Working with Equations Mini Activity I

Objectives: The Learner will be able to: 1. Apply Currency formatting to cells in Excel 2. Use the AutoSum tool to add cells 3. Use the Function tool to calculate the average of a range of cells 4. Save Excel spreadsheet

Open a new Excel document.

1. Enter the following labels and format them so that they are big, bold, and centered. In Cell A1 type: First Name In Cell B1 type: Last Name In Cell C1 type: Department In Cell D1 type: Salary Ex.) PLEASE NOTE: These labels are categories – please do not type your first name and last name in your Excel document.

2. Add the following data to your spreadsheet. You can use these sample records or create your own. I will be using this chart in my example. You cannot use the same data that is in this chart.

3. Formatting columns: Select column D and use the Currency tool in order to change the sums into salary amounts. Highlight boxes by clicking on the mouse when you are in the middle of the box and dragging down through the boxes that you would like to select. * Boxes will turn light blue once they are selected* Once boxes are selected, right click and select Format Cells. Then, select the Currency category under the Number tab. Press OK to convert the numbers into salary amounts. *Another way to change your numbers in currency amounts is by highlighting the boxes and clicking on located under the Number section of your toolbar.

4. Creating equations: You can input equations into Excel in order to find the sum or average of selected data. Select Cell D7 and use AutoSum to add up the SUM of the salaries in the D Column. First make sure that cell D7 is selected. Then, click on the function button on the top of the spreadsheet (fx).

Finally, double check that correct cells are highlighted in the Number 1 slot (D2:D6) and click OK. This will calculate the total sum of the cells selected (there are many ways to do this).

An alternative ways to finding the SUM Type the following directly into your cell: =SUM(D2:D6) Click enter when you are done. PLEASE NOTE: Be sure to include your parenthesis. They are very important!
