1 HIP Training Team Non Provider Decisions/Recommendations April 2016

2 eLearning Classroom Training Classroom Assessment Practice in Playground Environment Log-in Lab (EUPA) Access Review pre- requisite eLearnings Attend all required classroom training Upon completing eLearning and classroom training it is encouraged that employees practice in the playground prior to completing their End User Proficiency Assessment (EUPA) Successfully complete a EUPA and setup access prior to go-live Employees will have the necessary skills to navigate and document in the system Successfully complete proficiency assessment with at least an 80% at the end of each classroom training Steps to Epic Access

3 All registration for classroom training will be completed through the BJC/Washington University Learning Management Systems (LMS) The Training Team will host an on-site “Epic Program Training Tour” to: – Highlight training tracks for employees – Demonstrate how department managers will register their employees in the LMS Note: For BJCMG we will attend the all managers meeting at the end of 2016 Recommendation: The Department manager or delegate will be responsible for registering their employees in all courses of the employees training track Decision #1 How will employees register for training?

4 Required training will ensure employees accessing the live system will have the necessary skills to navigate and document in the system Training will be role and workflow based and can include eLearning, classroom training and assessments All completions and proficiency assessments will be tracked in the Learning Management System (LMS) Recommendation: Employees will only be granted access if they: – Complete all classroom training – Pass proficiency assessments with at least an 80% Assessments will be administered at the end of each class Assessments will be delivered online – Complete log-in lab and End User Proficiency Assessment (EUPA) Hands on practicum in the training environment Best Practice Recommendations: – Complete pre-requisite eLearnings – Complete recommended practice time in the playground environment The recommended practice time will be outlined in the course catalog Decision #2 What training and/or assessment will qualify a non-provider employee for system access?

5 Recommendation: Employees will have three opportunities to pass the classroom assessment(s) – If an employee does not pass on the third attempt: They should be encouraged to practice in the playground environment with a Super User They will attend a remediation class They will be required to retake the assessment after completing the remediation class The End User Proficiency Assessment (EUPA) is pass/fail – The training staff will work with the employee to successfully complete the End User Proficiency Assessment (EUPA) Decision #3 What happens if an employee does not pass the required proficiency assessments?

6 Decision #4 It is a courtesy to all participants to start class on time Individuals who miss significant portions of a class are unlikely to pass the assessment Recommendations: If a non-provider misses an excessive amount of material, they will be given the option to: 1.Reschedule the class which will provide the best opportunity to pass the assessment on the first attempt 2.Attend a portion of the class and attempt to pass the assessment – If the non-provider does not pass they will need to repeat the class and retake the assessment What are the non-provider’s options if they miss a significant portion of a class?

7 Viewing Epic eLearning pre-requisites are highly recommended by Epic for a successful completion of training for employees and a smooth go-live for the organization Ways for leadership to prepare employees for Epic training: – Promote learning during team/group meetings – Facilitate Lunch and Learns Recommendation: Employees should be encouraged to complete eLearning pre-requisites prior to attending class Decision #5 Are employees required to complete eLearning pre-requisites prior to instructor led class/classes?

8 Recommendation: Non-Exempt Non- exempt employees must be compensated for time spent viewing eLearnings and attending class Exempt For exempt employees the expectation is that time spent viewing eLearnings and attending class is a part of their normal job responsibilities Decision #6 Will employees be compensated for viewing eLearning and/or attending class?

9 Classroom Expectations In an effort to provide an outstanding training experience, the guidelines below will be followed: Interactive participation is encouraged Standard BJC and Washington University dress codes apply ID badges are required Cell phone usage is for emergency use only Informational Only
