 & Y2 (EYFSP, Y1 Phonics, Y2 Phonics and KS1 Assessments) are submitted to the LA The data for Y6 (KS2 Assessment) is sent directly to the DfE via the NCA Tools website https://ncatools.education.gov.uk/ The website will be available from Monday 13th May to Friday 28th June 2013.

To create the CTFs go to Routines| Data out| CTF| Export CTF

On the Export CTF page, make sure the following data items to be exported are selected and de-select the others: ◦Student Basic Details ◦Student Address ◦Assessment Data ◦ Include KS1 Tasks/ Tests

In the Destination LA/Other column you should select Reading. To populate this field for all children at once, scroll down to the last child on the list, hold down the Ctrl and shift keys on your keyboard then in the last cell select Reading from the list.

Exporting the Results Using the Key Stage Manager Wizard Using the Key Stage manager wizard to export the results to a XML file: Click the Next button on the Individual Report screen. The group membership dates display the current academic year by default. If users wish to change these dates click the Refresh button to display the pupils who are on roll between the selected dates for the particular group. Deselect the check boxes adjacent to any pupils for whom results do not need exporting.

This year the closing date for the website has been brought forward by two weeks to 28th June 2013.

What happens next Once we get the data we carry out validation checks and look at the results to ensure they are within expected parameters for your school. We may ask you to resubmit the results or confirm results. Could you please send the relevant class list in with your data. Once the data is cleaned we will submit the returns (FSP, KS1, Phonics) to the DfE on your behalf. CTFs containing the KS2 SATs Results will be available for download from the Key to Success website on Tuesday 9th July 2013.

Importing KS2 Test Results into SIMS To download the results go to https://sa.education.gov.uk and enter your school username and password. Then click on Key to Success. A CTF containing the 2013 KS2 e-results will be available from this site. Choose to download the unzipped version of the CTF and save it to your CTF Import Folder. Then in SIMS.net, follow the route Routines|Data in| CTF| Import CTF.
