Portal Navigation Once logged in, teachers and NTPEs should access their My Observations page to view items… Student Learning Objectives (SLOs) Formal Observations Differentiated Observations NTPE Observations Walkthroughs Anecdotal Notes 82 Forms

My Observations On the My Observations or User Summary page, teachers and NTPEs can access open items and/or start new items by scrolling down to the appropriate section or clicking on the section quick links.

My Observations (continued) Most items are initiated by supervisors, but some are created by a teacher or NTPE (see list below). Email Notifications PA-ETEP sends out email notifications each time a user (i.e., teacher, NTPE, and/or supervisor) completes and submits a step in a process. For example, when a teacher completes and submits their Pre-Observation Questionnaire, the system sends an email notification to the assigned supervisor, notifying them of the submission. Once notified, the supervisor can then return to the item and review and add comments. When the supervisor submits those comments, an email notification is sent to the teacher informing them of the update. All email communications are sent to the user’s registered email address. In addition to email notifications, a copy of each notification is placed in the receiving users Notification section.

Student Learning Objectives (SLOs) SLOs are initiated by the teacher. When a teacher first starts an SLO, they are prompted to select the supervisor that will be responsible for reviewing and approving their SLO. The SLO process has three main phases, including the completion and approval of the SLO, updates (as needed), and final submission.

SLO Steps Step 1 – Teacher creates a new SLO and selects the appropriate supervisor Step 2 – Teacher completes the SLO (five sections)… and Submits Section 1 – Classroom Context Section 2 – Goal Section 3 – Performance Measures Section 4 – Performance Indicators Section 5 – Teacher Expectations Step 3 – Supervisor reviews, adds comments, and approves… and Submits Step 4 – Once approved, teacher returns to the SLO at any time throughout the school year and enters updates… and Submits Step 5 – As needed, supervisor reviews / adds comments… and Submits Step 6 – When appropriate, teacher provides final update… and Submits for Finalization Step 7 – Supervisor reviews, adds comments, and rates the SLO… and Submits

Formal Observations Formal Observations are initiated by supervisors. Teachers will receive an email notification when their supervisor initiates the formal observation process. The Formal Observation process has three main phases, including the Pre-Observation, Classroom Observation, and Post-Observation phases.

Formal Observation Steps Step 1 – Teacher completes the pre-observation questionnaire… and Submits Step 2 – Teacher meets with supervisor (pre-observation conference) Step 3 – Supervisor completes classroom observation and scripts evidence… and Submits Step 4 – Teacher reviews evidence (adds comments if needed)… and Submits Step 5 – Teacher completes the post-observation questionnaire… and Submits Step 6 – Teacher completes the self-assessment rubric… and Submits Step 7 – Supervisor reviews and completes the self-assessment rubric… and Submits Step 8 - Teacher meets with supervisor (post-observation conference) Step 9 – Supervisor completes observation summary form… and Submits Step 10 – Teacher and supervisor authenticate the observation

Differentiated Observations Differentiated Observations are initiated by a supervisor. Teachers will receive an email notification when a supervisor initiates the differentiated observation process. The Differentiated Observation process has three main phases, including the Action Plan, Mid-Year Progress update, and Year-End Progress update / Self-Assessment Rubric rating.

Differentiated Observation Steps Step 1 – Teacher selects type of differentiated supervision and component focus areas and completes the differentiated observation action plan… and Submits Step 2 – Supervisor reviews/adds comments… and Submits Step 3 - Teacher completes mid-year progress update… and Submits Step 4 – Supervisor reviews/adds comments… and Submits Step 5 – Teacher completes year-end progress update… and Submits Step 6 – Supervisor reviews/adds comments… and Submits Step 7 – Teacher completes self-assessment rubric… and Submits Step 8 – Supervisor reviews and completes self-assessment rubric… and Submits

Walkthroughs Walkthroughs are initiated by a supervisor. Teachers/NTPEs will receive an email notification when a supervisor completes and submits a walkthrough. Once submitted, the teacher/NTPE will have the option to review the evidence collected in the walkthrough and submit back to the supervisor any feedback and/or comments.

Anecdotal Notes Anecdotal Notes is a section where supervisors can document evidence outside of a Formal Observation, Differentiated, SLO, Walkthrough, etc. Anecdotal Notes are initiated by a supervisor. Teachers/NTPEs will receive an email notification when a supervisor submits an Anecdotal Note. Once submitted, the teacher/NTPE will have the option to review the evidence collected and submit back to the supervisor any feedback/comments.

82 Rating Forms Summative Rating forms are completed by supervisors. 82-1 forms are for Teachers 82-2 forms are for Principals 82-3 forms are for Non-Teaching Professional Educators (NTPEs) Teachers/NTPEs will receive an email notification when a supervisor completes and submits an 82 rating form. Once submitted, teachers/NTPEs will have the option to review and print.

NTPE Observations The NTPE Observation process is designed for non-supervising and supervising NTPEs. Non-Supervising NTPEs Elementary School Counselor Secondary School Counselor School Nurse School Psychologist Instructional Technology Specialist Dental Hygienist Home and School Visitor Behavioral Specialist Social Worker Physical Therapist / Occupational Therapist Supervising NTPEs Supervisor of Curriculum and Instruction Supervisor of Special Education Supervisor of Pupil Services Supervisor of Vocational Education Building Principals also use the NTPE Observation Process.

NTPE Observations The NTPE Observation process is initiated by the NTPE. When an NTPE starts the process, they are prompted to select the supervisor that will be responsible for reviewing and approving their NTPE Observation. The NTPE Observation process has three main phases. Phase one includes goal setting, selecting component focus areas, adding evidence, and approval by a supervisor. Phase two involves ongoing updates throughout the school year. The final phase involves scoring of the self- assessment rubric.
