1 Sport Clubs Handbook Guide Fundraising

2 FUNDRAISING CONSIDERATIONS All fundraising events must adhere to University, City, State and Federal laws and policies regarding the collection of revenue. Important to consider the following first:  Define your organization's goals. What do you want to accomplish this year?  Develop your financial plans based on the organization's goals.  Map out methods to reach financial goals.

3 FUNDRAISING TIPS Plan ahead Learn from past experiences  What fundraisers have been most successful? Identify your constituency and target your audience  Who are the people most likely to support your activity? Evaluate the fundraiser  Write down the keys to your successes and keep records of everything… Always thank your contributors

4 MEMBERSHIP DUES If you decide to establish membership dues, collect a set amount from each member. Decide as a club what is a reasonable amount.  It will be helpful to first decide how much money you'll need for the year.  Be sure to disclose to dues-paying members how the dues will be used. ›Some clubs charge a different set of dues for travelling vs non-travelling members, etc.

5 RESTAURANT FUNDRAISERS May partner with any restaurant fundraisers  Must get at least 50% of its funds from food sales May partner with bars  The bars must make less than 50% of their funds from alcohol sales ›Example: Buffalo Wild Wings, Callahan’s Sports Pub, Great Dane Refer to fliering and leafleting policies by the University

6 CORPORATE SPONSORSHIPS Clubs may accept a corporate/business contribution for its activities.  Recognition of that contribution must follow university policies  All sponsorships must be approved by Sport Clubs Professional Staff When recognizing contributions from businesses, the business name must be secondary on the event publicity.  The event is sponsored by the student organization, not the business! Beer/alcohol sponsorship is not allowed. Clubs may not use university facilities to raise money for itself or charity by selling or promoting a commercial product. Sponsorships will only be considered sponsorships if there is documentation of the relationship, including what the club receives and what the club must do in return.

7 VENDING SALES Clubs fall subject to University policies regarding sales on campus Clubs may sell off campus but fall subject to policies of the city of Madison Allowable Sales Food Items Book Sales Homemade crafts T-shirts & Apparel Tickets to Events Flowers NOT Allowable Sales Alcohol Tobacco Credit Cards Commercial Products

8 FOOD STANDS Sale of foods to the general campus community can take place at approved temporary food stands in the lobby areas of UW-Madison buildings and on university grounds  Permission to sell must be submitted and approved by building manager prior Must obtain temporary food stand permit issued by the Environmental Health Office at UHS  Must apply online at least 2 weeks prior and costs $5.00  Grilling requires ‘Special Events Insurance’ Home-prepared foods such as a “Bake Sale” cannot be sold or served to the general public  Food may be obtained from The Wisconsin Union, University Housing or a food vendor ›Non-university food vendors are automatically approved after obtaining “right of first refusal”

9 RAFFLES The State of Wisconsin Statutes require all raffles to be licensed through the Office of Charitable Gaming  Tax exempt organizations, having charitable work as a major purpose written into their by-laws, can qualify for a raffle license Must obtain Original Raffle License Application through t he Office of Charitable Gaming  Takes 4-6 weeks to process an Original Raffle License Application  Application requires a $25.00 processing fee

10 NOT ALLOWED Fundraising events may not include promotion, distribution, or sale of alcohol/tobacco/drugs  May not sell tickets to ‘all you can drink’ parties  May not engage in ‘cup night’ fundraisers
