2 Gateway Introduction The Portfolio Server’s Gateway to Project Server is a bi-directional interface allowing the automatic transfer of project and portfolio data

3 Project Server Gateway - Features Export new projects created in the Portfolio Server to Project Server Import in-flight projects within Microsoft Project Server into Portfolio Server. Set automatic synchronization daily or monthly between Portfolio Server and Project Server; or manually refresh the data as required Provide central consolidated view of pipeline and ongoing portfolio through synchronize in-flight projects to allow portfolio rebalancing Export derived valuation attributes from Portfolio Server to MS Project Server Create mapping templates for automatic data transfer between Portfolio Server attributes and Project Server enterprise fields Strengthen project management processes with the analytics included in Portfolio Server such as Impact Assessments, Constraint Analysis, Efficient Frontier Analysis and Sensitivity Analysis

6 Project Server Gateway Workflow Example - 1 Portfolio Server is often used as the central repository to capture all project ideas. Portfolio analytical techniques help executives to prioritize, optimize and select the optimal project portfolio that aligns with the organizations strategic priorities. Capture each project idea in Portfolio Server, develop a detailed business case and select the optimal project portfolio for the upcoming planning period. 1 1

7 Project Server Gateway Workflow Example - 2 Using the Gateway you can automatically export the selected project portfolio to Project Server where you can create full project plans with detailed schedules and resource assignments. If needed, the data can be synchronized again to reflect the detailed plan in Portfolio Server for any necessary final approval. Export the selected project portfolio including attributes and high level schedule information to Project Server for detailed planning. 2 2

8 Project Server Gateway Workflow Example - 3 Synchronize actual and forecast project data from Project Server with Portfolio Server to effectively manage and track portfolio performance through execution. As projects are being executed, the Gateway is used on a periodic basis to automatically aggregate detailed project data (i.e. actual and forecast) from Project Server to Portfolio Server. In this way Portfolio Server offers a central view with all pipeline and in-flight portfolio information for full ongoing portfolio management. 3 3

9 Steps to Configure the Project Server Gateway 1. Install & Register the PDS Extender Copy the PDSExtender.dll file and registration files, located in …\UMTSuite\MSPS, on the Portfolio Server machine into the …\Project Server\BIN directory on the Project Server machine Open a command prompt, go to the …\Project Server\Bin directory. Run the following 2 commands: - Regasm.exe "XXX\Project Server\Bin\PDSExtender.dll" /codebase where XXX is the full path to the copied PDSExtender.dll file in Project Server\Bin directory - RegisterMain PDSExtender.ExtenderMain 2. Configure Resource Outline Code Select a Resource Outline Code to map named resources (in Project Server) with skills in Portfolio Server Add the appropriate skill types to the Resource Outline Code (e.g. Developer, Project Manager, Business Analyst etc.) 3. Update Global Resource Pool Open Global Resource pool and map each named resource to the appropriate skill in Portfolio Server (i.e. using the Resource Outline Code defined in the previous step) 4. Link Project Servers to Portfolio Server Using the Project Server Management setting, link multiple Project Servers to Portfolio Server: General Settings Automatic Refresh Settings Resource Pool Synchronization Settings 5. Define Attribute Mapping Templates Link Attributes in Portfolio Server with Enterprise Custom Fields in Project Server 2003
