Benefits & Process Facilitates public participation Digital sign-up process – Lobby Kiosk stations – Remote sign-up (web interface) – Smartphones / tablets Speakers list tracking Assign times to a designated speaker Updates and notifications (SMS & email )

Overflow Seating For Room 105 – Increase capacity from 37 to 43 by adding 6 chairs. For Lobby – Increase capacity from 2 to 28 by adding 26 chairs. TOTAL – Purchase 32 Chairs for approximately $6,054 increasing capacity in these two areas from 39 to 71. Chairs could be grouped (but potentially also with latches for disassembly) to remain in place without need to be stored between occasions.

Ceiling/Wall Monitors In lobby two 40”- 50” monitors mounted above existing monitors. In chambers, four 40” monitors mounted above existing monitors. One 40” monitor in Rm 105.

Project Costs Software ~ $14,000 Hardware* ~ $24,000 Installation ~ $ 5,000 Annual maintenance ~ $ 2,600 (Software) * includes overflow seating

Implementation Chronology Implementation Process: Customization specifications finalized January 19 Procurement question/answer cycle (vendors) January 20 – February 3 Vendor requisition (Nemo Q) – February 4 Four to six months from start of development to rollout Expected rollout between June 30 and August 30
