Welcome to FOMS AGM 24th May 2016

Purpose of the AGM To show we are accountable and have acted in the best interests of FOMS and to the school. And to review the year from 1st August 2014 to 31st July 2015. - Chair’s report - Treasurer’s report Brief discussion of future plans - Future fundraising & events during the building works - New committee Current events 2015-2016

1 st Aug 2015 – 31 st July 2016 FOMS aims are: to fundraise for the school to provide some of the extras that the school budget cannot otherwise cover to contribute to building the sense of community we have at Monkfrith – by putting on fun events and supporting other school events. FOMS runs a number of events throughout the year – such as Christmas and Summer Fairs, quiz night, disco etc and support the school in running celebration events like the Royal Wedding playground party & the Olympics. We also run fundraising schemes such as printer cartridge recycling, catalogues and the use of ‘easyfundraising’ website portal: www.easyfundraising.org.uk – do your internet shopping as usual – but starting from this site, we raise money from the websites you buy from.www.easyfundraising.org.uk Please select ‘Monkfrith School Association’ as its the cause you want to support. Responsibility for FOMS rests with an elected committee. We meet regularly to plan events and manage finances. But FOMS only works because of the involvement of all the Friends of Monkfrith – parents, teachers, our school children and other family members, like older siblings and grandparents. People help in all sorts of ways, big and small. That might be by attending events, buying raffle tickets, offering business sponsorship, taking on the running of a one off event with a group of friends – with the support of a committee member, helping run a stall at a fair for an hour, buying or making cakes for the cake sales, coming to a coffee morning and wrapping toys for the Fair. Things we have funded in previous years include: the climbing wall, books, Mathletics website for KS1 & coach trips. We have also contributed to the costs of the landscaping to the pond area, interactive whiteboards, dining room tables and chairs, books, replacing playground safety flooring, swimming & parent school text service. We also give each class £120 allowance for the class teachers to spend.

Committee meetings Event teams People sign up e.g. to run a stall People offer items, food, prizes etc People come on the day The level of involvement is up to you. How do we make events happen? By Teamwork!

Report on activities 2014-15 Our fundraising events: – Halloween Disco – Christmas Shopping Night – Winter Wonderland – Indulgence Night – Summer Fair These were our 1st major events as a new team. Our 1st event, the Halloween Disco, was a big learning curve for us. We had a huge demand for tickets but our expenses were high as we had no ground foundation to work from i.e. themed decorations. Our waste was high as hardly any food got sold. However we learnt from this & from feedback we decided to not do food just snacks & sweets which increased our profit margin the following year. The Christmas Shopping Night & Winter Wonderland were a huge success for us & it was also something new for the school! We did a shopping night full of food & gifts with the intention of people coming in to buy gifts & that is exactly what happened. Winter Wonderland was mainly an outdoor event of a giant snow globe, bouncy castle & chalets serving hot chocolate & of course Santa Chalet in his very Chalet with elves ! Unlike previous years, tickets were sold in advance to see him so we knew our sales, our market & we accommodated for that.

0ther activities: We also generated sales from Cake & popcorn sales Design A Mug sales Easyfundraising We also supported school events such as the Easter egg gifts & the Yr 6 Leaver's gifts & disco.

How FOMS decide what to spend money on Wish list from school (annual) Committee meet with Mrs Adak (annual) Requests from school teachers Ideas from parents Committee (i.e. Trustees) responsibility to spend appropriately.

Donations made to the school Class Allowance Christmas Entertainment Animal Lecture Deposit for Christmas entertainment 2015 £900 (£100 each class) £380 £120 £90 Total donations £1,490

Any questions on the accounts and spending? Future spending? – around £5,000 a sensible amount to keep in accounts for cash flow to run events and continue to fund the regular FOMS contributions to school for a further year. A special thanks to Sue Morley for auditing each year.

Trustees & plans to approve Our current trustees are: Diane Craig, Lina Salam, Mehtap Keles & Alice Mina Our current Chair Alice Mina will be standing down as Chair. Diane Craig & Mehtap Keles will also be standing down as trustees. Proposal for Mrs Adak & Morwenna Bandara to become a trustees. Treasurer role to be confirmed with the new candidate otherwise that role is also available.

Current year so far As decided by the school as we weren't sure how the school would be with the current buildings, fundraising has been minimal. We've only had 3 major events. We had no Christmas Fair but we did hold another Halloween Disco & Christmas shopping night with great success! Unfortunately it looks like we won't be able to host a Summer Fair. Design a shopping bag was something new for the school & also very handy for all shoppers.

Aims for 2016-17 What would you like to see? If there isn't a new committee to take over the fundraising & no new chair found, unfortunately FOMS will have to close. Are you interested in helping FOMS continue? Increase awareness & income raised from Easyfundraising. We currently only have 55 supporters :(

Total donated to date (24/05/16) approx £4000 Head phones £472.71 Christmas entertainment £440 Swimming contribution £1060 Text service contribution £600 Nutty Putty £684 Author visit £36.50 (shortfall) Class Allowances (not all spent) What we have donated so far to the school 2015-2016
