Managing a Project

Now we need to produce draft designs. Draft? Not the wind that comes under the door, that’s a draught. Not a board game, that’s draughts. A draft is a first or early attempt at writing or doing something. Our designs will probably change as we work on them. We will refine our draft designs, but we need to start somewhere.

What do we need to draft?

yes no Start Database set up with tutor, pupil, parent, and time as fields List of pupils and parents Appointment time chosen for each List of pupils and tutors Letter typed with fields from database Letter and database merged and printed Pupils take letters home (or not) Reply received? Second letter by post Stop This is how the new system will work needs to be drafted

We have two things to design for our mail merge system: a database a standard letter with database fields in it. The initial drafts can be done by hand.

If we wanted to give every new pupil a slip with a welcome message and their tutor group on it, like this: Welcome to Flower Street School Jenny Brown Your tutor group is 7H

…we would need a message which would be the same for everybody. This would be the standard welcome slip which would include room for their surname, their forename and their tutor group. Standard Welcome Slip Welcome to Flower Street School > > Your tutor group is >

Database SurnameForenameTutor Group BrownJenny7H GreenPeter7P ChanLeila7R PatelRishi7K As the information would be different for everybody, there would be a database containing everybody’s details.

Summary What can I remember? A draft is the first attempt at designing what is required. Initial drafts are usually done on paper and then transferred on to a computer. Drafts can be improved and changed. All draft work should be kept and presented as part of the project.
