2 Working with Delivery Schedules & Long Term Forecasts Rolls-Royce publishes short and long-term schedule information to SCP-RR on a weekly basis. Short-Term Demand >Rolls-Royce uses a Delivery Schedule in SCP-RR to represent schedule requirements for typically the next six months as ‘daily buckets’. This can be amended to show between 8 and 99 weeks (limits apply). >Firm requirements are those schedule lines within the planned delivery time. Eg 42 days. >Changes made outside of the PDT may be subject to the terms of the Firm or Trade Off Zones in the Schedule Agreement. >The Contract Date is the date RR requests availability for collection via Manifest/Matrix or direct delivery into stores with any associated receipt processing time. >The Delivery Schedule requires a response from the supplier. This may update the Delivery Date. Near-Term and Long-Term Demand Rolls-Royce uses a Long-Term Forecast in SCP-RR to represent schedule requirements for typically six to thirty months out. The information on the Long-Term Forecast is typically presented as 24 weeks of ‘weekly buckets’ and then 24 months of ‘monthly buckets’. The requested delivery quantities are rolled up into the first day of the nearest weekly or monthly period. The Long-Term Forecast is ‘view only’ information. Supplier responses to this information should be directly with the Rolls-Royce MRP Controller. Note: To change the number of weeks shown in daily, weekly or monthly buckets, contact your MRP Controller who can request that the time horizon be updated by the Central ERP team/ CoC. 4 Business Process 1.Delivery Schedule: Rolls-Royce publishes delivery schedules to their suppliers weekly, typically each Sunday. This is known as the ‘Run Date’. 2.Delivery Schedule Response: Suppliers should respond to the delivery schedule by a time in the week agreed with their MRPC. The system checks every two hours for new responses to be sent to Rolls-Royce. It typically takes between 2-5 hours for a supplier response to appear in the Rolls-Royce system. The MRPC must review the response and either accept or reject any proposed changes. 3.Delivery Schedule Changes: Rolls-Royce may publish changes or cancellations to delivery schedules in subsequent weekly publications. Suppliers are expected to respond. Note: Rolls-Royce may also formally request changes via other communication methods. 5 Delivery Schedule Structure Each ‘Schedule Agreement’ from Rolls-Royce can be made up of multiple Delivery Schedules. Each line item represents a different item. This may be different items / part numbers or for different delivery locations Each request (or ‘schedule line’) represents a date and quantity. Each promise represents a confirmation from the Supplier. 6 Reviewing Delivery Schedule and Response Options Offline – download the delivery schedule and then upload the response The Delivery Schedule can be viewed offline (using a search by ‘Run Date’). The offline process allows you to download a copy of the delivery schedule data out of SCP-RR into Excel. There are two download options for reviewing the schedules offline. One is typically used for upload into Suppliers’ own system and another also allows a response back to Rolls-Royce. You can make changes to promise date or promise quantity on any of the lines in the Supplier, including inserting additional lines to split promise quantities. Once your response is ready, the file can be uploaded back into SCP-RR. Online – view and respond in SCP-RR >The entire Delivery Schedule can also be viewed online (i.e. from a search by ‘Run Date’) and used to create your response to Rolls-Royce – note only ‘New’ and ‘Sent’ lines can be responded to. >You can respond to the schedule lines within SCP-RR, up to 30 lines at a time from a list page. >All of the uploaded lines are moved to a ‘Sent’ state and the response is delivered to Rolls-Royce. 5 Copyright 2013 Exostar LLC. 7 Delivery Schedule - States New – Delivery schedules are loaded into SCP-RR in a ‘New’ state, and remain as ‘New’ until there is a supplier response. Sent – when the supplier responds to the line, it moves to a ‘Sent’ state. Another response would be sent and keep the status as ‘Sent’. The line remains as ‘Sent’ until the next update from Rolls-Royce, which moves it back to ‘New’. Inactive – a line moves to the ‘Inactive’ status when it is delivered or no longer required by Rolls-Royce. Inactive lines are held for 7 days from the Last Modified Date and then are moved to ‘Archived’. Warning: If the whole schedule disappears for an item, it will not go to ‘Inactive’ state – it will only be visible in the history. Archived – lines automatically move to this state 30 days after the ‘Delivery Date’ or 7 days of being Inactive. They will then purge from the system 330 days later. To view all open delivery schedules, it is recommended that ‘New’ and ‘Sent’ States are selected with a ‘Run Date’ that includes the most recent Sunday’s date. 6 Copyright 2013 Exostar LLC. 10 Download Delivery Schedules There are two options to download Delivery Schedule Supplier Response Download allows a supplier to view the schedules in an Excel spreadsheet which may then be amended and uploaded to send commitments back to Rolls-Royce. Delivery Schedule Download allows a supplier to view the schedule in an Excel spreadsheet in a format that may be combined with the long term forecast. 11 The next screen will show the status of the download The status may be ‘Queued’, ‘In Process’ or ‘Completed’ Click the ‘Refresh’ button until the status changes to ‘Completed’. You will notice that the File name will changes to a link. Click on the file Name and then select ‘Open’ or Save’ to review the file in Excel. Delivery Schedule data is normally published on Sundays. The pre-populated run date defaults to 7 days ago to capture the most recent data. Historical data can only be viewed by the View History workflow. The Schedule State defaults to select all states. ‘New’ and ‘Sent’ should be selected to view open requirements. Schedule Last Modified allows searches by updates to the schedule. These include new runs and sending responses, but is not limited to changes.

15 Download & Upload Process It is possible to take the Delivery Schedule data offline, create a response and then upload the file back into SCP-RR. The file used for the upload must be downloaded from the ‘Download’ workflow. Be sure to save the file with an ‘xls’ extension or file format. You may have a version of Excel that changes the file to ‘xlsx’, but that format will not upload. 18 Enter your response within the columns with blue headings. For any date or quantity changes, a reason code is required. Type the first letter of a ‘Reason Code’ and it will populate automatically from the top list. For any date or quantity changes, please enter a supplier comment. 19 Add a Promise (Row) to an Upload File You can respond with multiple promises for a request by adding rows to the upload file. Copy and paste (insert) the entire row that will be made into two or more promises Edit columns H through K IMPORTANT: Only when adding rows, you must change the ‘Promise ID’ to the next sequential number for each row that is added (1,2,3 etc.). 18 Copyright 2013 Exostar LLC. Only respond within columns H through L Do not insert columns or change column order! When inserting a row, remember to update the line ID (column L) For ‘Promise Date’, use a YYYY-MM-DD format. The supplier comments field can hold up to 255 characters. Please use them! Do not include special characters in the ‘Supplier Comments’ Where no changes are made, commitment to the schedule is inferred. Ensure no promises are ‘overdue’ dates Please remember to promise the full quantity requested, adding rows as required If your MRPC has previously not accepted your promise, it may be re-presented to you in the next issue of the schedule. Please separately discuss any issues to understand why the promise was not accepted. When your response is uploaded, it takes several hours to reach Rolls-Royce. It may be useful to advise your MRPC that you have sent a response.

21 Go to Upload/Download  Uploads  Order Management  Delivery Schedule Click Browse and locate your file, then click Next (make sure the file is ‘xls’ format) On the Inbox Status window, click the ‘Refresh’ icon until the Status is ‘Completed’ Note: If you see a red exclamation icon next to the status ‘Completed’, then the upload was unsuccessful. Click on the ‘Completed’ link to view the error file for the upload. Fix the errors and then repeat the upload process with the revised file. 23 You may view and respond to delivery schedules online. This is down to personal preference. Some suppliers with low schedule line or part number counts prefer this method. 24 By default, there are 20 rows per page. You can change the ‘Records per page’ setting. Scroll to the right to see all of the data for each schedule line. Use the left and right arrow icons to navigate to other pages. To jump to another page, enter a page number in the white box and click the Jump button. 26 Modify the Download Format You can modify the layout of the download file – i.e. data fields to include and in what order. After clicking the ‘Download’ button, you will see the Select Document Type pop-up Use the drop down for ‘Download Settings’ to select Create My Setting… Notes: Once a setting is saved as a template, it will appear on this list in the future and can be reused. The ‘Default Export’ version matches the Long-Term Forecast default download so that the two files can be easily combined for a view of short and long term demand. 25 Copyright 2013 Exostar LLC. 27 Modify the Download Format (Continued) In the configurator pop-up window, use left/right arrows to select data to download (move from ‘Available Fields’ to ‘Download Fields’). Use up/down arrows to move data to indicate placement on the downloaded spreadsheet – the first data field on the list becomes column A on the spreadsheet etc. Then use right arrows to copy fields to the ‘Sort Order’ box, to determine the sort order. When finished, enter a name for the saved setting, click Save As and then Update. 28 Respond to the Delivery Schedule Many Delivery Schedule lines will not require a change to date/quantity in your response. For any lines that you agree to the date and quantity of the request, you can just select the row and click the Send button. This updates the status of that line to ‘Sent’ and sends the response to Rolls-Royce at the next time the system sweeps for updated information. 27 Copyright 2013 Exostar LLC. All Rights Reserved. 29 Useful Tip: Respond to Many Lines Clicking in the check box of the header row selects all of the rows on that page. You can UNSELECT any rows that you need more time to confirm. Then click Send to process the majority of the items on that page. Since the state changes to ‘Sent’, those rows will be removed from this list page. 30 Modify a Schedule Line To modify your response for a schedule line, locate the row and update the ‘Promise Date’ and/or ‘Promise Quantity’ field. Use a YYYY-MM-DD format for the date (or click the calendar icon and select a date). For modified schedule lines, the ‘Reason Code’ field is required. Once the line is edited, select the row and click Send If you do not enter a Reason code when changing a date or quantity, an error message will be displayed, to request an entry. 29 Copyright 2013 Exostar LLC. 31 It is optional to provide ‘Supplier Comments’ as part of your response. Avoid using special characters in the comments. There is a limit of 255 characters. NOTE: If you exceed 255 characters, the error message that appears in SCP-RR is not specific. See example below. 32 Split a Delivery It is possible to provide multiple dates/quantities as your response for one request. Select the row and click the Add Promises button. In the pop-up window, fill in the revised information and click Save. Note: The total of all ‘Promise Qty’ fields should equal the ‘Request Qty’. Click ‘OK’ and ‘Close’ in the confirmation windows, the lines move to a ‘Sent’ state NOTE: The counts on list pages and summary pages will vary when adding rows with ‘Add Promise’. 31 Copyright 2013 Exostar LLC. 33 Monitor Status on My Workspace On My Workspace, you can monitor the typical process of a Delivery Schedule. In the Order Summary box, make sure that the drop down list says ‘Delivery Schedule’. Remember that all new and updated information comes in as a ‘New’ state. When a Delivery Schedule no longer requires collaboration between you and Rolls-Royce, it will move to ‘Inactive’ and then to ‘Archived’. 32 Copyright 2013 Exostar LLC. All Rights Reserved. 34 Locate and View a Specific Delivery Schedule or Item To look at a specific Delivery Schedule, use the search workflow On the navigation tree, go to Order Management  Delivery Schedule  Search Enter your search criteria (use * as a wildcard) The ‘Run Date’ defaults to 7 days ago to view the latest data Choose the ‘Schedule State’ that you wish to view, typically ‘New’ or ‘Sent’ Click Search for a list of results 33 Copyright 2013 Exostar LLC. 35 Outdated Delivery Schedules Over time, some delivery schedule items will no longer require collaboration with Rolls-Royce. The following process is used to remove the schedules from activity and then from SCP-RR: Inactive – if an item no longer requires collaboration, but there are still other items to be delivered on other dates for that Delivery Schedule, then that item moves to an ‘Inactive’ state, but the rest of the items are still active (‘New’ or ‘Sent’ states). Deleted – this is not an actual state in SCP-RR, however once ALL of the items within a schedule are removed or delivered, then the items are deleted from the typical view and can only be found by searching. Note: Information on deleted items can only be found by searching on the ‘Run Date’ for a date when the delivery schedule was still active. 34 Copyright 2013 Exostar LLC. All Rights Reserved. 36 Troubleshooting Delivery Schedules If you see lines that have a quantity of zero, you have selected the ‘Inactive’ state. Re-run your search with ‘New’ and ‘Sent’ states selected with the default run date. If you see lines that have already been delivered, you have selected the ‘Archived’ state. Re-run your search with ‘New’ and ‘Sent’ states selected with the default run date. If you have a schedule agreement missing, ask your MRPC to check the schedule agreement has been released, or whether any changes to company code have been made to the header. If you would like to see a greater planning horizon for your schedules, please check the long term forecast (covered later) or ask your MRPC to request a bigger ‘daily bucket’ for your vendor code. If you see data with a run date greater than one week ago, this is not the latest requirement for the material. Re-run your search with the default run date. If your delivery schedule is blank, firstly check your search criteria. Others reasons include: Non payment of Exostar membership fee – check with your administrator The delivery schedules have not yet been published – check with your R-R MRPC Internet connectivity issues – close your browser and open a new session You are not working within the Supply Chain Platform – Rolls-Royce application 35 Copyright 2013 Exostar LLC. 38 Click on the ‘+’ icon in the Audit Detail column to see the details for one transaction. The date/time of the transaction, the user’s name and their role are listed on the left side. The right side shows the fields that were changed, the old values and the new values (scroll to see the information). This information can be exported in a ‘text’ format by clicking the Export icon, located next to the configure icon.  You can configure the layout of the screen and the download will match the screen  Save as the file.txt, but open the file using Excel. 40 Business Process A long term forecast in SCP-RR provides valuable planning information related to what is needed by Rolls-Royce – including part numbers, delivery dates and quantities. Long term forecasts are ‘view only’ and there is no response capability in SCP-RR. If you need to advise Rolls-Royce that you are unable to meet the requirement, please inform your MRP Controller of the new promise date or quantity as part of your regular communications. Long term forecasts are posted to SCP-RR multiple times during a week or month (depends on the item and the requirements). The timeline for long term forecasts is typically 24 weeks of ‘weekly buckets’ and then 24 months of ‘monthly buckets’. The layout of the data can be reconfigured before you download it. 44 4.Select the ‘Start Date’ and ‘End Date’ for the data to be downloaded – this defaults to provide long term forecast data for four years from today. 52 If some schedule agreements do not appear in the long term forecast, check when your schedule agreements are due to expire. Only requirements within the validity period will be displayed Columns D, O to V and AC are blank. This data is not present in the Long Term Forecast but over time these lines will move into the delivery schedule, where the fields are populated. If you do not see the exact same dates and quantities as your MRPC, this is because in the long term forecast, requirements are rolled up to the first day of the weekly or monthly period.
