2 Automating Form Letters Form Letters can be fully automated Currently, only responses to new applications is automated. – The automation process can only be done by contacting our Account Manager at UltiPro and requesting the change. What triggers the automation process? - Changing the Status on the Applications automates the process.

3 A LIST is a personal organization tool that can be used to keep track of: - Candidates - Applications - Requisitions How do you efficiently send form letters and or emails to a number of candidates at the click of a button? -using LISTS The steps to do so are outlined on the proceeding slides: What is a LIST?

4 There are two ways to create a List. A List is used to update candidate data to Form Letters. 1.From Tools Select Lists. 2.From the browse Requisitions search results screen. The proceeding slides will outline how a List is created from the Requisitions search results screen.

5 Steps to send Form Letters to candidates How to Search for Requisitions From the Recruitment gateway select Requisitions – Click the Search button

6 How to Search for Requisitions continued – Click Browse all Requisitions – Or fill out the applicable sections in the Search Requisitions Box – Select the applicable requisition

7 From the Requisitions search results do the following: Click on the number of applications that is displayed under the Applications column:

8 The Application Search Results screen will display all applications that are linked to the selected Requisition. Select the required Applications by clicking the Select boxes (a check mark will appear). Select Add to List button :

9 The Add Records to List screen will be displayed. Click Only Selected Records radio button. Select New List by clicking the radio button. Input the List’s name in the space provided. Input a clear description of the List in the Note field:

10 The Lists Details screen will be displayed: -Click the Public box. This gives access to all authorized HR Team Members. -Click the hyperlink Add Candidates to List. This will update the candidates contact information. The candidates box will be updated with a hyperlink of the candidates names:

11 Click the hyperlink Form Letter Wizard:

12 From the Form Letters Template drop down box, select the applicable Form Letter:

13 Select the All Candidates on this List radio button Click the Next button

14 The Form Letters Wizard will request the Requisition number. Next to the Requisition box, select the magnifying glass icon. The Search for Requisitions pop up box will appear. Input the Requisition number or click the Submit button to search for the Requisition number.

15 The Requisition Search Results will be displayed. From the List select the application requisition by clicking the horizontal arrow under the Return Column. - This will populate the Requisition number field. Click Next.

16 The form letter with the merge fields will be displayed. - Click Next.

17 The form letter with the updated merge fields will be displayed.

18 Click the Send by E-Mail button. The form letter will be sent to all candidates that were selected and saved in your List.
