Do’s and Don’ts Do –Review types of articles they publish Can impact word count; # allowable of figures and tables; review process –Review author instructions –Make sure to have all information prior to starting (all authors degrees, email, conflict of interest, IRB documentation, funding information (ok if none) –Develop a standard letter for the editor and save it for future use- doesn’t need to be extravagant. –All co-authors need to have participated in the manuscript and you need to keep documentation
15
Do’s and Don'ts Don’t –Write abstract until you know which journal: word count and style can impact how you do this –FORGET TO SAVE during the process –Forget to review: Need to review PDF’s prior to process being complete- make sure to do. You should get an email once it is complete- if you don’t go back and check to see what is not complete.
16
Do’s and Don'ts Do –Utilize journals that have electronic submission only –Remember to make sure the order of submitted files is correct Sometimes can submit manuscript as one entire file- other times the journals prefer to have manuscript separate from tables and figures
17
Review Process REALLY Varies –Length of time Process of finding reviewers Completion of reviews- many are 3-12 weeks –JPCCH tries for 1 week –What it involves Some very detailed Some not
18
Review Process Several possibilities –Accept as written Doesn’t happen all that often –Accept with minor revisions After reviews you can edit manuscript and re-submit –Review with major revisions You will have more significant work to do Will re-submit –Rejection
19
Revision process I like to submit two new copies of the manuscript –A “clean” new manuscript with all changes accepted –A version of the old manuscript with “track changes” kept –So there will be usually just two documents Clean is # 1 Track changes #2 Delete all other documents
20
Review Process Should have a document of a point by point description of how you addressed the issues in the reviews –Easiest to make a new word document and save the reviews to that –As you make the changes, place them after the review i.e. The paragraph starting with “Collaborative care…” should be moved into introduction. –DONE
21
Review Process It is OK to disagree with the reviewer. –You need to make sure that you document why. –Should try to keep to a minimum Being a reviewer yourself will also help you as a writer.
22
Rejection- Now what… Actually- some times I have sent a paper to a “reach” journal, expecting a rejection. Use the review to re-write your paper Should be a better paper prior to next submission If still having issues- consider collaboration with more experienced author –Not unusual to have a few re-writes… especially early on in your career
23
Open source vs. print journal Open source –The article if accepted will be freely available to all interested parties. –Many journals have costs associated with downloading copies of articles. –Can be quick review process- is still peer-reviewed and counts for advancement –Many of these are web-based journals Fees can be up to $3,000 per article Costs for Author services @ Mayo- also ~$1,500 to $2,000 per manuscript –Learn to use end note- –This is an expensive service and does create a time lag also
